Before we dive in, it helps to know: PowerPoint animations are controlled with the Animation Pane.

1. Animation 101: Master Your Context

The key lesson in effective animations is to understand when to use animation. An easy-to-remember guideline is the 80/20-rule. What 20% of your content in your presentation is the most important? That’s the content that might be worthwhile for you to add animation to.

For example, announcing a new product line may be the most exciting part of your presentation. In this context, it makes sense to highlight this by adding a Build In animation for example.

PowerPoint helps you by labeling their animations in different strength categories. These include subtle, moderate, and exciting.

These animation strengths can help you use the right animation in the right context. For example, highlight your key content like noting an increase in operating margins.

In summary: Define what is your most important content in the presentation. When you choose an animation, make sure its strength matches the importance of each key point.

2. Animation 101: Control Your Timing and Duration

Once you’ve mastered where to add animation, next up is to understand when to animate.

As described in the beginning of the tutorial, you can use transitions and animations. I’d recommend that you only choose one of either per slide that you’d like to add some animation to. Combining both often becomes a visual overload for your audience.

Here again, the context of the slide matters. If you’d like to surprise the audience with the whole slide, a transition could be ideal. If you’d only like to have a few elements appear at a time, using animations makes more sense.

The duration of your animation matters as well and has a big impact on how your animation is experienced.

Have you watched a presentation with slow transitions between each slide? At first, these impressive visual effects might be interesting. But eventually, they become a source of frustration as you see them over and over. It’s tedious.

Tip: The general rule is to have faster animations. I typically choose a timing of 0.5 seconds. That’s slow enough to be noticeable, but fast enough to keep things moving.

Even when working to make your animations subtle and effective, it can still be easy to overdo it. This is because PowerPoint has many types of animations. The choice can feel overwhelming.

There’s a simple rule that helps make your presentation feel less heavy. Here it is: use the same animations throughout your presentation.

It’s tempting to add many different transitional animations for the sake of variety. But in fact, the variety can distract from what you’re trying to communicate. It diminishes your message.

Below are the types of animations which I use the most:

• Appear . To simply make an object appear in your presentation.
• Fade . Probably my most used animation that feels a little slicker than Appear.
• Zoom . A good way to quickly add emphasis on an element in your slide.

Now that you’ve seen the basic concepts of animation, let’s dive into a few real-world examples of PowerPoint animations. We’ll explore how animations can enhance your presentation.

4. Reorder Animations to Change Object Sequencing

As you work, you’ll likely find yourself adding many animations in PowerPoint effects. And chances are, you may want to change up their order after you’re done. Easy! The Animation Pane lets you manage and reorder animations. After adding animations to your slide, click on the Animations tab. Then, select the Animation Pane.

In the Animation Pane , you can view all the animations on your slide in a clear, concise list format. To reorder the animations, simply click and drag them up or down the list to your new desired location. In moments, PowerPoint transforms your animation sequence.

This is very useful when you’re trying to adjust the timing of your animations. You can also use it to create more complex animation sequences.

What the pane really does is give you full control over your animation performance. You can mix up the pace and flow of each slide, just by changing where a given slide animation effect is placed.

5. Enhance Your Message With Simple Animations

Animations in PowerPoint help you call attention to changes and items of note on your slide. Consider the example of PowerPoint animations below. Notice how the result in Q3 was much higher. Imagine that a year ago, that quarter was actually the worst quarter.

• Then click and start the underlining of Q3.
• Finally, you tell the story how Q3 used to be a losing quarter instead of your strongest quarter to date.

Now you understand how pacing animations can be a much better delivery. Animation is PowerPoint is superior versus just dumping all content at once.

6. Use Transitions Between Your Sections

A PowerPoint presentation, like a story, has a beginning, middle, and ending. To mark those points during your presentation, you could use an animation in the form of a Transition.

As an example of PowerPoint animation scenarios, you’d like to jump to your conclusion slide. To grab everyone’s attention again, we’ll use a transition animation to pack a bit more punch.

On the Transitions menu in PowerPoint, there are many cool options to choose from:

But how do you decide which transition to use? It’s a good idea to think about the content of the slide that you’re transitioning to. For example, if you’re presenting a solution to problems you’ve presented, the Fracture animation is a strong metaphor.

A final tip for using a transition animation is to look into the Dynamic Content category. These are animations that use your current slides as a basis and animate between that.

For example, the animation will do something with the elements on the slide. Think of them as “smart” PowerPoint animations that adapt to your own content! This is ideal if you’d like to do something more subtle.

7. Build Step-by-Step Animations into Your Slides

If you’d like to make an explanatory slide, that often means that there are multiple elements of information that you’d like to present. The easiest way to do this is to reveal a numbered (or bullet) list:

Instead of displaying all five steps at the same time, we’ll display each step one by one. Imagine you’re giving a cooking class. Showing one step at a time helps your audience to keep their focus on the next action and not run ahead.

Step 1. Apply the Fade Animation

Open the Animation Pane . Select the first step and let’s pick Fade as our entrance effect. Next, select the second step and also pick Fade again. Repeat this process for the remaining steps.

Tip : Be careful to select each step individually, instead of all the steps at once. Otherwise, they’ll appear all at the same time.

Step 2. Set the Timing

Now open the Animation Pane . You can see the five animations you’ve just added. When you click on the animation, you can open the Timing tab once again.

Now, in the context of cooking, instead of having it start on click, you might want to start the animation After Previous and choose a Delay.

You’re basically building a timer in this sense. Imagine that in the class, everybody has five minutes to grate the zucchini. Select the third animation (sauté zucchini). Choose the After Previous timing and pick a delay of 300 seconds .

This is what will happen:

• Grate Zucchini will appear.
• 5 minutes (300 seconds) will pass.
• The delayed animation kicks in and sauté zucchini will appear.

This is an example of PowerPoint animations that build up with the pace of your presentation.

8. Review Animations for Consistency

When you’re finished adding animations for PowerPoint, your work isn’t quite finished. You should always review your presentation to be sure each animation works the way you intend it to. There’s nothing worse than being caught off-guard in front of an audience. Yet, it’s easy to put an animation PowerPoint effect in the wrong place.

The best way to review your animations is to go through the presentation after you’re done. Play it in Slide Show view, and only pay attention to your animations.

Ask yourself these questions:

• How does the pacing feel?
• Are there sections in your presentation where there’s too much animation? Too little?
• How does the timing feel?

Reviewing your presentation as a whole is a final, yet essential check step. It helps you ensure that your PowerPoint animation effects are working exactly right. And it lets you make any edits you need to before an audience encounters issues.

9. Use Animations to Present Your Data Dynamically

By now, it should be easy to make a whole chart appear using an animation. But the true capacity of using animations with data is to pace how the chart is presented. We can do this by choosing the build order of our animation.

Step 1. Add an Animation to a Chart

Click on the chart you would like to animate. Next, add an animation. Again, your best bet here is to use simple animations in PowerPoint that won’t distract.

Step 2. Change the Animation Effects

Click on the Effect Options drop-down. This menu lets you control the order of the animation and what data appears. You have access to the following options:

• As One Object
• By Category
• By Element in Series
• By Element in Category

This offers unique flexibility in how to present data displayed in the chart. For example, would you like to display one piece of data for several years, or all pieces of data per year? It’s possible with the above animation options.

10. Pitch a New Product With Controlled Animation

One of the more exciting ways to use animations is to pitch a new product. This lets you grab your audience’s attention! Animation offers the opportunity to present a product in an aesthetically pleasing way.

The best way to pitch a new product is to work in a ‘ less is more ‘ fashion. Apple is good at this for example, when you see their presentations. Usually, a simple entrance animation works perfectly.

To make your animation a little bit more dramatic, play around with the timing. Instead of using the traditional 0.5 seconds, go for 1 or even 2 seconds.

This has a large impact on how the animation is seen. This is because slower animations are less commonly used in presentations. It’s a cool way to add some drama with animation in PowerPoint.

11. Replicate Effects Easily With the Animation Painter

The Animation Painter is a powerful feature in PowerPoint that saves you lots of time. What it does is allow you to copy and duplicate animations from one object to another.

To use the Animation Painter , start by selecting the object with the animation you want to copy. Then, go to the Animations tab and click on the Animation Painter button. The cursor changes to a paintbrush icon.

Next, click on the object that you want to apply the animation to. When you do, the animation instantly applies to the new object.

Using the Animation Painter helps you create consistent and engaging animations. It’s very useful when you have many objects that need the same animation effects.

Remember : your goal is to preserve a steady, constant look and feel. The Animation Painter saves you time and ensures each animation matches others.

12. Use a Transition to Declutter and Simplify

If you’ve got a busy layout, it often helps to use some exit animations to clean up your slide. This lets you grab the attention of the audience once again if a simple slide follows.

You can remove individual elements on the slide by using exit animations. Another method is to use a strong Transition between slides.

Morph is an interesting transition to use. It compares the elements between both slides. Then, it figures out the ideal way to transition. Sometimes it works, but it’s more of a smooth transition rather than a strong exit animation.

Here, an animation such as Curtains , Crush or Honeycomb would be more suitable. Try to use this only once or twice in a presentation, as these animations tend to be visually heavy.

13. Grab Attention With Formatting Text Animations

You can use the formatting text animations to emphasize text in your presentation. You have a variety of options for highlighting text, such as:

• Brush Color
• Bold Reveal

Bold Flash is an excellent way of highlighting a line of text in a busy slide, for example.

I wanted to end one of my presentations with a "Beam me Up, Scotty" sound clip from Star Trek. I got the 11 KB file from here. The site still has that classic old look, but it is a rich dump of sound clips from movies, TV, commercials and some special effects types too.

The site has a search page, so it is easy to get to your sound clip if you know exactly what you are searching for. The separate tabs for sound clips from movies, TV, commercials, and FX should make your job easier.

This is a crowdsourced music site featuring remixes and samples licensed under Creative Commons licenses . It includes many tracks with non-commercial sharing licenses and some under sampling licenses. Dig into the experimental genres for themes and looping backgrounds.

The site features excellent organization with a bunch of categories and filters. Just be sure to credit the musician with the correct Creative Commons attribution . It's not for the run-of-the-mill presenter but more for the guy who knows what he is doing with his music.

The site hasn't changed its look. But behind the old façade, it has kept on updating its collection of effects. From prankish sounds (give the farts a miss in your PPTs) to cool sound effects, this site has a good collection. With the tiny sound clips you can add sound effects to your buttons or transitions. Sound clips fall under royalty-free and free sounds.

There's plenty to choose from the world's largest reservoir of free videos. It is so big that other videos websites often host their collections on YouTube itself. You just have to do three things – think about the right kind of video to showcase on a slide. Then, search YouTube to find the aptest video. Finally, download the YouTube video and embed it in your presentation.

Try the Pixabay search engine for free public domain resources of all kinds. No attribution is required. The collection is small, but the videos relate to specific stock footage categories. Scroll down to the foot of the page to filter by category. They include everything from Animals to Vacation.

You will find that most of the assets are hosted on Vimeo and therefore are high resolution.

Pexels has borrowed a leaf from the Pixabay playbook. They have a growing database of full-HD or at least HD quality that you can edit or change for personal and even for commercial projects.

Again, no attribution is required. Pexels has a good site search followed by neat tagging which makes it easy to find the right video.

A community of videographers upload their work and you can grab them for free. Videezy is a site for free HD stock videos and other kinds of footage. Do check the license under each video before you use it in your presentation. Enter keywords or browse by category to find the clip.

I would pick cartoons from Dilbert to add a bit of fun to my somber business slides. But Scott Adams would drag me to court for using cartoons without his permission. This weekly comic strip needs an acronym. But then, you wouldn't bother enough to find out what a manatee is. I have always found a Tumblr blog difficult to search, so I follow the tags instead.

The webcomic has been created by Hugh D. Crawford and his yen for dark humor. All his work is under a Creative Commons License and needs appropriate credit.

Animation and ClipArt for PowerPoint

I wouldn't use animations in professional PowerPoint slides too much. But animations can do their duty in educational slides inside the classroom. Animations and GIFs are not for memes alone . They can be instructional if used with the right context. Look at the idea of software instructions with explainer GIFs.

If YouTube has a lifetime of videos, then GIPHY has the market for animated GIFs. Look past the funny GIFs you send with WhatsApp at the thousands of instructional animations on the site. Or just try the useful search engine on the site. I just searched for "internal combustion engine" and guess what – I got nearly 7000 hits!

You can't stop Reddit when it is on a roll. Searching for just the right GIF can be a chore, but at least try it once on this sub-Reddit which houses educational GIFs of all kinds. Take a glance to the right and there are two sub-Reddits called gifrequests and makemeagi f you can tap for some friendly assistance.

15 PowerPoint effects for your next presentation

PowerPoint comes with a set of theme effects that can be applied to a presentation file or a template. The effect theme influences fills, lines, shadows, bevels and special effects of graphic objects created in PowerPoint.

PowerPoint 2013 and 2016 comes with 15 effect themes (PowerPoint 2010 has 40!) with variants of effects. The effect themes can’t be edited nor can you create a new, custom effect theme inside PowerPoint (like you can with your font theme or color theme). The only way to create a custom effects theme involves programming but unless you have very specific needs, the 15 effects themes will most likely be enough.

Effects in PowerPoint are grouped in three main effect style variant groups – subtle , moderate and intense . Once a effect theme has been applied, the variants of a effect theme is available to the users when they are adding shapes, tables, SmartArt and charts, so make sure you have applied an effect theme where all the effect variants fit your brand.

What is influenced by the effect theme?

The effect theme chosen will influence all Shape Styles (excluding the Presets), the SmartArt Styles and Table Styles set to “best match for document” and Chart Styles 5, 6, 8 and 14.

How do you set an effect theme?

An empty PowerPoint file is set to the Office 2013-2016 effect theme by default. To change this, click on the Design Tab (1) and navigate to the Variants menu (2) . Click on the drop down icon and choose Effects (3) and then choose an effect theme to apply (4) .

Use the embedded file below to get a preview of the 15 effect themes: Office 2013-2106, Office 2007-2010, Subtle Solids, Banded Edge, Smokey Glass, Glow Edge, Grunge Texture, Frosted Glass, Top Shadow, Inset, Milk Glass, Riblet, Reflection, Extreme Shadow and Glossy.

How to make your presentation sound more like a conversation.

The main difference between strong, confident speakers and speakers who seem nervous in front of the room is in how relaxed and conversational they appear. Here are some basic pointers that will help you create a conversational tone when speaking, regardless of the size of your audience.

1. Avoid using the word, “presentation.” Every time you say, “I’m here to give you a presentation on X,” or, “In this presentation, you’ll see…,” you are emphasizing the formal, structured, sometimes artificial nature of the interaction. No one wants to be “presented” to. Instead, use language that emphasizes a natural, conversational exchange. “We’re here today to talk about X,” or “Today I’ll be sharing some ideas regarding Y.” You can even go so far as to say, “I’m glad we have time together today to discuss Z.” Even if your talk is not going to truly be a dialogue, you can use language that suggests engagement with the audience.

2. If you are using PowerPoint, avoid using the word “slide.” Instead of talking about the medium, talk about the concepts. Swap out, “This slide shows you…,” for, “Here we see….” Instead of saying, “On that slide I showed you a moment ago,” say, “A moment ago we were discussing X. Here’s how that issue will impact Y and Z.” Casual conversations don’t usually involve slide decks. Just because your complicated presentation on tax exposure, supply chain issues, or new health care regulations requires you to use slides, doesn’t mean you have to draw attention to that fact that the setting is formal and structured.

3. For many large-group events, speakers are provided with what’s called a “confidence monitor,” a computer screen that sits on the floor at the speaker’s feet showing the slide that appears on the large screen above the speaker’s head. Avoid using confidence monitors. Our natural inclination when using a confidence monitor is to gesture at the bullet point we’re discussing at the moment. However, we are pointing to a bullet point on the screen at our feet, which the audience can’t see, so it creates a disconnect between us and the audience. Instead, stand to the side of the large screen and gesture at the bullet point you’re talking about so that the audience knows which point you are discussing at the moment.

4. Don’t tell your audience, “I want this to be interactive.” It’s your job to make it interactive. If you are delivering the type of presentation where your audience size allows you to create true engagement with your listeners, create that connecting in stages to “warm up” the audience. Stage One engagement is to ask the audience a question relevant to your topic that you know most of the audience members can respond to affirmatively. “Who here has ever bought a new car?” or, “How many of you have ever waited more than 5 minutes on hold on a customer service line?” Raise your hand as you ask the question to indicate to the audience how to respond. Whoever has raised their hand has now participated in the discussion. They have indicated a willingness to engage. Stage Two engagement is calling on one of the people who raised their hand and asking a specific, perfunctory question. Again, it needs to be a question they can answer easily. If your first questions is, “Who here has bought a new car?” you can then call on someone and ask, “How long ago,” or “What kind of car did you buy most recently?” If your first question was, “Have you ever waited on hold for more than 5 minutes,” you can’t ask, “What company were you calling at the time?” The people who raised their hands weren’t thinking of a specific instance; they were just thinking broadly about that type of experience. You could, however, call on someone and ask, “Do you prefer when they play music or ads for the company’s products?” Anyone can answer that question. At that point, you are in an actual dialogue with that person. Stage Three engagement is asking them a question where they need to reveal something more personal. “How does that make you feel when you hear those ads?” You’ve warmed up your audience and drawn them in with baby steps. Now you have actual, meaningful audience participation.

5. Use gestures. When we’re speaking in an informal setting, we all use hand gestures; some people use more than others, but we all use them. When we try to rein in our gestures, two things happen that diminish our speaking style. First, we look stiff and unnatural. We look like we are presenting a guarded or cautious version of ourselves; we look less genuine. Second, hand gestures burn up the nervous energy we all have when speaking in front of a large group. That’s good. When we try to minimize our hand gestures, we tie up that nervous energy and it starts to leak out on odd ways, where we start to tap our foot, fidget with our notes or microphone, or tilt our head side to side to emphasize key points. Just let the gestures fly. It’s unlikely they will be too large or distracting. I have coached people on their presentation skills for 26 years. In that time, I have met three people who gestured too much. Everyone else would benefit from using their gestures more freely.

The impact we have as communicators is based on the cumulative effect of many different elements of our delivery. These suggestions alone won’t make you a terrific presenter. They will, however, add to the overall package your present of yourself when speaking to large audiences.
