Problem-solving is a mental process that involves discovering, analyzing, and solving problems. The ultimate goal of problem-solving is to overcome obstacles and find a solution that best resolves the issue.

The best strategy for solving a problem depends largely on the unique situation. In some cases, people are better off learning everything they can about the issue and then using factual knowledge to come up with a solution. In other instances, creativity and insight are the best options.

It is not necessary to follow problem-solving steps sequentially, It is common to skip steps or even go back through steps multiple times until the desired solution is reached.

In order to correctly solve a problem, it is often important to follow a series of steps. Researchers sometimes refer to this as the problem-solving cycle. While this cycle is portrayed sequentially, people rarely follow a rigid series of steps to find a solution.

The following steps include developing strategies and organizing knowledge.

1. Identifying the Problem

While it may seem like an obvious step, identifying the problem is not always as simple as it sounds. In some cases, people might mistakenly identify the wrong source of a problem, which will make attempts to solve it inefficient or even useless.

Some strategies that you might use to figure out the source of a problem include :

  • Asking questions about the problem
  • Breaking the problem down into smaller pieces
  • Looking at the problem from different perspectives
  • Conducting research to figure out what relationships exist between different variables

2. Defining the Problem

After the problem has been identified, it is important to fully define the problem so that it can be solved. You can define a problem by operationally defining each aspect of the problem and setting goals for what aspects of the problem you will address

At this point, you should focus on figuring out which aspects of the problems are facts and which are opinions. State the problem clearly and identify the scope of the solution.

3. Forming a Strategy

After the problem has been identified, it is time to start brainstorming potential solutions. This step usually involves generating as many ideas as possible without judging their quality. Once several possibilities have been generated, they can be evaluated and narrowed down.

The next step is to develop a strategy to solve the problem. The approach used will vary depending upon the situation and the individual's unique preferences. Common problem-solving strategies include heuristics and algorithms.

  • Heuristics are mental shortcuts that are often based on solutions that have worked in the past. They can work well if the problem is similar to something you have encountered before and are often the best choice if you need a fast solution.
  • Algorithms are step-by-step strategies that are guaranteed to produce a correct result. While this approach is great for accuracy, it can also consume time and resources.

Heuristics are often best used when time is of the essence, while algorithms are a better choice when a decision needs to be as accurate as possible.

4. Organizing Information

Before coming up with a solution, you need to first organize the available information. What do you know about the problem? What do you not know? The more information that is available the better prepared you will be to come up with an accurate solution.

When approaching a problem, it is important to make sure that you have all the data you need. Making a decision without adequate information can lead to biased or inaccurate results.

5. Allocating Resources

Of course, we don't always have unlimited money, time, and other resources to solve a problem. Before you begin to solve a problem, you need to determine how high priority it is.

If it is an important problem, it is probably worth allocating more resources to solving it. If, however, it is a fairly unimportant problem, then you do not want to spend too much of your available resources on coming up with a solution.

At this stage, it is important to consider all of the factors that might affect the problem at hand. This includes looking at the available resources, deadlines that need to be met, and any possible risks involved in each solution. After careful evaluation, a decision can be made about which solution to pursue.

6. Monitoring Progress

After selecting a problem-solving strategy, it is time to put the plan into action and see if it works. This step might involve trying out different solutions to see which one is the most effective.

It is also important to monitor the situation after implementing a solution to ensure that the problem has been solved and that no new problems have arisen as a result of the proposed solution.

Effective problem-solvers tend to monitor their progress as they work towards a solution. If they are not making good progress toward reaching their goal, they will reevaluate their approach or look for new strategies .

7. Evaluating the Results

After a solution has been reached, it is important to evaluate the results to determine if it is the best possible solution to the problem. This evaluation might be immediate, such as checking the results of a math problem to ensure the answer is correct, or it can be delayed, such as evaluating the success of a therapy program after several months of treatment.

Once a problem has been solved, it is important to take some time to reflect on the process that was used and evaluate the results. This will help you to improve your problem-solving skills and become more efficient at solving future problems.

  • Being open-minded and considering all possible options before making a decision

Individuals and organisations can use a variety of problem-solving methodologies to address complex challenges. 8D and A3 problem solving techniques are two popular methodologies in the Lean Six Sigma framework.

Methodology of 8D (Eight Discipline) Problem Solving:

The 8D problem solving methodology is a systematic, team-based approach to problem solving. It is a method that guides a team through eight distinct steps to solve a problem in a systematic and comprehensive manner.

The 8D process consists of the following steps:

  • Form a team: Assemble a group of people who have the necessary expertise to work on the problem.
  • Define the issue: Clearly identify and define the problem, including the root cause and the customer impact.
  • Create a temporary containment plan: Put in place a plan to lessen the impact of the problem until a permanent solution can be found.
  • Identify the root cause: To identify the underlying causes of the problem, use root cause analysis techniques such as Fishbone diagrams and Pareto charts.
  • Create and test long-term corrective actions: Create and test a long-term solution to eliminate the root cause of the problem.
  • Implement and validate the permanent solution: Implement and validate the permanent solution’s effectiveness.
  • Prevent recurrence: Put in place measures to keep the problem from recurring.
  • Recognize and reward the team: Recognize and reward the team for its efforts.

A3 Problem Solving Method:

The A3 problem solving technique is a visual, team-based problem-solving approach that is frequently used in Lean Six Sigma projects. The A3 report is a one-page document that clearly and concisely outlines the problem, root cause analysis, and proposed solution.

The A3 problem-solving procedure consists of the following steps:

  • Determine the issue: Define the issue clearly, including its impact on the customer.
  • Perform root cause analysis: Identify the underlying causes of the problem using root cause analysis techniques.
  • Create and implement a solution: Create and implement a solution that addresses the problem’s root cause.
  • Monitor and improve the solution: Keep an eye on the solution’s effectiveness and make any necessary changes.

Subsequently, in the Lean Six Sigma framework, the 8D and A3 problem solving methodologies are two popular approaches to problem solving. Both methodologies provide a structured, team-based problem-solving approach that guides individuals through a comprehensive and systematic process of identifying, analysing, and resolving problems in an effective and efficient manner.

Step 1 – Define the Problem

The definition of the problem is the first step in effective problem solving. This may appear to be a simple task, but it is actually quite difficult. This is because problems are frequently complex and multi-layered, making it easy to confuse symptoms with the underlying cause. To avoid this pitfall, it is critical to thoroughly understand the problem.

To begin, ask yourself some clarifying questions:

  • What exactly is the issue?
  • What are the problem’s symptoms or consequences?
  • Who or what is impacted by the issue?
  • When and where does the issue arise?

Answering these questions will assist you in determining the scope of the problem. However, simply describing the problem is not always sufficient; you must also identify the root cause. The root cause is the underlying cause of the problem and is usually the key to resolving it permanently.

Try asking “why” questions to find the root cause:

  • What causes the problem?
  • Why does it continue?
  • Why does it have the effects that it does?

By repeatedly asking “ why ,” you’ll eventually get to the bottom of the problem. This is an important step in the problem-solving process because it ensures that you’re dealing with the root cause rather than just the symptoms.

Once you have a firm grasp on the issue, it is time to divide it into smaller, more manageable chunks. This makes tackling the problem easier and reduces the risk of becoming overwhelmed. For example, if you’re attempting to solve a complex business problem, you might divide it into smaller components like market research, product development, and sales strategies.

This entails researching the problem and relevant information, collaborating with others, and coming up with a variety of potential solutions. This increases your chances of finding the best solution to the problem.

Begin by researching the problem and relevant information. This could include reading articles, conducting surveys, or consulting with experts. The goal is to collect as much information as possible in order to better understand the problem and possible solutions.

Next, work with others to gather a variety of perspectives. Brainstorming with others can be an excellent way to come up with new and creative ideas. Encourage everyone to share their thoughts and ideas when working in a group, and make an effort to actively listen to what others have to say. Be open to new and unconventional ideas and resist the urge to dismiss them too quickly.

Finally, use brainstorming to generate a wide range of potential solutions. This is the place where you can let your imagination run wild. Step 3 – Evaluate Options and Choose the Best Solution

This is the third step in effective problem solving, and it entails weighing the advantages and disadvantages of each solution, considering their feasibility and practicability, and selecting the solution that is most likely to solve the problem effectively.

To begin, weigh the advantages and disadvantages of each solution. This will assist you in determining the potential outcomes of each solution and deciding which is the best option. For example, a quick and easy solution may not be the most effective in the long run, whereas a more complex and time-consuming solution may be more effective in solving the problem in the long run.

Consider each solution’s feasibility and practicability. Consider the following:

  • Can the solution be implemented within the available resources, time, and budget?
  • What are the possible barriers to implementing the solution?
  • Is the solution feasible in today’s political, economic, and social environment?

You’ll be able to tell which solutions are likely to succeed and which aren’t by assessing their feasibility and practicability.

Finally, choose the solution that is most likely to effectively solve the problem. This solution should be based on the criteria you’ve established, such as the advantages and disadvantages of each solution, their feasibility and practicability, and your overall goals.

It is critical to remember that there is no one-size-fits-all solution to problems. What is effective for one person or situation may not be effective for another. This is why it is critical to consider a wide range of solutions and evaluate each one based on its ability to effectively solve the problem.

Step 4 – Implement and Monitor the Solution

Finally, make any necessary modifications to the solution. This could entail changing the solution, altering the plan of action, or delegating different tasks. Be willing to make changes if they will improve the solution or help it solve the problem more effectively.

It’s important to remember that problem solving is an iterative process, and there may be times when you need to start from scratch. This is especially true if the initial solution does not effectively solve the problem. In these situations, it’s critical to be adaptable and flexible and to keep trying new solutions until you find the one that works best.

Problem-solving strategies are ways of approaching problems that can help you look beyond the obvious answers and find the best solution to your problem . 

Let’s take a look at a five-step problem-solving process and how to combine it with proven problem-solving strategies. This will give you the tools and skills to solve even your most complex problems.

Good problem-solving is an essential part of the decision-making process . To see what a problem-solving process might look like in real life, let’s take a common problem for SaaS brands — decreasing customer churn rates.

To solve this problem, the company must first identify it. In this case, the problem is that the churn rate is too high. 

Next, they need to identify the root causes of the problem. This could be anything from their customer service experience to their email marketing campaigns. If there are several problems, they will need a separate problem-solving process for each one. 

Let’s say the problem is with email marketing — they’re not nurturing existing customers. Now that they’ve identified the problem, they can start using problem-solving strategies to look for solutions. 

This might look like coming up with special offers, discounts, or bonuses for existing customers. They need to find ways to remind them to use their products and services while providing added value. This will encourage customers to keep paying their monthly subscriptions.

They might also want to add incentives, such as access to a premium service at no extra cost after 12 months of membership. They could publish blog posts that help their customers solve common problems and share them as an email newsletter.

The company should set targets and a time frame in which to achieve them. This will allow leaders to measure progress and identify which actions yield the best results.

Perhaps you’ve got a problem you need to tackle. Or maybe you want to be prepared the next time one arises. Either way, it’s a good idea to get familiar with the five steps of problem-solving. 

Use this step-by-step problem-solving method with the strategies in the following section to find possible solutions to your problem.

1. Identify the problem

The first step is to know which problem you need to solve. Then, you need to find the root cause of the problem. 

The best course of action is to gather as much data as possible, speak to the people involved, and separate facts from opinions. 

Once this is done, formulate a statement that describes the problem. Use rational persuasion to make sure your team agrees .

2. Break the problem down 

Identifying the problem allows you to see which steps need to be taken to solve it. 

First, break the problem down into achievable blocks. Then, use strategic planning to set a time frame in which to solve the problem and establish a timeline for the completion of each stage.

3. Generate potential solutions

At this stage, the aim isn’t to evaluate possible solutions but to generate as many ideas as possible. 

Encourage your team to use creative thinking and be patient — the best solution may not be the first or most obvious one.

Use one or more of the different strategies in the following section to help come up with solutions — the more creative, the better.

4. Evaluate the possible solutions

Once you’ve generated potential solutions, narrow them down to a shortlist. Then, evaluate the options on your shortlist. 

There are usually many factors to consider. So when evaluating a solution, ask yourself the following questions:

  • Will my team be on board with the proposition?
  • Does the solution align with organizational goals ?
  • Is the solution likely to achieve the desired outcomes?
  • Is the solution realistic and possible with current resources and constraints?
  • Will the solution solve the problem without causing additional unintended problems?

5. Implement and monitor the solutions

Once you’ve identified your solution and got buy-in from your team, it’s time to implement it. 

But the work doesn’t stop there. You need to monitor your solution to see whether it actually solves your problem. 

Request regular feedback from the team members involved and have a monitoring and evaluation plan in place to measure progress.

If the solution doesn’t achieve your desired results, start this step-by-step process again.

There are many different ways to approach problem-solving. Each is suitable for different types of problems. 

The most appropriate problem-solving techniques will depend on your specific problem. You may need to experiment with several strategies before you find a workable solution.

  • Draw the problem

Let’s break each of these down.

1. Use a solution that worked before

It might seem obvious, but if you’ve faced similar problems in the past, look back to what worked then. See if any of the solutions could apply to your current situation and, if so, replicate them.

2. Brainstorming

The more people you enlist to help solve the problem, the more potential solutions you can come up with.

Use different brainstorming techniques to workshop potential solutions with your team. They’ll likely bring something you haven’t thought of to the table.

3. Work backward

Working backward is a way to reverse engineer your problem. Imagine your problem has been solved, and make that the starting point.

Then, retrace your steps back to where you are now. This can help you see which course of action may be most effective.

4. Use the Kipling method

This is a method that poses six questions based on Rudyard Kipling’s poem, “ I Keep Six Honest Serving Men .” 

  • What is the problem?
  • Why is the problem important?
  • When did the problem arise, and when does it need to be solved?
  • How did the problem happen?
  • Where is the problem occurring?
  • Who does the problem affect?

Answering these questions can help you identify possible solutions.

5. Draw the problem

Sometimes it can be difficult to visualize all the components and moving parts of a problem and its solution. Drawing a diagram can help.

This technique is particularly helpful for solving process-related problems. For example, a product development team might want to decrease the time they take to fix bugs and create new iterations. Drawing the processes involved can help you see where improvements can be made.

6. Use trial-and-error

A trial-and-error approach can be useful when you have several possible solutions and want to test them to see which one works best.

7. Sleep on it

Finding the best solution to a problem is a process. Remember to take breaks and get enough rest . Sometimes, a walk around the block can bring inspiration, but you should sleep on it if possible.

A good night’s sleep helps us find creative solutions to problems. This is because when you sleep, your brain sorts through the day’s events and stores them as memories. This enables you to process your ideas at a subconscious level. 

If possible, give yourself a few days to develop and analyze possible solutions. You may find you have greater clarity after sleeping on it. Your mind will also be fresh, so you’ll be able to make better decisions.

8. Get advice from your peers

Getting input from a group of people can help you find solutions you may not have thought of on your own. 

For solo entrepreneurs or freelancers, this might look like hiring a coach or mentor or joining a mastermind group. 

For leaders , it might be consulting other members of the leadership team or working with a business coach .

It’s important to recognize you might not have all the skills, experience, or knowledge necessary to find a solution alone. 

9. Use the Pareto principle

The Pareto principle — also known as the 80/20 rule — can help you identify possible root causes and potential solutions for your problems.

Although it’s not a mathematical law, it’s a principle found throughout many aspects of business and life. For example, 20% of the sales reps in a company might close 80% of the sales. 

You may be able to narrow down the causes of your problem by applying the Pareto principle. This can also help you identify the most appropriate solutions.

10. Add successful solutions to your toolkit

Every situation is different, and the same solutions might not always work. But by keeping a record of successful problem-solving strategies, you can build up a solutions toolkit. 

These solutions may be applicable to future problems. Even if not, they may save you some of the time and work needed to come up with a new solution.

Alternatively, imagine problematic scenarios that might arise at work and use problem-solving strategies to find hypothetical solutions.

3. Don’t try to find a solution right away

Often, the first solution you think of to solve a problem isn’t the most appropriate or effective.

Instead of thinking on the spot, give yourself time and use one or more of the problem-solving strategies above to activate your creative thinking.

7. Analyze the success of your competitors

Do you have competitors who have already solved the problem you’re facing? Look at what they did, and work backward to solve your own problem. 

For example, Netflix started in the 1990s as a DVD mail-rental company. Its main competitor at the time was Blockbuster. 

But when streaming became the norm in the early 2000s, both companies faced a crisis. Netflix innovated, unveiling its streaming service in 2007. 

If Blockbuster had followed Netflix’s example, it might have survived. Instead, it declared bankruptcy in 2010.

Problem solving is the process of finding a resolution for a specific issue or conflict. There are many possible solutions for solving a problem, which is why it's important to go through a problem-solving process to find the best solution. You could use a flathead screwdriver to unscrew a Phillips head screw, but there is a better tool for the situation. Utilizing common problem-solving techniques helps you find the best solution to fit the needs of the specific situation, much like using the right tools.

4 steps to better problem solving

While it might be tempting to dive into a problem head first, take the time to move step by step. Here’s how you can effectively break down the problem-solving process with your team:

1. Identify the problem that needs to be solved

One of the easiest ways to identify a problem is to ask questions. A good place to start is to ask journalistic questions, like:

Who : Who is involved with this problem? Who caused the problem? Who is most affected by this issue?

What: What is happening? What is the extent of the issue? What does this problem prevent from moving forward?

Where: Where did this problem take place? Does this problem affect anything else in the immediate area? 

When: When did this problem happen? When does this problem take effect? Is this an urgent issue that needs to be solved within a certain timeframe?

Why: Why is it happening? Why does it impact workflows?

How: How did this problem occur? How is it affecting workflows and team members from being productive?

Asking journalistic questions can help you define a strong problem statement so you can highlight the current situation objectively, and create a plan around that situation.

Here’s an example of how a design team uses journalistic questions to identify their problem:

Overarching problem: Design requests are being missed

Who: Design team, digital marketing team, web development team

What: Design requests are forgotten, lost, or being created ad hoc.

Where: Email requests, design request spreadsheet

When: Missed requests on January 20th, January 31st, February 4th, February 6th

How : Email request was lost in inbox and the intake spreadsheet was not updated correctly. The digital marketing team had to delay launching ads for a few days while design requests were bottlenecked. Designers had to work extra hours to ensure all requests were completed.

In this example, there are many different aspects of this problem that can be solved. Using journalistic questions can help you identify different issues and who you should involve in the process.

2. Brainstorm multiple solutions

If at all possible, bring in a facilitator who doesn't have a major stake in the solution. Bringing an individual who has little-to-no stake in the matter can help keep your team on track and encourage good problem-solving skills.

Here are a few brainstorming techniques to encourage creative thinking:

Brainstorm alone before hand: Before you come together as a group, provide some context to your team on what exactly the issue is that you're brainstorming. This will give time for you and your teammates to have some ideas ready by the time you meet.

Say yes to everything (at first): When you first start brainstorming, don't say no to any ideas just yet—try to get as many ideas down as possible. Having as many ideas as possible ensures that you’ll get a variety of solutions. Save the trimming for the next step of the strategy. 

Talk to team members one-on-one: Some people may be less comfortable sharing their ideas in a group setting. Discuss the issue with team members individually and encourage them to share their opinions without restrictions—you might find some more detailed insights than originally anticipated.

Break out of your routine: If you're used to brainstorming in a conference room or over Zoom calls, do something a little different! Take your brainstorming meeting to a coffee shop or have your Zoom call while you're taking a walk. Getting out of your routine can force your brain out of its usual rut and increase critical thinking.

3. Define the solution

After you brainstorm with team members to get their unique perspectives on a scenario, it's time to look at the different strategies and decide which option is the best solution for the problem at hand. When defining the solution, consider these main two questions: What is the desired outcome of this solution and who stands to benefit from this solution? 

Set a deadline for when this decision needs to be made and update stakeholders accordingly. Sometimes there's too many people who need to make a decision. Use your best judgement based on the limitations provided to do great things fast.

4. Implement the solution

To implement your solution, start by working with the individuals who are as closest to the problem. This can help those most affected by the problem get unblocked. Then move farther out to those who are less affected, and so on and so forth. Some solutions are simple enough that you don’t need to work through multiple teams.

After you prioritize implementation with the right teams, assign out the ongoing work that needs to be completed by the rest of the team. This can prevent people from becoming overburdened during the implementation plan . Once your solution is in place, schedule check-ins to see how the solution is working and course-correct if necessary.

Implement common problem-solving strategies

There are a few ways to go about identifying problems (and solutions). Here are some strategies you can try, as well as common ways to apply them:

Trial and error

Trial and error problem solving doesn't usually require a whole team of people to solve. To use trial and error problem solving, identify the cause of the problem, and then rapidly test possible solutions to see if anything changes. 

This problem-solving method is often used in tech support teams through troubleshooting.

The 5 whys problem-solving method helps get to the root cause of an issue. You start by asking once, “Why did this issue happen?” After answering the first why, ask again, “Why did that happen?” You'll do this five times until you can attribute the problem to a root cause. 

This technique can help you dig in and find the human error that caused something to go wrong. More importantly, it also helps you and your team develop an actionable plan so that you can prevent the issue from happening again.

Here’s an example:

Problem: The email marketing campaign was accidentally sent to the wrong audience.

“Why did this happen?” Because the audience name was not updated in our email platform.

“Why were the audience names not changed?” Because the audience segment was not renamed after editing. 

“Why was the audience segment not renamed?” Because everybody has an individual way of creating an audience segment.

“Why does everybody have an individual way of creating an audience segment?” Because there is no standardized process for creating audience segments. 

“Why is there no standardized process for creating audience segments?” Because the team hasn't decided on a way to standardize the process as the team introduced new members. 

In this example, we can see a few areas that could be optimized to prevent this mistake from happening again. When working through these questions, make sure that everyone who was involved in the situation is present so that you can co-create next steps to avoid the same problem. 

A SWOT analysis

A SWOT analysis can help you highlight the strengths and weaknesses of a specific solution. SWOT stands for:

Strength: Why is this specific solution a good fit for this problem? 

Weaknesses: What are the weak points of this solution? Is there anything that you can do to strengthen those weaknesses?

Opportunities: What other benefits could arise from implementing this solution?

Threats: Is there anything about this decision that can detrimentally impact your team?

As you identify specific solutions, you can highlight the different strengths, weaknesses, opportunities, and threats of each solution. 

This particular problem-solving strategy is good to use when you're narrowing down the answers and need to compare and contrast the differences between different solutions.

After you’ve worked through a tough problem, don't forget to celebrate how far you've come. Not only is this important for your team of problem solvers to see their work in action, but this can also help you become a more efficient, effective , and flexible team. The more problems you tackle together, the more you’ll achieve.

Evaluating and Selecting Solutions

Once you know these steps, you can then get creative with the approach you take to find the solutions you need.

1. Define the Problem

Spend time elaborating on the problem, write it down, and discuss everything, so you’re clear on why the problem is occurring and who it is impacting.

Once you have clarity on the problem, you then need to start thinking about every possible solution . This is where you go big and broad, as you want to come up with as many alternative solutions as possible. Don’t just take the first idea; build out as many as you can through active listening, as the more you create, the more likely you’ll find a solution that has the best impact on the team.

3. Decide on a Solution

Whichever solution you pick individually or as a team, make sure you think about the impact on others if you implement this solution. Ask questions like:

  • How will they react to this change?
  • Will they need to change anything?
  • Who do we need to inform of this change?

4. Implement the Solution

At this stage of problem solving, be prepared for feedback, and plan for this. When you roll out the solution, request feedback on the success of the change made.

5. Review, Iterate, and Improve

Making a change shouldn’t be a one time action. Spend time reviewing the results of the change to make sure it’s made the required impact and met the desired outcomes.

Make changes where needed so you can further improve the solution implemented.

Each individual or team is going to have different needs and may need a different technique to encourage each of the problem solving steps. Try one of these to stimulate the process.

1-2-4 All Approach + Voting

The 1-2-4-All is a good problem solving approach that can work no matter how large the group is. Everyone is involved, and you can generate a vast amount of ideas quickly.

Ideas and solutions are discussed and organized rapidly, and what is great about this approach is the attendees own their ideas, so when it comes to implementing the solutions, you don’t have more work to gain buy-in.

As a facilitator, you first need to present the group with a question explaining the problem or situation. For example, “What actions or ideas would you recommend to solve the company’s lack of quiet working areas?”

With the question clear for all to see, the group then spends 5 minutes to reflect on the question individually. They can jot down their thoughts and ideas on Post-Its.

Now ask the participants to find one or two other people to discuss their ideas and thoughts with. Ask the group to move around to find a partner so they can mix with new people.

Ask the pairs to spend 5 minutes discussing their shared ideas and thoughts.

Next, put the group into groups of two or three pairs to make groups of 4-6. Each group shouldn’t be larger than six as the chances of everyone being able to speak reduces.

Ask the group to discuss one interesting idea they’ve heard in previous rounds, and each group member shares one each.

The group then needs to pick their preferred solution to the problem. This doesn’t have to be voted on, just one that resonated most with the group.

Then ask for three actions that could be taken to implement this change.

Bring everyone back together as a group and ask open questions like “What is the one thing you discussed that stood out for you?” or “Is there something you now see differently following these discussions?”

By the end of the session, you’ll have multiple approaches to solve the problem, and the whole group will have contributed to the future solutions and improvements.

The Lightning Decision Jam

The Lightning Decision Jam is a great way to solve problems collaboratively and agree on one solution or experiment you want to try straight away. It encourages team decision making, but at the same time, the individual can get their ideas and feedback across. [1]

If, as a team, you have a particular area you want to improve upon, like the office environment, for example, this approach is perfect to incorporate in the problem solving steps.

The approach follows a simple loop.

Make a Note – Stick It on The Wall – Vote – Prioritize

Using sticky notes, the technique identifies major problems, encourages solutions, and opens the group up for discussion. It allows each team member to play an active role in identifying both problems and ways to solve them.

Mind Mapping

Mind mapping is a fantastic visual thinking tool that allows you to bring problems to life by building out the connections and visualizing the relationships that make up the problem.

You can use a mind map to quickly expand upon the problem and give yourself the full picture of the causes of the problem, as well as solutions [2] .

Problem Solving with Mind Maps (Tutorial) - Focus

The goal of a mind map is to simplify the problem and link the causes and solutions to the problem.

To create a mind map, you must first create the central topic (level 1). In this case, that’s the problem.

Next, create the linked topics (level 2) that you place around and connect to the main central topic with a simple line.

If the central topic is “The client is always changing their mind at the last minute,” then you could have linked topics like:

  • How often does this happen?
  • Why are they doing this?
  • What are they asking for?
  • How do they ask for it?
  • What impact does this have?

Adding these linking topics allows you to start building out the main causes of the problem as you can begin to see the full picture of what you need to fix. Once you’re happy that you’ve covered the breadth of the problem and its issues, you can start to ideate on how you’re going to fix it with the problem solving steps.

Now, start adding subtopics (level 3) linking to each of the level 2 topics. This is where you can start to go big on solutions and ideas to help fix the problem.

For each of the linked topics (level 2), start to think about how you can prevent them, mitigate them, or improve them. As this is just ideas on paper, write down anything that comes to mind, even if you think the client will never agree to it!

The more you write down, the more ideas you’ll have until you find one or two that could solve the main problem.

Once you run out of ideas, take a step back and highlight your favorite solutions to take forward and implement.

The 5 Why’s

The five why’s can sound a little controversial, and you shouldn’t try this without prepping the team beforehand.

Asking “why” is a great way to go deep into the root of the problem to make the individual or team really think about the cause. When a problem arises, we often have preconceived ideas about why this problem has occurred, which is usually based on our experiences or beliefs.

Start with describing the problem, and then the facilitator can ask “Why?” fives time or more until you get to the root of the problem. It’s tough at first to keep being asked why, but it’s also satisfying when you get to the root of the problem [3] .

The 5 Whys

As a facilitator, although the basic approach is to ask why, you need to be careful not to guide the participant down a single route.

To help with this, you can use a mind map with the problem at the center. Then ask a why question that will result in multiple secondary topics around the central problem. Having this visual representation of the problem helps you build out more useful why questions around it.

Once you get to the root of the problem, don’t forget to be clear in the actions to put a fix in place to resolve it.

To fix a problem, you must first be in a position where you fully understand it. There are many ways to misinterpret a problem, and the best way to understand them is through conversation with the team or individuals who are experiencing it.

Once you’re aligned, you can then begin to work on the solutions that will have the greatest impact through effective problem solving steps.

For the more significant or difficult problems to solve, it’s often advisable to break the solution up into smaller actions or improvements.

Trial these improvements in short iterations, and then continue the conversations to review and improve the solution. Implementing all of these steps will help you root out the problems and find useful solutions each time.

What Is Creative Problem-Solving?

Encountering problems with no clear cause can be frustrating. This occurs when there’s disagreement around a defined problem or research yields unclear results. In such situations, creative problem-solving helps develop solutions, despite a lack of clarity.

While creative problem-solving is less structured than other forms of innovation, it encourages exploring open-ended ideas and shifting perspectives—thereby fostering innovation and easier adaptation in the workplace. It also works best when paired with other innovation-based processes, such as design thinking .

Creative Problem-Solving and Design Thinking

Design thinking is a solutions-based mentality that encourages innovation and problem-solving. It’s guided by an iterative process that Harvard Business School Dean Srikant Datar outlines in four stages in the online course Design Thinking and Innovation :

  • Clarify: This stage involves researching a problem through empathic observation and insights.
  • Ideate: This stage focuses on generating ideas and asking open-ended questions based on observations made during the clarification stage.
  • Develop: The development stage involves exploring possible solutions based on the ideas you generate. Experimentation and prototyping are both encouraged.
  • Implement: The final stage is a culmination of the previous three. It involves finalizing a solution’s development and communicating its value to stakeholders.

Although user research is an essential first step in the design thinking process, there are times when it can’t identify a problem’s root cause. Creative problem-solving addresses this challenge by promoting the development of new perspectives.

Leveraging tools like design thinking and creativity at work can further your problem-solving abilities. Here are eight tips for doing so.

8 Creative Problem-Solving Tips

1. empathize with your audience.

A fundamental practice of design thinking’s clarify stage is empathy. Understanding your target audience can help you find creative and relevant solutions for their pain points through observing them and asking questions.

Practice empathy by paying attention to others’ needs and avoiding personal comparisons. The more you understand your audience, the more effective your solutions will be.

2. Reframe Problems as Questions

If a problem is difficult to define, reframe it as a question rather than a statement. For example, instead of saying, "The problem is," try framing around a question like, "How might we?" Think creatively by shifting your focus from the problem to potential solutions.

Consider this hypothetical case study: You’re the owner of a local coffee shop trying to fill your tip jar. Approaching the situation with a problem-focused mindset frames this as: "We need to find a way to get customers to tip more." If you reframe this as a question, however, you can explore: "How might we make it easier for customers to tip?" When you shift your focus from the shop to the customer, you empathize with your audience. You can take this train of thought one step further and consider questions such as: "How might we provide a tipping method for customers who don't carry cash?"

Whether you work at a coffee shop, a startup, or a Fortune 500 company, reframing can help surface creative solutions to problems that are difficult to define.

3. Defer Judgment of Ideas

If you encounter an idea that seems outlandish or unreasonable, a natural response would be to reject it. This instant judgment impedes creativity. Even if ideas seem implausible, they can play a huge part in ideation. It's important to permit the exploration of original ideas.

While judgment can be perceived as negative, it’s crucial to avoid accepting ideas too quickly. If you love an idea, don’t immediately pursue it. Give equal consideration to each proposal and build on different concepts instead of acting on them immediately.

4. Overcome Cognitive Fixedness

Cognitive fixedness is a state of mind that prevents you from recognizing a situation’s alternative solutions or interpretations instead of considering every situation through the lens of past experiences.

Although it's efficient in the short-term, cognitive fixedness interferes with creative thinking because it prevents you from approaching situations unbiased. It's important to be aware of this tendency so you can avoid it.

5. Balance Divergent and Convergent Thinking

One of the key principles of creative problem-solving is the balance of divergent and convergent thinking. Divergent thinking is the process of brainstorming multiple ideas without limitation; open-ended creativity is encouraged. It’s an effective tool for generating ideas, but not every idea can be explored. Divergent thinking eventually needs to be grounded in reality.

Convergent thinking, on the other hand, is the process of narrowing ideas down into a few options. While converging ideas too quickly stifles creativity, it’s an important step that bridges the gap between ideation and development. It's important to strike a healthy balance between both to allow for the ideation and exploration of creative ideas.

6. Use Creative Tools

Using creative tools is another way to foster innovation. Without a clear cause for a problem, such tools can help you avoid cognitive fixedness and abrupt decision-making. Here are several examples:

Problem Stories

Creating a problem story requires identifying undesired phenomena (UDP) and taking note of events that precede and result from them. The goal is to reframe the situations to visualize their cause and effect.

To start, identify a UDP. Then, discover what events led to it. Observe and ask questions of your consumer base to determine the UDP’s cause.

Next, identify why the UDP is a problem. What effect does the UDP have that necessitates changing the status quo? It's helpful to visualize each event in boxes adjacent to one another when answering such questions.

The problem story can be extended in either direction, as long as there are additional cause-and-effect relationships. Once complete, focus on breaking the chains connecting two subsequent events by disrupting the cause-and-effect relationship between them.

Alternate Worlds

The alternate worlds tool encourages you to consider how people from different backgrounds would approach similar situations. For instance, how would someone in hospitality versus manufacturing approach the same problem? This tool isn't intended to instantly solve problems but, rather, to encourage idea generation and creativity.

7. Use Positive Language

It's vital to maintain a positive mindset when problem-solving and avoid negative words that interfere with creativity. Positive language prevents quick judgments and overcomes cognitive fixedness. Instead of "no, but," use words like "yes, and."

Positive language makes others feel heard and valued rather than shut down. This practice doesn’t necessitate agreeing with every idea but instead approaching each from a positive perspective.

Using “yes, and” as a tool for further idea exploration is also effective. If someone presents an idea, build upon it using “yes, and.” What additional features could improve it? How could it benefit consumers beyond its intended purpose?

While it may not seem essential, this small adjustment can make a big difference in encouraging creativity.

8. Practice Design Thinking

Practicing design thinking can make you a more creative problem-solver. While commonly associated with the workplace, adopting a design thinking mentality can also improve your everyday life. Here are several ways you can practice design thinking:

  • Learn from others: There are many examples of design thinking in business . Review case studies to learn from others’ successes, research problems companies haven't addressed, and consider alternative solutions using the design thinking process.
  • Approach everyday problems with a design thinking mentality: One of the best ways to practice design thinking is to apply it to your daily life. Approach everyday problems using design thinking’s four-stage framework to uncover what solutions it yields.

1. Define the problem

When a problem arises, it can be very easy to jump right into creating a solution. However, if you don’t thoroughly examine what led to the problem in the first place, you may create a strategy that doesn’t actually solve it. You may just be treating the symptoms.

For instance, if you realize that your sales from new customers are dropping, your first inclination might be to rush into putting together a marketing plan to increase exposure. But what if decreasing sales are just a symptom of the real problem? 

When you define the problem, you want to be sure you’re not missing the forest for the trees. If you have a large issue on your hands, you’ll want to look at it from several different angles:

Is a competitor’s promotion or pricing affecting your sales? Are there new entrants in your market? How are they marketing their product or business?

Going back to our example, by looking at every facet of your business, you may discover that you’re spending more on advertising than your competitors already. And instead, there’s a communication gap within your team that’s leading to the mishandling of new customers and therefore lost sales. 

If you jumped into fixing the exposure of your brand, you would have been dumping more money into an area you’re already winning. Potentially leading to greater losses as more and more new customers are dropped due to poor internal communication.

This is why it’s so vital that you explore your blind spots and track the problem to its source.

2. Conduct a SWOT analysis

All good businesses solve some sort of problem for customers. What if your particular business problem is actually an opportunity, or even a strength if considered from a different angle? This is when you’d want to conduct a SWOT analysis to determine if that is in fact the case.

SWOT is a great tool for strategic planning and bringing multiple viewpoints to the table when you’re looking at investing resources to solve a problem. This may even be incorporated in your attempts to identify the source of your problem, as it can quickly outline specific strengths and weaknesses of your business. And then by identifying any potential opportunities or threats, you can utilize your findings to kickstart a solution. 

3. Identify multiple solutions with design thinking

As you approach solving your problem, you may want to consider using the design thinking approach . It’s often used by organizations looking to solve big, community-based problems. One of its strengths is that it requires involving a wide range of people in the problem-solving process. Which leads to multiple perspectives and solutions arising.

This approach—applying your company’s skills and expertise to a problem in the market—is the basis for design thinking.

It’s not about finding the most complex problems to solve, but about finding common needs within the organization and in the real world and coming up with solutions that fit those needs. When you’re solving business problems, this applies in the sense that you’re looking for solutions that address underlying issues—you’re looking at the big picture.

4. Conduct market research and customer outreach

Market research and customer outreach aren’t the sorts of things small business owners and startups can do once and then cross off the list. When you’re facing a roadblock, think back to the last time you did some solid market research or took a deep dive into understanding the competitive landscape .

Market research and the insights you get from customer outreach aren’t a silver bullet. Many companies struggle with what they should do with conflicting data points. But it’s worth struggling through and gathering information that can help you better understand your target market . Plus, your customers can be one of the best sources of criticism. It’s actually a gift if you can avoid taking the negatives personally .

The worst thing you can do when you’re facing challenges is isolating yourself from your customers and ignore your competition. So survey your customers. Put together a competitive matrix . 

5. Seek input from your team and your mentors

Don’t do your SWOT analysis or design thinking work by yourself. The freedom to express concerns, opinions, and ideas will allow people in an organization to speak up. Their feedback is going to help you move faster and more efficiently. If you have a team in place, bring them into the discussion. You hired them to be experts in their area; use their expertise to navigate and dig deeper into underlying causes of problems and potential solutions.

So whoever you bring in to help you problem-solve, resist the urge to surround yourself with people who already agree with you about everything.

6. Apply lean planning for nimble execution

So you do your SWOT analysis and your design thinking exercise. You come up with a set of strong, data-driven ideas. But implementing them requires you to adjust your budget, or your strategic plan, or even your understanding of your target market.

Are you willing to change course? Can you quickly make adjustments? Well in order to grow, you can’t be afraid to be nimble . 

By adopting the lean business planning method —the process of revising your business strategy regularly—you’ll be able to shift your strategies more fluidly. You don’t want to change course every week, and you don’t want to fall victim to shiny object thinking. But you can strike a balance that allows you to reduce your business’s risk while keeping your team heading in the right direction.

This involves understanding your own emotional state, reactions and listening carefully to the responses of your team. The more you’re able to listen carefully, the better you’ll be at asking for and taking advice that actually leads to effective problem solving.

There are so many factors in play to consider and sometimes even the most well-thought-out solution doesn’t stick. Instead of being down on yourself or your team, look to separate yourself from the problem and continue to think of it as a puzzle worth solving. Problem-solving skills are critical for any career path—no matter where you work or what job you have, you’ll face problems big and small all the time. If you want to succeed in your career, being able to effectively navigate (and solve!) those problems is a must. But what, exactly, are problem-solving skills? What can you do to improve them? And if you’re looking for a new position, how can you show off your problem-solving skills during your job search to help you land an awesome job?

What Are Problem-Solving Skills and Why Are They Important?

“Problem-solving skills are skills that allow you to identify and define a situation that needs changing,” says Doug Noll , an attorney and adjunct faculty member at the Straus Institute of Dispute Resolution at Pepperdine University’s Caruso School of Law, where he teaches graduate-level classes in decision-making and problem-solving. Once you identify what needs changing, problem-solving skills also enable you to “identify the best outcomes, define potential processes for achieving the best outcomes, and evaluate how the process achieved (or failed to achieve) the desired outcome,” he says. “Every job imaginable involves problem-solving.”

Being able to effectively solve problems can help you succeed and impress, regardless of what kind of job you have or career you plan to pursue. “A person who sorts out problems and makes decisions—or at least brings potential solutions to the table—is seen as someone who can get things done,” says organizational consultant Irial O’Farrell , author of the upcoming book The Manager’s Dilemma: How to Empower Your Team’s Problem Solving . “This makes managers’ lives easier—and managers notice people who make their lives easier, who get things done, and who don’t have to be told [what to do] the whole time. In turn, opportunities are put their way, enhancing their career.”

And the further you progress in your career, the more important those skills become, Noll says. “As you rise in an organization, the problems become more complex, ambiguous, uncertain, and risky. Only people able to solve these types of problems are promoted.” So as you hone your problem-solving skills, you become more valuable to any organization—and will be able to climb the ladder more easily as a result.

The 6 Steps of Problem-Solving—and the Skills You Need for Each One

Problem-solving is a process. And, like any process, there are certain steps you need to take in order to get to the finish line:

Step #1: Identify and Assess the Problem

You can’t solve a problem if you don’t know what the problem is. So “the first step is to recognize that an issue—or potential issue—exists,” O’Farrell says. In order to do that, you’ll need “a certain amount of knowledge or awareness of what should be happening as compared to what is actually happening.”

Once you recognize there’s a problem, you’ll need to evaluate its potential impact. “Is this going to affect three people or 203 people? Is this going to cost us $10 or $100,000? How material is this issue?” O’Farrell says. “Being able to evaluate the size, impact, and costs [of a problem] is a key skill here.”

When you understand the scope of the problem, you’ll have a better idea of what you’re dealing with—and will be able to come up with appropriate, relevant solutions as a result.

Step #2: Get to the Source of the Problem

Once you know what the problem is (and what its potential impact might be), it’s time to figure out where the problem is coming from or why it’s happening—as identifying the source of the problem will give you key insights into how to fix it.

“Often we notice a problem because of its symptoms, rather than its root cause. As a result, it is common to focus on resolving the symptoms, rather than what is causing the symptoms,” O’Farrell says. But “by understanding the root causes, a better, longer-term solution can be identified.”

There are a variety of techniques to help you dig deeper and understand what’s causing the problem at hand. For example, a 5 Whys analysis could help you uncover the root cause of a problem by having you ask “Why?” five times in a row, with each “Why?” building off the previous answer. Or you might try the fishbone diagram —also known as a cause-and-effect analysis—which encourages looking at the different categories that could be causing a problem and brainstorming potential root causes within each of those categories.

During this stage of the problem-solving process, curiosity is key; you’ll need it to explore all the different factors that could be contributing to the problem.

Step #3: Brainstorm Potential Solutions

Once you’ve identified the problem (and the root of the problem), “the next step is to brainstorm potential options that will resolve it,” O’Farrell says.

How much brainstorming you’ll need to do will depend on the problem you’re dealing with. “If it’s a fairly small, straightforward issue, then identifying a few options might be sufficient,” O’Farrell says. Especially for a bigger issue, “Taking some time to think beyond the obvious might lead to a better and longer-term solution.”

The size and scope of the problem will also determine who needs to be involved in this step. In some cases, you may be able to brainstorm solutions yourself. But if you’re dealing with a larger, more complex issue, getting more people involved (and choosing the right people, i.e. those best equipped to handle the problem) is important. You’ll need to be able to judge what kind of problem it is and who to bring in to help and lead a productive brainstorming session.

One of the most important skills you’ll draw on at this stage is creativity. The more creative you are during your brainstorm, the more (and better) potential solutions you’ll be able to come up with—and the more likely one of those solutions will be the solution you’re looking for.

Step #4: Evaluate Solutions

Once you have a list of potential solutions from your brainstorming session, the next step is to examine each one carefully and narrow down your list so only the best solutions remain.

In order to succeed during this stage of the problem-solving process, you’ll need to be able to dig into each potential solution and evaluate how viable it is. You may make a pros and cons list for each potential solution, talk through the benefits and drawbacks with your team, and then narrow down your options to the solutions that have the most potential upsides.

All the work you put into the problem-solving process up to this point will also come in handy as you’re evaluating which of your potential solutions might ultimately be the most effective. “Having a strong understanding of what the issue is, why it’s an issue, and what is causing it helps in being able to determine if each of the solutions will sort the issue out,” O’Farrell says.

Step #5: Choose the Best Solution

Once you’ve narrowed down your list of potential solutions—and weighed the pros and cons of each—it’s time for you (or your supervisor or another decision-maker) to choose one.

“Depending on the type and impact of the issue and your role and authority, you may be the one making the decision or you may be presenting the issue and potential solutions to your boss,” O’Farrell says.

Knowing who should make the call is a key part of this step; if the problem is complex or will have a major impact on your organization that goes beyond your level of responsibility, it’s probably best to bring potential solutions to your boss and/or other stakeholders—and give them the final say.

Step #6: Implement the Decision and Reflect on the Outcome

Choosing a solution in and of itself doesn’t fix anything. You need to actually implement that solution—and do it well. That means developing a plan and coordinating with other key players in your organization to put that plan into action—which requires a host of skills (such as communication, collaboration, and project management).

Before you can hang up your problem-solving hat, you’ll also need to “go back and evaluate if the solution sorted out the issue” or if it caused any unintended consequences, O’Farrell says.

For example, let’s say your organization has a problem with taking too long to address customer service requests—and you rolled out a new ticket management system in order to deal with the issue. Once you implement that new system, you’ll want to follow up to make sure it’s allowing your customer service reps to deal with requests faster and hasn’t caused any new, different, or unexpected issues (for example, tickets getting lost in the queue or customers being less satisfied with the quality of support they received).

How to Improve Your Problem-Solving Skills

Clearly, solving problems is a complex process—and it’s a process you need to nail if you want to grow in your career. But how can you improve your problem-solving skills so they can help you thrive in your career?

  • Put on your student hat. One of the best ways to improve here is to study how to effectively solve problems. “Read case studies of complex problems,” Noll says. (For example, if you want to land a marketing job, you might search for case studies on how other companies were able to increase their qualified leads or drive more traffic to their website.) Noll also suggests reading books about different problem-solving techniques—or, if you really want to level up your skills, investing in a general course in critical thinking and problem-solving. “A good course should teach you how to think,” he says—and critical thinking plays a huge role in problem-solving.
  • Try different brainstorming techniques. If you want to be a better problem solver, try pushing yourself to think outside of the box. “Learning some brainstorming techniques and expanding your thinking beyond the obvious solutions is also a way to make your problem-solving skills stand out,” O’Farrell says. Brainstorming techniques like brainwriting (a nonverbal brainstorming technique for teams) or rapid ideation (which pushes you to come up with as many ideas as possible in a short time frame) can help spark creative thinking—and help you become a more creative problem solver in the process.
  • Ask expert problem-solvers how they solve problems. People in your professional (or personal!) life who excel at solving problems can be a great resource for leveling up your own problem-solving skills. “Talk to senior mentors about how they approached complex problems,” Noll says. “Get them to talk about their failures and mistakes,” he says, not just their successes. Seeing how other people solve problems and what they’ve learned from their experiences can help you approach problems in a different way and can make you a more versatile problem solver.
  • Practice, practice, practice. Like with anything else, if you want to improve your problem-solving skills, you need to practice solving problems. “Most people jump to the easy, intuitive answer rather than [carefully thinking] through the problem,” O’Farrell says. So next time you’re confronted with a problem, rather than jump to a hasty solution, take your time to go through the entire problem-solving process. And if you don’t have any real problems to deal with? Attempting to solve hypothetical problems can be just as helpful.

How to Show Off Your Problem-Solving Skills During the Job Search

Recruiters and hiring managers are looking for people with problem-solving skills who can help them, their team, and their company achieve their goals even in the face of obstacles and setbacks. So if you want to stand out, nail the interview, and score the job, you’ll need to showcase your problem-solving skills throughout your job search.

Here are a few ways to show off your problem-solving skills:

On a Resume

You can show potential employers that you’re a problem solver right on your resume. As you write your bullets for each past job and other experiences, “Incorporate one main challenge that you had to overcome, and give a brief synopsis of how you approached it, what the solution was and, most importantly, what the positive outcome was,” O’Farrell says.

For example, let’s say you’re a marketing manager and you had to figure out a way to launch a new product with a minimal budget. Under your current role, you might include a bullet point that says:

  • Launched new sunscreen line across digital and traditional channels with <$10,000 budget by exploring up-and-coming distribution channels and negotiating wide-scale distribution agreements, bringing in $60,000 in new product sales within 90 days of launch

O’Farrell also recommends using action verbs (like “ analyze,” “evaluate,” or “identify”) to call out your problem-solving skills on a resume.

In a Cover Letter

In your cover letter, you’ll have more room and flexibility to showcase your problem-solving skills—and you should definitely take advantage of the opportunity.

Noll suggests using your cover letter to tell a quick story (think two to three sentences) about when and how you’ve solved a relevant problem. In your story, you want to include:

  • What the problem was
  • How you approached it/came to a solution
  • What the outcomes of your problem-solving were
  • What lessons you learned

Another strategy is to highlight how you would use your problem-solving skills within the context of the role you’re applying for. “I’d recommend reviewing the job description and identifying what types of problems you might have to deal with in the role,” O’Farrell says. Then you can speak directly to how you might approach them.

For example, let’s say you’re applying for an executive assistant position that requires extensive scheduling and calendar management for an exec who is often traveling for business. In that situation, you might explain how you’d solve the problem of scheduling while the exec is out of office (for example, by developing an appointment approval system that allows the exec to approve all appointment requests remotely, with a plan for how to notify the exec of appointment requests that need immediate attention).

During Interviews

The interview process offers the best opportunity for your problem-solving skills to shine, so you’ll want to come prepared.

“In preparation for the interview, select two to three situations where you used your problem-solving skills,” O’Farrell says. That way, when the interviewer asks you for examples of problems you’ve faced in your career—and how you solved them—you’ll have relevant stories ready. If you’re not sure how to tell your story effectively, the STAR method (which breaks down your story into four parts: S ituation, T ask, A ction, and R esult) can be helpful.

As a potential candidate, it’s also important to ask how you’ll need to use your skills on the job, Noll says. So you might ask the interviewers to share some of the issues or problems they’re hoping to solve by filling this position.

And if they turn around and ask you how you’d solve those problems? Don’t panic! If you have a story of a similar problem you’ve solved in the past, this is a great opportunity to share it. Otherwise, just talk through how you would approach it. Remember, the interviewers don’t expect you to come up with detailed solutions for problems their company is facing on the spot; they just want to get a sense of how you would begin to think about those problems if you were hired.

Most of us face problems that we must solve every day. While some problems are more complex than others, we can apply critical thinking skills to every problem by asking questions like, what information am I missing? Why and how is it important? What are the contributing factors that lead to the problem? What resources are available to solve the problem? These questions are just the start of being able to think of innovative and effective solutions. Read through the following critical thinking, problem-solving process to identify steps you are already familiar with as well as opportunities to build a more critical approach to solving problems.

Problem-Solving Process

Step 1: define the problem.

Albert Einstein once said, “If I had an hour to solve a problem, I’d spend 55 minutes thinking about the problem and five minutes thinking about solutions.”

Often, when we first hear of or learn about a problem, we do not have all the information. If we immediately try to find a solution without having a thorough understanding of the problem, then we may only be solving a part of the problem.  This is called a “band-aid fix,” or when a symptom is addressed, but not the actual problem. While these band-aid fixes may provide temporary relief, if the actual problem is not addressed soon, then the problem will continue and likely get worse. Therefore, the first step when using critical thinking to solve problems is to identify the problem. The goal during this step is to gather enough research to determine how widespread the problem is, its nature, and its importance.

Step 2: Analyze the Causes

This step is used to uncover assumptions and underlying problems that are at the root of the problem. This step is important since you will need to ensure that whatever solution is chosen addresses the actual cause, or causes, of the problem.

Asking “why” questions to uncover root causes

A common way to uncover root causes is by asking why questions. When we are given an answer to a why question, we will often need to question that answer itself. Thus the process of asking “why” is an  iterative process —meaning that it is a process that we can repeatedly apply. When we stop asking why questions depends on what information we need and that can differ depending on what the goals are. For a better understanding, see the example below:

Problem: The lamp does not turn on.

  • Why doesn’t the lamp turn on? The fuse is blown.
  • Why is the fuse blown? There was overloaded circuit.
  • Why was the circuit overloaded? The hair dryer was on.

If one is simply a homeowner or tenant, then it might be enough to simply know that if the hair dryer is on, the circuit will overload and turn off.  However, one can always ask further why questions, depending on what the goal is. For example, suppose someone wants to know if all hair dryers overload circuits or just this one. We might continue thus:

  • Why did this hair dryer overload the circuit? Because hair dryers in general require a lot of electricity.

But now suppose we are an electrical engineer and are interested in designing a more environmentally friendly hair dryer. In that case, we might ask further:

  • Why do hair dryers require so much energy?

As you can see from this example, what counts as a root cause depends on context and interests. The homeowner will not necessarily be interested in asking the further why questions whereas others might be.

Step 3: Generate Solutions

The goal of this step is to generate as many solutions as possible. In order to do so, brainstorm as many ideas as possible, no matter how outrageous or ineffective the idea might seem at the time. During your brainstorming session, it is important to generate solutions freely without editing or evaluating any of the ideas. The more solutions that you can generate, the more innovative and effective your ultimate solution might become upon later review.

You might find that setting a timer for fifteen to thirty minutes will help you to creatively push past the point when you think you are done. Another method might be to set a target for how many ideas you will generate. You might also consider using categories to trigger ideas. If you are brainstorming with a group, consider brainstorming individually for a while and then also brainstorming together as ideas can build from one idea to the next.

Step 4: Select a Solution

Once the brainstorming session is complete, then it is time to evaluate the solutions and select the more effective one.  Here you will consider how each solution will address the causes determined in step 2. It is also helpful to develop the criteria you will use when evaluating each solution, for instance, cost, time, difficulty level, resources needed, etc. Once your criteria for evaluation is established, then consider ranking each criterion by importance since some solutions might meet all criteria, but not to equally effective degrees.

In addition to evaluating by criteria, ensure that you consider possibilities and consequences of all serious contenders to address any drawbacks to a solution. Lastly, ensure that the solutions are actually feasible.

Step 6: Put Solution into Action

While many problem-solving models stop at simply selecting a solution, in order to actually solve a problem, the solution must be put into action. Here, you take responsibility to create, communicate, and execute the plan with detailed organizational logistics by addressing who will be responsible for what, when, and how.

Step 7: Evaluate progress

The final step when employing critical thinking to problem-solving is to evaluate the progress of the solution. Since critical thinking demands open-mindedness, analysis, and a willingness to change one’s mind, it is important to monitor how well the solution has actually solved the problem in order to determine if any course correction is needed.

While we solve problems every day, following the process to apply more critical thinking approaches in each step by considering what information might be missing; analyzing the problem and causes; remaining open-minded while brainstorming solutions; and providing criteria for, evaluating, and monitoring solutions can help you to become a better problem-solver and strengthen your critical thinking skills.

The Power Of Stories

As humans, we are attracted to stories. A compelling narrative holds a reader's attention and there is a payoff at the end. If I asked you about a recent trip to the grocery store, you would naturally fall into story structure. You might say something like: “I went to buy a loaf of bread, but the parking lot was full, and I had to park too far away. They didn’t have my favorite bread, so I settled for another kind. Then, I waited forever in the checkout line because the person ahead of me had a full cart. Finally, I got home, exhausted.”

Read the paragraph again. There’s a hero (you) who wants something (bread) and must overcome obstacles to achieve their goal or fail in their attempt.

After working with hundreds of brands on their digital marketing strategies at Thrive Agency, the best advice I can give is to help your ideal client solve their problem through story.

The Five-Finger Approach

I want to give you an easy way to remember the components of a good story: your five fingers.

Pinky Promise: Define Your Commitment

Hold up your left hand. We will start with the pinky finger. Think of this finger as the promise you make to your ideal client. It’s a metaphor for the pinky promise you made a friend on the playground as a child. You need to have the same mindset. If your business is a restoration company, your pinky promise is to return the customer’s home to its original condition.

Ring Finger: Build Relationships

Now move to your ring finger. The ring finger is where a wedding band is worn in the United States. We will use this finger to symbolize the courtship and ultimate marriage with your client over many interactions. In the sales process, you can’t ask them to marry you on the first date (interaction). Structuring your content, follow-up and calls to action should be akin to a good old-fashioned courtship. Respect the process.

Middle Finger: Identify And Defy Your Villain

Next, let’s look at the middle finger. This finger represents defiance but directed at whom? Your enemy. Every brand has a villain. You must call them out and ensure your ideal client doesn’t risk making the wrong choice and failing in their quest to solve their problem. You are the best choice. Be prepared to explain why.

The villain may be a person, a company or an ideology. If you are in weight loss or fitness, your villain may be fad diets. Go head-to-head and don’t back down. Your ideal client has likely tried multiple options to solve their pain and failed. These failures are the conflict in the story; the obstacles to achieving their goal or relieving their pain. Let your client know you’ve helped others before. You know what to do. Social proof, customer testimonials, awards and reviews are gold. Use them.

Pointer Finger: Maintain Singular Focus

After that, we have the pointer or index finger. Raise that finger. It translates into number one. When telling a story, you need to know your market. Speak directly to them. The pointer finger represents the need for singular focus—one audience, one big idea, one solution and one compelling call to action. Data-based evidence in our conversion rate optimization studies confirms that trying to please everyone will be a conversion failure.

Thumb: Measure Success

Finally, we come to the power of the thumb. A thumbs-up is the universal symbol of success. It represents approval from your audience, positive metrics and customer satisfaction. A thumbs down means improvements are needed.

Applying The Five-Finger Approach To A Restoration Company

Imagine a restoration company using the five-finger approach to tell its brand story.

1. Pinky Promise: They promise to restore customers' homes to their original condition, ensuring peace of mind during stressful times.

2. Ring Finger: They build relationships through empathetic and supportive communication, guiding customers through the restoration process step-by-step and providing regular updates.

3. Middle Finger: They identify the villain as subpar restoration services that leave homeowners with lingering issues. The company highlights its superior quality and reliability through customer testimonials and reviews.

4. Pointer Finger: Their marketing focuses on homeowners who have recently experienced property damage, offering a clear solution—comprehensive restoration services—and a compelling call to action: "Call us today for a free inspection."

5. Thumb: They gather feedback through customer surveys and monitor metrics such as customer satisfaction scores and repeat business rates. Adjustments are made based on this feedback to continually improve their services.

Aligning all of these elements together ensures a common story across platforms. The audience can step into the narrative at any point and feel the story unfold as the customer journey guides them to the solution to their pain. By following this five-finger approach, you can craft a compelling brand story that connects with your audience and drives conversions across all digital channels.

  • We respond to conflicts based on our perceptions of the situation, not necessarily to an objective review of the facts. Our perceptions are influenced by our life experiences, culture, values, and beliefs.
  • Conflicts trigger strong emotions. If you aren’t comfortable with your emotions or able to manage them in times of stress, you won’t be able to resolve conflict successfully.
  • Conflicts are an opportunity for growth. When you’re able to resolve conflict in a relationship, it builds trust. You can feel secure knowing your relationship can survive challenges and disagreements.

Conflict arises from differences, both large and small. It occurs whenever people disagree over their values, motivations, perceptions, ideas, or desires. Sometimes these differences appear trivial, but when a conflict triggers strong feelings, a deep personal need is often at the core of the problem. These needs can range from the need to feel safe and secure or respected and valued, to the need for greater closeness and intimacy.

Think about the opposing needs of a toddler and a parent. The child’s need is to explore, so venturing to the street or the cliff edge meets that need. But the parent’s need is to protect the child’s safety, a need that can only be met by limiting the toddler’s exploration. Since these needs are at odds, conflict arises.

The needs of each party play an important role in the long-term success of a relationship. Each deserves respect and consideration. In personal relationships, a lack of understanding about differing needs can result in distance, arguments, and break-ups. In the workplace, differing needs can result in broken deals, decreased profits, and lost jobs.

When you can recognize conflicting needs and are willing to examine them with compassion and understanding, it can lead to creative problem solving, team building, and stronger relationships.

Do you fear conflict or avoid it at all costs? Conflict triggers strong emotions and can lead to hurt feelings, disappointment, and discomfort. When handled in an unhealthy manner, it can cause irreparable rifts, resentments, and break-ups. But when conflict is resolved in a healthy way, it increases your understanding of the other person, builds trust, and strengthens your relationships.

If you are out of touch with your feelings or so stressed that you can only pay attention to a limited number of emotions, you won’t be able to understand your own needs. This will make it hard to communicate with others and establish what’s really troubling you. For example, couples often argue about petty differences—the way she hangs the towels, the way he slurps his soup—rather than what is  really bothering them.

The ability to successfully resolve conflict depends on your ability to:

  • Manage stress quickly while remaining alert and calm. By staying calm, you can accurately read and interpret verbal and nonverbal communication.
  • Control your emotions and behavior. When you’re in control of your emotions, you can communicate your needs without threatening, intimidating, or punishing others.
  • Pay attention to the  feelings being expressed as well as the spoken words of others.
  • Be aware of and respect differences. By avoiding disrespectful words and actions, you can almost always resolve a problem faster.

To successfully resolve a conflict, you need to learn and practice two core skills:

  • Quick stress relief: the ability to quickly relieve stress in the moment.
  • Emotional awareness: the ability to remain comfortable enough with your emotions to react in constructive ways, even in the midst of a perceived attack.

Being able to manage and relieve stress in the moment is the key to staying balanced, focused, and in control, no matter what challenges you face. If you don’t know how to stay centered and in control of yourself, you will become overwhelmed in conflict situations and unable to respond in healthy ways.

Psychologist Connie Lillas uses a driving analogy to describe the three most common ways people respond when they’re overwhelmed by stress:

Foot on the gas. An angry or agitated stress response. You’re heated, keyed up, overly emotional, and unable to sit still.

Foot on the brake. A withdrawn or depressed stress response. You shut down, space out, and show very little energy or emotion.

Foot on both gas and brake. A tense and frozen stress response. You “freeze” under pressure and can’t do anything. You look paralyzed, but under the surface you’re extremely agitated.

How stress affects conflict resolution

Stress interferes with the ability to resolve conflict by limiting your ability to:

  • Accurately read another person’s body language .
  • Hear what someone is really saying.
  • Be aware of your own feelings.
  • Be in touch with your own, deep-rooted needs.
  • Communicate your needs clearly.

You may be so used to feeling stressed that you’re not even aware you  are stressed. Stress may pose a problem in your life if you identify with the following:

  • You often feel tense or tight somewhere in your body.
  • You’re not aware of movement in your chest or stomach when you breathe.
  • Conflict absorbs your time and attention.

Learn how to manage stress in the moment

One of the most reliable ways to rapidly reduce stress is by engaging one or more of your senses—sight, sound, taste, smell, touch—or through movement. You could squeeze a stress ball, smell a relaxing scent, taste a soothing cup of tea, or look at a treasured photograph. We all tend to respond differently to sensory input, often depending on how we respond to stress, so take some time to find things that are soothing to you. Read: Quick Stress Relief .

Emotional awareness is the key to understanding yourself and others. If you don’t know how or why you feel a certain way, you won’t be able to communicate effectively or resolve disagreements.

Although knowing your own feelings may sound simple, many people ignore or try to sedate strong emotions like anger, sadness, and fear. Your ability to handle conflict, however, depends on being connected to these feelings. If you’re afraid of strong emotions or if you insist on finding solutions that are strictly rational, your ability to face and resolve differences will be limited.

Why emotional awareness is a key factor in resolving conflict

Emotional awareness—the consciousness of your  moment-to-moment emotional experience—and the ability to manage all of your feelings appropriately, is the basis of a communication process that can resolve conflict.

Emotional awareness helps you to:

  • Understand what is really troubling other people
  • Understand yourself, including what is really troubling you
  • Stay motivated until the conflict is resolved
  • Communicate clearly and effectively
  • Interest and influence others

Assessing your level of emotional awareness

The following quiz helps you assess your level of emotional awareness. Answer the following questions with:  almost never, occasionally, often, very often, or  almost always . There are no right or wrong responses, only the opportunity to become better acquainted with your emotional responses.

What kind of relationship do you have with your emotions?

  • Do you experience feelings that flow, encountering one emotion after another as your experiences change from moment to moment?
  • Are your emotions accompanied by physical sensations that you experience in places like your stomach or chest?
  • Do you experience distinct feelings and emotions, such as anger, sadness, fear, and joy, which are evident in different facial expressions?
  • Can you experience intense feelings that are strong enough to capture both your own attention and that of others?
  • Do you pay attention to your emotions? Do they factor into your decision-making?

When people are in the middle of a conflict, the words they use rarely convey the issues at the heart of the problem. But by paying close attention to the other person’s nonverbal signals or “body language,” such as facial expressions, posture, gestures, and tone of voice, you can better understand what the person is really saying. This will allow you to respond in a way that builds trust, and gets to the root of the problem.

Your ability to accurately read another person depends on your own emotional awareness. The more aware you are of your own emotions, the easier it will be for you to pick up on the wordless clues that reveal what others are feeling. Think about what you are transmitting to others during conflict, and if what you say matches your body language. If you say “I’m fine,” but you clench your teeth and look away, then your body is clearly signaling you are anything but “fine.” A calm tone of voice, a reassuring touch, or an interested facial expression can go a long way toward relaxing a tense exchange.

You can ensure that the process of managing and resolving conflict is as positive as possible by sticking to the following guidelines:

Listen for what is felt as well as said. When you really listen, you connect more deeply to your own needs and emotions, and to those of other people. Listening also strengthens, informs, and makes it easier for others to hear you when it’s your turn to speak.

Make conflict resolution the priority rather than winning or “being right.” Maintaining and strengthening the relationship, rather than “winning” the argument, should always be your first priority. Be respectful of the other person and their viewpoint.

Focus on the present. If you’re holding on to grudges based on past conflicts, your ability to see the reality of the current situation will be impaired. Rather than looking to the past and assigning blame, focus on what you can do in the here-and-now to solve the problem.

Pick your battles. Conflicts can be draining, so it’s important to consider whether the issue is really worth your time and energy. Maybe you don’t want to surrender a parking space if you’ve been circling for 15 minutes, but if there are dozens of empty spots, arguing over a single space isn’t worth it.

Be willing to forgive. Resolving conflict is impossible if you’re unwilling or unable to forgive others. Resolution lies in releasing the urge to punish, which can serve only to deplete and drain your life.

Know when to let something go. If you can’t come to an agreement, agree to disagree. It takes two people to keep an argument going. If a conflict is going nowhere, you can choose to disengage and move on.

Using humor in conflict resolution

You can avoid many confrontations and resolve arguments and disagreements by communicating in a humorous way . Humor can help you say things that might otherwise be difficult to express without offending someone. However, it’s important that you laugh with the other person, not at them. When humor and play are used to reduce tension and anger, reframe problems, and put the situation into perspective, the conflict can actually become an opportunity for greater connection and intimacy.

Laboratory teams with Georgia Institute of Technology for AI energy-grid research

Agreement with ai4opt will drive research and training on ai problem-solving.

A new agreement between Los Alamos National Laboratory and the National Science Foundation’s Artificial Intelligence Institute for Advances in Optimization , or AI4OPT, at Georgia Institute of Technology will drive research in applied artificial intelligence and engage students and other professionals in the future of the burgeoning field.

“This collaboration will help develop new artificial intelligence technologies for the next generation of scientific discovery and the design of complex systems and the control of engineered systems,” said Russell Bent, scientist at Los Alamos. “At Los Alamos, we have a lot of interest in doing work related to the optimization of complex systems, and we see an opportunity with AI to make systems more resilient and efficient in the face of factors like climate change, extreme events and third-party actors.”

The agreement spells out a research and educational partnership that will focus especially on AI tools for advancing a next-generation power grid. Building, maintaining and optimizing the energy grid requires extensive computation, with the time and power that that computation entails. AI-informed approaches, including modeling, could efficiently and effectively address power-grid problems.

An AI approach to optimization and problem-solving

Optimization is the practice of finding solutions that can effectively and efficiently use resources. The new research partnership uses the expertise and resources at Georgia Tech to develop “trustworthy foundation models” — models that, incorporating AI, save on the vast computing needed by some models to solve complex problems.  

In a system like energy grids, optimization means quickly sorting through possibilities and resources and delivering immediate solutions for power distribution in a crisis. The research agreement will develop “optimization proxies” that build on current optimization methods by using broader parameters, including generator limits, line ratings, generator commitments and grid topologies. While artificial intelligence approaches have helped train optimization proxies for energy applications, doing so using broader parameters has so far been a significant research challenge.

The collaboration will also concentrate on solving problems posed by the wide range of missions and applications at the Laboratory. The team’s research will build upon pioneering efforts in graph-based, physics-informed machine learning to help address Laboratory mission problems.

Outreach and training opportunities

The Laboratory will also host a Grid Science Winter School and Conference in January 2025, with dozens of students and postdoctoral researchers among the participants in multiple days of lectures on methods and techniques applicable to the electrical grid by Lab scientists and its academic partners. This year, with Georgia Tech as a co-organizer and partner, artificial intelligence optimization for the energy grid will be front and center at the event.

The Laboratory began collaborating with Georgia Tech in 2020, with a focus on the energy grid. A number of industrial and academic organizations are part of AI4OPT, including Los Alamos. The institute’s mission is to facilitate “a paradigm shift in automated decision making at massive scales by fusing AI and Mathematical Optimization, to deliver breakthroughs that neither field can achieve independently.”

“The use-inspired research in AI4OPT seeks to address fundamental societal and technological challenges,” said Pascal Van Hentenryck, AI4OPT director. “The energy grid is of special importance as a complex system that is central to our everyday life. Working with Los Alamos, we have an opportunity to advance a research mission and educational vision that makes an impact for science and our society.”   

The three-year agreement runs through 2027 and is funded as a Laboratory Directed Research and Development program director’s initiative project on advancing Artificial Intelligence for Mission, or ArtIMis, which in turn supports the Laboratory’s signature institutional commitment in support of AI. Earl Lawrence is the project’s principal investigator, with Diane Oyen and Emily Casleton joining Bent as co-principal investigators.

Bent, Castleton, Lawrence and Oyen are also members of the AI Council at the Laboratory. The AI Council is charged with helping the Lab navigate the fast-evolving landscape around AI, build investment capacities, and forge industry and academic partnerships.

As emphasized in the announcement of the Department of Energy’s Frontiers in Artificial Intelligence for Science, Security and Technology (FASST) initiative , AI technologies will broadly transform the contributions of the laboratories to national missions. This AI4OPT partnership with Georgia Tech builds key strengths for that future.

Jamie Dimon says the 'Buffett Rule' approach to taxing the wealthy could solve America's debt problem

  • On PBS, Jamie Dimon described the Buffett Rule as a good idea for clamping down on US debt.
  • It says richer households shouldn't pay taxes on a smaller share of income than middle-class ones.
  • He argued that if the US followed this, it could continue spending while still reducing debt.

JPMorgan CEO Jamie Dimon has put forth a solution to unrestrained US debt: Tax the rich at the same rate as middle-class people, or at a higher rate.

The bank executive told " PBS News Hour " that the country could clamp down on runaway borrowing without eliminating spending. Dimon said he expects that reducing the debt while still investing in the right initiatives is "doable."

"I would spend the money that helps make it a better country, so some of this is infrastructure, earned-income tax credits, military," he said. "I would have a competitive national tax system, and then I would maximize growth."

Dimon added, "And then you'll have a little bit of a deficit, and you would maybe just raise taxes a little bit — like the Warren Buffett type of rule, I would do that."

This rule posits that no household making above $1 million a year should pay taxes on a lower share of their income than middle-class earners. It earned its name from the billionaire investor Warren Buffett, who famously criticized the fact that his secretary paid a higher tax rate than he did.

Calls for wealthier Americans to pay higher taxes have grown louder in the past year as economists have searched for answers to the federal government's skyrocketing debt .

Anxiety has grown as the government's debt pile has ballooned to a record $35 trillion. The Congressional Budget Office has projected that it could make up 6% of US GDP by the end of this year , which would far outpace the 50-year average of 3.7%.

If debt remains unchecked amid high interest rates, the government will face higher borrowing costs. Some say that this might compound debt levels and that the US could eventually spiral into a default .

Otherwise, higher borrowing costs mean Washington will have less to spend on social initiatives. A recent report from the Peter G. Peterson Foundation pointed out that the Congressional Budget Office has estimated that by 2054, interest payments on the debt will triple Washington's historical spending on research and development, infrastructure, and education.

Dimon has been among Wall Street's most consistent voices to raise the alarm, frequently saying runaway borrowing will amplify inflation and interest-rate pressures through the coming decade.

Not everyone shares Dimon's optimism that tax hikes alone can solve this problem. Though some commentators have pushed for tax-hike proposals that embrace all income levels, others have urged both Democrats and Republicans to consider spending cuts as well.

However, speaking with PBS, Dimon argued that the US should continue to spend money that helps maintain its economic strength and creates a more equitable income environment.

This study outlines the application of the Six Sigma methodology to rectify oil seal leaks in an automobile company's hollow drive shafts. Persistent issues with oil seepage through the shaft's oil seal led to clutch malfunctions, power failures, and subsequent breakdowns, resulting in high warranty costs, which negatively impacted the status of a firm in the market and the level of fulfillment experienced by its clients. Projects are crucial for translating an organization's strategic goals into achievable outcomes, serving as the cornerstone of success. We implemented a quality-driven effort using Six Sigma and the Theory of Inventive Problem Solving (TRIZ) to foster a culture of continuous improvement. Utilizing the procedures-oriented DMADV (Define, Measure, Analyze, Design, and Verify) technique, the oil seal leakage issue was addressed and resolved successfully from the gearbox. The Pugh matrix was used to choose a new design from various alternatives, a KANO model to evaluate customer demands, and a cause-and-effect diagram to analyze possible failure situations. The overall aim was to determine the failure situations that were most likely to occur. Through its deployment, we intended to improve both the product's dependability and the production process's efficiency. Following the design improvements, the defects observed in the assemblies dropped to 58, with no occurrences of oil seal leakage. It is plausible to conclude that these techniques can significantly enhance product quality. The study demonstrates the efficacy of Six Sigma methodologies in tackling intricate situations.
