Steps for writing an appreciation speech

Step 1: Know Your Audience — And Your Place

Your speech will depend on a variety of factors. But the most important ones to consider are the setting and the crowd. If your speech is a casual toast between friends over a bottle of wine, it will be a lot more casual.

You can rely on personal anecdotes and the language you use will be more personal. If you’re giving a formal speech in front of colleagues though, your tone will be very different. Your speech will be a lot more structured and concise. 

Step 2: Create an Outline

Whether your appreciation speech is long or short, it’s always a good idea to craft an outline ahead of time. This will help you make sure you don’t forget to mention anything you want to cover. Overall, most speeches will break down like the following:

  • Introduction: In an introduction, you will let the audience know who you are and give a preface of what you plan to say. For instance, if you’re recognizing a specific person in an appreciation speech, give a quick rundown of why they’re worthy of appreciation.
  • Body: Here, you’ll flesh out the points you made in your introduction. You can give more specific examples of things the subject of your speech has done, and you’ll expand on why those actions deserve gratitude. 
  • Conclusion: In this final section, you can reiterate the points you made earlier in the speech. 

Step 3: Grab People’s Attention with Gratitude

Start with a strong opening line. In a more formal speech, a quote about gratitude can be an excellent way to set the tone. In a more casual speech, you can avoid a quote. However, you should still stick with the theme of gratitude.   

Step 4: Be Personal and Specific

In casual and formal speeches alike, you should feel free to be specific. If you’re giving a speech in honor of one person, you can list all of the things they do that deserve appreciation. If you’re thanking other people for their support, you can list the ways they helped you.

Personal anecdotes are a lot more engaging for listeners. They will also help you feel more connected to your material. The more connected you feel, the more confident you’ll be in speaking. These personal anecdotes can be funny, poignant, or a blend of the two. Again, this will largely be dictated by your audience and the setting of your speech.    

Step 5: Practice Makes Perfect

For a casual speech like an appreciation toast, you can probably get away with speaking off the cuff. But any kind of pre-planned appreciation speech definitely benefits from repeated practice.

The more comfortable you are with the speech, the easier it will be for you to deliver it. If you don’t know your speech inside and out, there’s a good chance that you can be tripped up by certain words or turns of phrase. 

Step 6: Time Yourself

When you’re practicing your speech, you should also be timing yourself. This means you should have a stopwatch going while you read your speech aloud. Speeches can be deceptive.

A few pages don’t seem like they should take that long to read. If you only read them over in your head, that can reinforce the notion that your speech isn’t that long. But it takes a lot longer to read something aloud than it does reading it to yourself.

If you don’t practice it out loud ahead of time, you may panic in the middle of your actual delivery. If you fear your speech is taking too long, you might start to read faster and faster, which could make the speech incomprehensible. Practicing it out loud can help you hit your ideal time target without having to rush.   

Step 7: Keep Your Notes Handy

Even if you’ve practiced your speech until it’s practically etched into your brain, you always want to keep notes or an outline with you. No matter how much you practice, you may find yourself freezing up in the moment. If you don’t have notes handy, you might flounder. On the other hand though, you also shouldn’t keep your whole speech with you.

If you do, you might find yourself relying on it like a security blanket. You may end up just reading the whole speech straight from the paper without engaging with your audience at all. Both ends of the spectrum are too extreme, so it’s best to find a happy medium. Some people just keep their outline with them.

Other people write out the first sentence of each paragraph to jog their memory and help them orient themselves. As you practice, you’ll find the method that works best for you.

Step 8: Do a Test Run in Front of an Audience

Practicing for a speech on your own is important. But once you feel more comfortable with the speech, you should practice in front of someone. Ideally, you’ll rehearse it in front of people several times until you can keep your nervous responses in check.

This means delivering the speech without your heart racing and your speech speeding up to match.   

Step 9: Weed Out Any Trouble Spots

Every time you practice your speech, you should be refining it until you can’t improve it any further. One of the big things you should be looking out for is your usage of filler words or speech disfluencies.

Speech disfluencies encompass those little noises like “um”, “er”, and “uh” that we tend to use when we aren’t confident. These can make people tune out because your discomfort makes them feel awkward in turn.

As you practice, pay attention to places where you’re inserting those disfluencies. Keep practicing them until you become comfortable enough to leave them out. Or, rewrite those sections so they come to you more naturally.  

Step 10: End On a Good Note

Above all else, remember that this speech is intended to be a positive thing. An appreciation speech should make someone’s day .

Remember to end the speech by reaffirming specifically why you are showing appreciation.

Writing a thank you speech can be intimidating. It is challenging to remember all of the people who have helped you along the way. If you recently reached a personal, spiritual or career milestone, you may be wondering how to compose a ‘thank you’ speech. A ‘thank you’ speech needs to identify all of the people you are thankful for, as well as the specific things you are thankful for and their personal or professional meaning to you. While ‘thank you’ speeches are relatively straightforward, they can be tricky to write, especially if the list of people to thank is very large or very small.

  • In 1970, at the age of 61, John Wayne was genuine about how long it took him to win, upon accepting the award for best actor for the role of one-eyed Rooster Cogburn. He said, “Wow! If I’d known that, I would have put the patch on 35 years ago.”

Step 4 Express humility.

  • For instance, you could say: “I am so humbled by this honor.”
  • You could also use humor. For instance, when George Clooney won best supporting actor in 2006 but lost the best director award, he drew on his self-deprecating humor. He said, “Well, it looks like I’m not winning best director…”

Step 5 Avoid verbosity.

  • If it is a short ‘thank you’ speech, it is often best to skip the intro entirely. The audience will know why you are giving the speech, so follow the example of Abraham Lincoln who always skipped the introduction.

Step 7 Write about the most important people on your list.

  • Once you have written about the most important individuals, you can always edit the speech later for concision.
  • Budget your time for each person. Remember that if you spend too much time on any one person, you may not be able to get to others who still really need to be thanked.
  • If your speech needs to be really short, you could say: "I would like to thank Charley, my wonderful husband for supporting me through the long nights. I couldn't have done it without you. Thanks to my beautiful daughters, Kiera and Emily. Mommy can play more now. To Jeff Goldstein of Caracas, for feeding my crew; to Jake, Mindy, Paul, and Gwen for staying up so late, so we could get it right..."

Step 8 Finish composing the body of your speech.

  • To recognize people by function, you could say, “I also want to thank everyone who brightened up this long journey with good humor, such as John, Johnny, Arjen, Peter, Ann, Zoe, etc.”
  • So, for example, you might say: "And for the catering, thanks to Joe, Mike, Mindy, and Jeanette."

Step 9 Compose a conclusion.

  • “If the only prayer you said in your whole life was, “thank you,” that would suffice (Meister Eckhart)
  • “We cannot do great things on this Earth, only small things with great love” (Mother Teresa)
  • “I can no other answer make, but, thanks, and thanks” (William Shakespeare)

Timing, Memorizing and Practicing Your Speech

Step 1 Time your speech.

  • You could try using online script timers to get a rough sense of your speech time. However, you should still practice with a real timer because everyone speaks at a slightly different pace.

Step 2 Write keywords or phrases on note cards.

  • You could dress up in the clothes you will be wearing at the event.
  • Try practicing the speech at the event location to get more comfortable.

Business thank you speech

Let's write an employee appreciation speech.

There'll be those times, (hopefully a lot of them: many, many more than once a year on Employee Appreciation Day ), when as an employer or a manager you want to formally thank your team for a job well done in a speech.

To help you do that, here's an example employee appreciation, or business thank you, speech to use as a template. It covers off all the areas you'll most likely want to comment on or acknowledge.

How to make this speech work best for you

If you've never given a thank you speech of this type before the best place to begin is by reading my notes on the benefits of giving thanks, and the most effective way to do it. Once you've done that you'll be ready to get maximum benefit from the template for your staff, your company, and yourself. 

Be specific, direct, generous and frequent with your thanks  

Thank you. They're two simple, yet extraordinarily powerful, words.

Studies show regularly and sincerely showing appreciation and gratitude for all the positive efforts employees make delivers benefits to employers and employees alike.  And focused specific acknowledgement is even much more effective than generalized. 

The benefits of giving thanks include:

  • Increased job satisfaction leading to increased motivation, innovation and productivity
  • Increased loyalty which in turn means less loss of staff
  • Increased happiness and health for everyone in the work place, in their homes, and communities.

Do you know the difference between generalized and specific praise?

To make what you say count, to make it stick in minds and memories, praise, thanks and acknowledgement needs to be specific.

For example saying, "Thanks everyone for a job well done.", while pleasant, is generalized.

Who does it really apply to? What is the job being referred to?  Is everyone being praised regardless of the size and value of their contribution? Even the guy in accounts who bunked off as soon as he thought no one was looking?

The comment, although nice, is wide open. And because it is so broad, it is easily discounted as having very little value. 

Contrast that with: "Thanks Robbie. Those extra hours you put in night after night for two whole weeks last March to get to the bottom of the problem with our analysis of data from the laboratories were a life saver. Your effort got the job back on track. We couldn't be more grateful for your perseverance and initiative."

This is significantly better.  You've let Robbie know his work is being seen and valued.

You've also let others listening know which is important for his self-esteem. To be a member of a group where excellence is openly and genuinely acknowledged makes everybody feel proud. This is effective, memorable praise. Something worth striving for.

We are people, and we want, and need, to be acknowledged by the significant folk in our lives: work, friends and family, for what we do well.

These are your next 7 steps:

1. Read the speech through to get an idea of what is covered, and how.

2. Scroll to the foot of the page to download the speech template. 

3. Take sections out or, add pieces in, to fit your own situation.  For instance, you may not want to talk about challenges. So that section is cut out.

4. Replace all the purple highlighted words inside the brackets eg.  { Fill in project(s) name here. Example:  Data Digitization Project}  with what you want to say about your company and your people.

Please note - Some of the speech segments start with an explanation. These have been highlighted in light green and are not part of the speech itself. Eg:  Add a brief description of at least one of the challenges endured.

5. Once you have completed everything, say the speech out loud and record it.

6. Play it back and listen for any areas where you need to make changes. For instance:

  • Do the transitions work?
  • Are you repeating yourself?
  • Have you missed an important section out?
  • Have you mentioned everybody you can and have you been clear about why they are being called out?
  • Is the language too formal? Or too informal?
  • Is it too long?

7. Make all of the changes needed. Then record your speech once more and listen again. Repeat the process until you are satisfied.

Example business thank you speech

Friends and colleagues,

We all know why we are here today, so I'm beginning with the obvious: a simple, heartfelt, and well-deserved THANK YOU!

For those of you who took on the {Fill in project(s) name here. Example: Data Digitization Project} , I couldn't be more grateful! {Name some people you want to acknowledge specifically here. Example: Sandy, Darren and Joe} I know it wasn't easy at times.

Add a brief description of at least one of the challenges endured.

Standing on your feet all day on the cold concrete floor of {Change name to fit. Example: ABCD's Record room} instead of sitting at your desks in our warm, comfortably cozy and friendly {Change name to fit. Example: Quest} office, isn't anybody's idea of fun.

Change championship

Acknowledge the knock-on effect: how everybody, even those indirectly involved, was asked to accommodate and adapt for the duration of the project. 

The same gratitude goes to those of you who were on this project part time. Thank you for taking time away from your other important tasks so that we could keep pace with our customer's goals and deadlines on this one.

Whether it was cooperating through {Enter specific examples of ways people worked to allow the project to go on. Examples: carpooling like Jo and Liz, Mike and Bob offering to double up on a few of the more tedious tasks, or simply through putting in some extra unexpected time that the project demanded like Fred and his two faithful side kicks: Dawn and Bruce,} , your efforts were appreciated.

Accountability

Acknowledging how responsibly the project was undertaken and the effect that had. 

Through all of you coming in day after day and always putting your best foot forward, we were able to achieve so much. At the same time our client was assured of our commitment to the highest quality of work.

We did this by {Enter specific examples to illustrate. Examples: following the strict quality work standards set by Bill's team, being willing to work closely and cooperatively to fill in any gaps that arose, (Yes, that's a nod to Rose for stepping in.) , taking the initiative to go back over some aspect of the work that occasionally required double-checking. (Thanks Hugh.)}

I want you to know they are delighted with the accuracy we achieved. Without your shared pride and accountability, we simply could not have been so satisfactorily, so triumphantly, successful.

Acknowledging how people worked together. 

As is true with any project encompassing so many different aspects, there were some ups and downs, but that's to be expected. Whether {Enter specific examples of team work. Examples: someone needed help analyzing, or data compilation was falling behind, or someone simply needed a ride to or from the office} ... everyone pulled together and worked as a team.

I know how much time and energy this assignment demanded, and I deeply appreciate all of your efforts, both individually, and collectively.

Customer focus

Acknowledging the result of satisfying/fulfilling the customer's need.

Merely completing this project was a hurdle in and of itself. However, congratulations are in order to each and everyone of you for a job so well done!

We've always known about your willingness to consistently go above and beyond. Now our client has experienced it too.

In fact, they are so satisfied they are currently in the process of retaining our services for another project!

Very few things speak more loudly about a company than a client wanting to be a repeat customer. So, not only can each of you be very proud of yourselves but we can all be proud that everyone on the {Enter the name of your company here. Example: Quest} Team will continue to benefit as a result of your contributions!

It arrived one day through my contact form - almost in the form it is now. A complete speech, from a complete stranger!

I emailed him to thank him for his thank you speech, and to ask if I could post it on my site. This is what he said:

You're welcome for the contribution. Truth be told, as I was writing what I needed to be a "business" or "professional" type thank you speech, I was scouring the web for some well-placed anecdotes, tips to improve upon, or general all-around good advice to include in a thank you speech.

Surprisingly, incredibly difficult to find. Google may churn out billions of "results," but none were applicable. So, as I continued to compose my own, I happened across your website. I found it helpful in terms of examples of speech writing structure, some main points to include, etc.

Long story short, when I had finished it the other night, I just thought I'd pass it on when I saw that that was an option on your useful website. You may certainly post it as a "sample business thank you speech" on your page if you wish. Since, as I said above, they were incredibly difficult to come by.

  • Describe what the person did (or didn’t do) that makes you grateful.
  • Address the person by name

I firmly believe that anyone who sets out to achieve something still does better than those who do not even strive.

I was not quite gifted with a high IQ or a very sharp and quick mind. I know at this point you’d seem to doubt whether I am worthy of this achievement or not but I have ample reason for why I stand here today even without the brightest of minds. I stand here because I worked hard, I gave in my all to my goal. I made many sacrifices on the way, some that made me question my goal entirely. Some thought I was crazy, chasing behind something only for the sheer joy of attaining it. People told me it won’t feel good the day I actually make it happen. People warned me that the chase was way more fun than the reward. As I receive this prestigious award, I agree with them today. I do not feel good, in fact, I do not feel anything except tremendous joy and gratitude for everything and everyone who helped me reach this milestone.

I would like to thank my mother for her unconditional support, my friends Ram, Varun, among others for their regular reassurances. And I would want to thank my wife the most, who was there with me when I was still a dreamer and is here with me to live that dream. In the end, I would like to thank god almighty himself. He gave me difficult tests but he also gave me the courage to overcome them, he gave me doubts and red flags but also gave me the willpower to emerge from them. Democratic vice presidential nominee Tim Walz defended his military record on Tuesday, and also thanked Republican opponent JD Vance for his military service.

Vance later responded in kind, but added a bit of snippiness in the process.

During a speech hosted by the American Federation of State, County and Municipal Employees, the Minnesota governor who served in the Army National Guard for 24 years, said he was “damn proud of my service to this country.”

Walz also said he firmly believed “you should never denigrate another person’s service record,” and used the moment to thank Vance for his own service as a combat correspondent in the U.S. Marine Corps.

“Anyone brave enough to put on that uniform for our great country, including my opponent, I just have a few simple words: Thank you for your service and sacrifice,” Walz said.

The soldier-to-soldier shout out was in response to Vance’s attacks against Walz for, among other things, supposedly retiring from the National Guard months before his unit deployed .

Vance has also accused Walz of exaggerating his military service , saying the governor shouldn’t have identified himself as a retired command sergeant major, even though he served in the position before his retirement.

Walz didn’t finish the paperwork required to maintain the rank in retirement, so it reverted back to master sergeant after he left the Guard.

Republicans have taken comments Walz made about witnessing a military ramp ceremony at Bagram Airfield as proof he was falsely claiming he served in Afghanistan.

But while Walz never deployed to Afghanistan, press releases and articles from 2008 show that he did visit the country on a congressional delegation that year.

Despite attacking Walz for stolen valor, Vance did attempt to sound mildly gracious in response to the governor’s public thank you, with a side order of snippiness.

Hi Tim, I thank you for your service. But you shouldn’t have lied about it. You shouldn’t have said you went to war when you didn’t. Nor should you have said that you didn’t know your unit was going to Iraq.

He then told the governor he’s happy to discuss the issue further in a debate.

No matter if you're in school or well past your days in English class, figures of speech are used every day in our lives. From songs and television shows to conversations and advertisements, we often use words or phrases in creative ways to spark imagery.

"Shall I compare thee to a summer's day?" You most definitely can with the help of metaphors.

The figurative language is one of many that helps make comparisons. If you're looking to improve your rhetorical prowess, read on.

What is a metaphor?

A metaphor is a figure of speech used to make a comparison or analogy through phrases and words.

For example, a metaphor can compare one thing – such as an action or object – to another, even though it is not the reality, according to Grammarly. For instance, "someone's heart is broken" or "he was drowning in debt."

A metaphor identifies two things and places them together to symbolize something figuratively. Someone's heart has not actually split in half but it may feel that way since they are upset or angry. In this example, dealing with rough emotions is equated to something being shattered or broken.

Unlike a simile , a metaphor does not use "like" or "as" in order to make the comparison.

Childhood apraxia of speech (CAS) is conceived as an impairment of the central motor system s ability to program multiple speech movements, resulting in inaccurate transitions between and relative timing across speech sounds. However, the extant neuroimaging evidence base is scant and inconclusive and the neurophysiological origins of these motor planning problems remain highly underspecified. In the first magnetoencephalography study of this disorder, we measured brain activity from typically developing children (N = 19) and children with CAS (N=7) during performance of a speech task designed to interrogate function of the speech areas of primary sensorimotor cortex. Relative to their typically developing peers, our sample of CAS children showed abnormal speech-related responses within the mu-band motor rhythm, and beamformer source reconstruction analyses specify a brain origin of this speech rhythm in the left cerebral hemisphere, within or near pre-Rolandic motor areas crucial for the planning and control of speech and oromotor movements. These results provide a new and specific candidate mechanism for the core praxic features of CAS point to a novel and robust neurophysiological marker of typical and atypical expressive speech development; and support an emerging neuroscientific consensus which assigns a central role for programming and coordination of speech movements to the motor cortices of the precentral gyrus.
