Time management is a crucial skill to live a proactive life that helps to achieve goals and avoid frustration from procrastination. Effective time management is an ability to analyze, define, and prioritize everyday activities. Even though I try to have a daily schedule, my planning skills lack crucial features to be effective.

Time management is an ability to find a balance between all the obligations and needs and fit them into one’s daily, weekly, monthly, and even yearly routine. According to Burchard (2016), time management should start with setting life goals and working down towards hourly schedule, as every action is supposed to be a step to achieving one’s objectives. In simpler words, it is creating a plan where every point is viewed as an opportunity to progress in life. Therefore, time management is an ability to analyze the use of time, acknowledge the responsibilities, set the priorities, and act without procrastination.

Effective time management involves creating plans for periods of different length. Strategic planning for any action should include long-range, mid-range, and short-range steps (Cuseo, Thompson, Campagna, & Fecas, 2016). A good time-management plan includes transforming intention into action and provides flexibility to accommodate unforeseen opportunities (Cuseo et al., 2016). Moreover, it allows time to take care of unexpected outcomes and offers opportunities for both work and play (Cuseo et al., 2016). According to Burchard (2016), even free time and leisure activities should be planned to achieve a higher goal in life. In short, effective time-management is creating a plan of all the macro and micro steps that correlate with one’s life’s purpose.

My time-management skills are relatively poor, as I have not had enough time to develop my planning proficiency. Most of my life, my schedule was decided by others, including my parents, teachers, and school authorities. When I started my higher education, I was caught amidst a variety of new obligations and expectations, such as cooking, doing laundry, managing money, managing free time, and completing my assignments. Even though I usually have short-term plans, they do not correlate with a bigger picture, as I have never had a plan for a year or a month. I always have my daily schedules, but most of the time I do not think of my weeks.

In my schedule, I always find time for work and play, and I have no problems in transforming intentions into actions. However, my plans are not flexible enough, as I tend to overlook the possibility of unforeseen events. For example, I usually go to sleep around 11 p.m.; therefore, I started working on the current essay three hours before going to bed. However, I did not expect that I would have to include a scholarly article into my reference list. For this reason, I am forced to stay up late that ruins my plans for the next day, as I will not have enough sleep. In short, my time-management skills are poor due to an inability to provide time for unexpected events.

I am also prone to procrastination, which interferes with the ability to control the time spent on the critical task. According to Häfner, Oberst, and Stock (2014), to procrastinate is to “voluntarily delay an intended course of action despite expecting to be worse off for the delay” (p. 352). Even though the problem is demonstrated by 60% of students, I should use effective prevention techniques to develop efficient time-management skills (Häfner et al., 2014). In short, while procrastination is a common feature for students, it should be avoided with the help of every accessible tool.

Time is a valuable resource that requires careful management, as it can help to get better control over one’s life. However, understanding is not enough to acquire full control over time; information and intentions should be transformed into action. While there is enough time available to improve my planning skills, I still have a long way to go to master the art of time-management.

We have always considered time to be one of the most essential and precious things of our life. Our parents and grandparents always told us that time once gone will never come back. So it is better not to think about the time that has already passed but it is important to focus on the present, considering this time to be good and blissful. 

In the modern era, when everyone is leading a very busy life, and everyone has different kinds of things to put together, instead of finding out the fastest and easiest way to solve our problems to get the maximum benefits, we should always try to plan to work hard towards completing whatever we have in hand today, that is the most important or urgent task of the day and execute them, keeping our goals in view. We know there is no comparison to hard work. 

However, Urgent work may not always be very important, but they seem to be very critical. By doing and finishing the most critical task of the day, we feel energetic and our brain continuously feels very active.  

However, setting our priorities before working is a conventional method of time management. In this modern era, we should implement Covey’s Time Management Matrix 

According to Covey, each task can be broken down according to its urgency and importance. All in all, we have 4 categories of tasks.

Quadrant 1: Important and Urgent - Necessity 

To avoid serious consequences in future, in this quadrant we have to deal with the unforeseen events and pressing problems, immediately. Most of the time, some issues are unexpected and hence proper planning may not happen. Therefore, sometimes, it’s just enough to work on them proactively— before they have become urgent. 

Quadrant 2: Important but Not Urgent - Extraordinary Productivity

Tasks in this quadrant are not that urgent. We can keep them aside for some time, but this is a mistake.  Ideally, this is the quadrant where one should spend most of one’s time- working on strategic and high-impact tasks. They will bring more value to your studies, work or business. This is one way to help grow professionally and personally. 

Quadrant 3: Not Important but Urgent - Distraction

Since we have to constantly keep ourselves busy, in this quadrant we have to deal with the less urgent tasks. They might distract an individual from the main goals, but as Dwight Eisenhower puts it, ‘What is urgent is seldom important.

There are times when we can avoid these petty issues entirely, but the burden automatically reduces if this task gets delegated to someone else in the team or in class. If the delegation of this assignment is not possible then the same task can be completed by including small batches. The better the job, the more hours can be allocated for particular tasks thereby making the work easy. 

Quadrant 4: Not Important and Not Urgent - Waste 

These tasks are neither important nor urgent. Small amounts of trivial activities help us relax. Yet we tend to waste a lot of time in this quadrant, so it is always advised to be careful because we may be losing the present moment. 

Therefore, time management skills and following these quadrants during studies or at the workplace becomes essential to handle every project with diligence in future. In other words, as Lord Chesterfield had mentioned, “Take care of the minutes and the hours will take care of themselves.”

How to Make the Most of Your Time

You must examine a few factors that will assist us throughout our life in order to make the most of our time. Setting objectives, establishing to-do lists, prioritizing work, getting adequate sleep, and so on are all examples of this.

Set long-term and short-term goals to help you stay productive while striving to maximize your time. Furthermore, they will act as a motivator to keep you going. This will also motivate you to accomplish something in your life.

When I was in my third year of graduate school I did an unthinkable thing: I had a baby.

I will admit it, I was already one of those organized people, but becoming a parent -- especially as an international student without nearby help -- meant I had to step up my game when it came to time-management skills. Indeed, I graduated in five years, with a solid publications list and my second successful DNA replication experiment in utero.

In a culture where the answer to the question “How are you doing?” contains the word “busy!” 95 percent of the time (nonscientific observation), knowing how to manage your time efficiently is key to your progress, your career success and, most important, your overall well-being.

In fact, a recent career-outcomes survey of past trainees conducted by Melanie Sinche, a senior research associate at the Labor and Worklife Program at Harvard Law School, showed that time-management skills were No. 1 on the list of “skills I wish I were better at.” Thus, I believe some advice could be helpful, whether you need assistance with your academic progress, a job search while still working on your thesis or the transition to your first job (one in which you feel somewhat overwhelmed).

Luckily, you don’t need to have a baby to sharpen your time-management skills to be more productive and have a better work-life balance. But you do need to be able to understand what promotes that constant feeling of busyness that causes us to feel like we don’t have time for anything.

Let’s start with the basics of time-management mastery. They lie in what is known as the Eisenhower method (a.k.a. priority matrix), named after President Dwight D. Eisenhower, who said, “What is important is seldom urgent, and what is urgent is seldom important.” According to that method, you need to triage your to-do list into four categories:

  • Urgent and important. This category involves crises, such as a medical emergency or when your lab freezer breaks down. It is the things that you need to take care of now! If most of the things you do fall into this category, it suggests you are just putting our fires and not doing enough planning, i.e., spending time on the nonurgent and important category of tasks.
  • Nonurgent and important. In a perfect world, that’s where most of your activity should be. It requires planning ahead, which can be more of a challenge for those of us who like to wing it, but it is still worth trying to plan some aspects of your daily life. This category also applies to activities such as your career development or exercise. If you want to make sure you have time to attend a networking event or go for a run, you don’t want to start an experiment 30 minutes before.
  • Urgent and not important. These include all the distractions we get from our environment that may be urgent but are really not important, like some meetings, email and other interruptions. Wherever possible, these are the things you need to delegate to others, which I know is probably not an option for most of us. Evading some of these tasks sometimes takes being able to say no or moving the activity to the next category of nonurgent and not important.
  • Nonurgent and not important. These are the typical time suckers such as Facebook, Candy Crush, cute cat videos and, most recently, Pokémon Go.

As Homo sapiens, we tend to focus only on what is urgent. I am no neuroscientist, but I assume it was probably evolutionarily necessary for our survival to wire our brain that way. Unfortunately, in today’s world, that beep on our phone that we will drop everything we are currently doing to check is often not as urgent as, let’s say, becoming a lion’s lunch. Therefore, ignoring it requires some serious willpower. Since the average person has only so much willpower, here are a few things you can do to make sure you spend most of your time on the nonurgent and important category.

Make a list and schedule tasks. Prepare for what’s coming. Start your day (or even the evening before) prioritizing your to-do list using the priority matrix and writing it down. There is plenty of research that shows that when we write things down, we are more likely to achieve them. I still love a good piece of paper and a pen, and checking off things on my to do-list gives me great joy. (Weird, I know.) But I also find tools like Trello very useful for tracking to-do lists for multiple projects as well as for collaborations. If you make a list but have the tendency to avoid it, try Dayboard , which will show you your to-do list every time you open a new tab.

Also, actively putting things that are important to us on the calendar (e.g., meeting with a good friend or hitting the gym) makes us happier. We all have a gazillion things we can be doing every day. And the key is to focus on the top one to three things that are most important and do them one task at a time. Yes, you read it correctly. One task at a time.

Understand that multitasking is from the devil. In our society, when we say that we are good at multitasking, it is like a badge of honor. But let’s admit it, multitasking is a scam. Our poor brains can’t focus on more than one thing at a time, so when you try to reply to email when listening on a conference call, you aren’t really doing any of those effectively -- you are just switching between tasks. A study from the University of London a couple of years ago showed that your IQ goes down by up to 15 points for men and 10 points for women when multitasking, which from a cognitive perspective is the equivalent of smoking marijuana or losing a night of sleep. So, yes, you get dumber when you multitask.

Moreover, other research has shown that constant multitasking can cause permanent damage to the brain. So instead of a skill we want to be proud of, it is in fact a bad habit that we should all try to quit. It can be as easy as turning off notifications or putting tools on your computer such as FocusMe or SelfControl . Such tools will allow you to focus on one task at a time by blocking distractions such as certain websites, email and the like. This brings us to the next topic of why and how you should avoid time suckers.

Recognize and avoid time suckers. Distractions are all around us: email, meetings, talkative colleagues and our very own wandering minds. The digital distractions such as email, Facebook, texting and app notifications are excellent attention grabbers. We all have a typical Pavlovian response when we hear that beep on our phone or computer -- we have to check it out and respond, and that usually leads to some mindless browsing … then we forget what we were supposed to be doing. Indeed, research shows that it takes on average 25 minutes to refocus our attention after an interruption as simple as a text message. Moreover, research also shows that those digital interruptions also make us dumber, even though when we learn to expect them, our brains can adapt. When you think about the number of distractions we are all exposed to during the day, this accumulates to many hours of lost productive time.

Social science has shown that our environment controls us, whether it is eating, making a decision on what house to buy or trying to focus on a task. Clearly, we can’t control everything in our environment, but at least we can control our digital space. It is hard to fight that Pavlovian response and not check who just commented on your Facebook post or pinged you on WhatsApp.

But while technology robs our focus, it also gave us tools to fight it. Even something as simple as turning off email notification can minimize the distraction. If you don’t think you are wasting time or just like a good scientist want to collect data about yourself, try RescueTime . Additionally, there are some great tools to help us stay distraction-free, such as StayFocused , which is a browser extension that blocks you from spending more than X amount of time on social media sites, and Freedom , which blocks distracting websites and apps across devices.

Take a break. Being more productive is great, but don’t expect to be able to focus on the same thing for long periods of time. Take short breaks to recharge. You should not feel guilty for doing so because you are too busy. The science backs up the importance of taking a break, as it helps you re-evaluate what you are doing, retain information, make new connections and more.

For those of you who love having a structure, a number of systematic methods allow you to take breaks and stay productive. One such method is the Pomodoro technique. You decide the task you are going to complete, set a timer for 25 minutes and, when time is up, take a five-minute break. Another favorite method is to work in 90-minute time blocks, which follows our natural body rhythm. What you do on your break can matter, too. Productivity-boosting activities go beyond getting a cup of coffee: you can stretch, take a short walk, read something that’s not work related, daydream or look at adorable animal videos.

Full disclosure, while writing this post I had to resist endless distractions, some of which I couldn’t resist and gave in to; I am not perfect by any means. Yet, you don’t have to become a time-management Jedi to be more productive in your life and work. Just be aware of how you spend your time and allocate as much as you can to the important and nonurgent category of tasks. Finally, try to avoid the urge of multitasking. Then you can have the time to work productively on your goals and still have enough left over for the things that you enjoy and that make you happy.

We want to complete everything important to us in a timely fashion. But sometimes, it doesn’t seem like there are enough hours in the day. Especially in this new normal , people feel the strain on time and seek effective time management strategies as they’re pulled in more directions than ever before.

Thankfully, good time management can help to make your days more efficient and effective. Essentially, it can help you feel like you have more hours in a day.

But for many of us, time management is an aspiration –– it’s something we’re all working to improve. And there’s no ideal solution for every person. So we provided a list of some actionable time management tips to boost your productivity as you find the right strategies that work for you.

Let’s explore effective time management and the skills necessary to use your time constructively in the long term.

Time management is the deliberate process of deciding how to use your time and allocating it across tasks and activities. With planning and control, effective time management enables you to do more of what is important to you while meeting your responsibilities and commitments.

Time management is certainly not a new concept.

From Henry Ford’s introduction of the assembly line to the current rainbow of organizational tools and apps, the modern age revolves around time. 

As individuals, our time is a limited resource. We treat it like currency. We spend it, guard it, waste it, and trade it for value. Yet we struggle to control it. 

We don’t have an easy solution to poor time management. And many factors cause it. 

Let’s look at what we do know and dive into some new ways of viewing how we (and our teams ) use time.

Doing more with less is a strategy that many companies encourage. Be it a smaller workforce, fewer resources, or leaner budgets. Many workers have experienced some type of “belt-tightening” in the last few years.

But doing more with less can also be a shorthand for understanding and executing priorities.

Time management is how you demonstrate your priorities and your ability to act on them.

Showing practical time management skills can be a way of demonstrating your worth to a company — worth that just might save your job or earn you a promotion .

Managing your time well comes with a long list of benefits. Let’s take a look at four of them.

1. More time to spend where you need (or want) it

Not to belabor the obvious, but if you’re using your time more effectively, you’ll free up time in the day or week. And here’s something that might not be so obvious: you don’t have to use that extra time to work. Time management lets you do more of what matters to you .

Try to create a better work-life balance for yourself . Head out for a walk, schedule a coffee with a friend or colleague, or take a class you’ve been curious to try. The choice is yours!

2. Ability to realize goals

Simply put, setting and realizing goals feels terrific.

Once you’re managing your time better, you can make goal-setting a part of your routine. Then you’ll get to experience the satisfaction that comes with accomplishing them regularly. 

Plus, sharing the goals you’ve set and your achievement of them is a great way to earn kudos from your manager and the whole team. 

If you aren’t sure where to start when building out your goals, try creating a personal vision statement . This declaration can act as a compass to help guide you in the right direction.

3. More growth opportunities 

Do you want to gain a new skill at work ? Are you ready to expand your reach into a new territory or be considered for a promotion? 

Becoming a great leader and learning a new skill require time.

You’re more likely to be afforded these opportunities if you’re consistently seen as a good manager of your time.

4. Reduced stress 

Perhaps the most significant benefit to using your time more efficiently is the potential to lower your stress . This could be finishing a project before it becomes a crisis, keeping your work hours at a reasonable amount, or even being able to carve out time for fulfilling activities. 

These are all ways that an effective time management technique can help with stress and overall mental health .

Here are  elements that can assist you in improving how you manage time:

  • Create the right environment
  • Prioritize again
  • Set some goals

1. Create the right environment.

Have a physical space that is organized, uncluttered, and convenient.

It can save you undue time searching for files or papers, shuffling unneeded materials out of the way, or even tracking down a paperclip. Taking some time to master your organizational skills will save you more time in the long run.

Be particularly aware of additional challenges that you might face when working remotely .

2. Prioritize

Deciding where to spend your time can be a task in itself. But by prioritizing upfront, you can get the urgent tasks out on time and the essential tasks completed as well.

3. Prioritize again

On the flip side of tackling the critical things is that you may also need to identify tasks or distractions that are neither urgent nor important.

Ask yourself: Does it need to be done by you? Can you delegate the task ? Does it need to be done at all? 

If the answer is no, take action to clear the decks (and your mind) to tackle the most important, pressing items first.

4. Set some goals

Charging ahead on a project — or a workweek — without setting goals is like zooming out of your driveway without knowing where you’re headed. 

It may seem counterintuitive, but spending time on goal setting will likely save you time in the long run. It’s a concept known as “go slow to go fast.”

Try stepping up your organization skills so you clearly understand where you’re going and what will be most vital to help you get there. This consideration enables you to focus on what truly matters.

5. Build good habits

Some people prefer to plan the next day before they leave work, while others prefer to plan within the first 30 minutes of the day.

Some find it productive to block large chunks of time to think/write/design, while others work best in short sprints . The primary takeaway is to spend 5 minutes at the end of each day reflecting on what worked and what didn’t . This will help you understand what works best for you and your situation.

Once you figure out how you work best, stick with it. Build your habits into your workday to get the most out of your self-management skills .

6. Perform a time audit

Do you know where your workday goes? Are you confident in your perception of how you spend your time each day and week?

A time audit can be an illuminating activity to show you just how you are spending your time. You’ll learn what is consuming your days and where you might be able to claim some time back.

Does this feel like a risky activity? No one other than you needs to know that you’re auditing your own productivity .

7. Create a stop-doing list

If a to-do list hasn’t been effective for you, maybe you’ll benefit from flipping it on its side. A stop-doing list is an intentional look at the time wasters that you want to stop.

These could be in the form of a digital detox including social media scrolling and video watching, or even meetings that don’t pertain to your work. Being more intentional about the “don’ts” could help you concentrate more on the “dos.”

Block your time differently. With so much to accomplish, it might be tempting to separate your daily schedule into tightly structured blocks of time.

But it might be more effective if you round up your time estimates for each important task.

Add additional time (10–25%) to how long you think each task will take. Then, when the inevitable delay or glitch happens, you’re not automatically running behind.

This time management technique could be particularly useful for people who chronically overestimate how quickly they work or those who underestimate potential delays.

You can also create a weekly schedule to get a high-level overview of what you need to complete.

8. Stop multitasking

It’s a fallacy that highly effective people constantly juggle multiple minor tasks. Research has shown that multitasking hurts our performance and our well-being.

Ineffective multitasking could be keeping on top of emails while creating a slide deck. Or taking work calls during a commute . You will be much more effective, move through your projects more quickly, and do far better work if you concentrate on one thing at a time. Turn off your email and text notifications, mute your phone, and dig into the task at hand. It will pay off in both the short and the long run.

According to Erich C. Dierdorff , professor of management and entrepreneurship at the Richard H. Driehaus College of Business at DePaul University, it takes more than these activities to gain ownership of our time. There are three primary skills needed to implement the strategies listed above and gain long-lasting benefits from them:

  • Awareness : how you see and value time and its limitations
  • Arrangement : the tactile part of time management, including planning and scheduling activities and goals
  • Adaptation : how you pivot as time runs out or priorities shift 

Though these skills are often overlooked, Dierdorff states that they’re crucial to effective time management.

Strengthening these skills isn’t as straightforward as opening an app. But by investing your time in developing self-awareness , understanding your habits, and building new ones, you can increase your chances of managing time more effectively.

Develop self-awareness of your time management abilities

To improve your time management skills, you must first understand how you currently function. Building self-awareness around how you manage your time will set a baseline for you to improve upon. 

Try the activities below to grow your awareness of how you manage your time:

  • Garner feedback from coworkers, a boss, or your peers
  • Use a time-tracking tool to measure the activities you spend your time on and use this as a baseline
  • Get to know yourself with a few questions:
  • What time of day do you work best?
  • Do you tend to over or underestimate how long tasks will take?
  • Do you stay busy but less productive?
  • Are you more effective or efficient?
  • What kinds of projects do you tackle head-on, and which cause you to procrastinate ?

Get to know yourself and your relationship to time

Without getting too meta, ask yourself how your personality relates to time. Do you consider yourself more of a go-getter who likes to get a jump on things early? Or do you prefer to divide your time between multiple tasks?

Understanding how your personality and habits relate to time will help you identify the time management skills you should invest in first.

To get a better idea of how your personality relates to time, ask yourself the following questions:

  • Do I tend to complete a task before moving on to the next one?
  • Do I work better under pressure and leave projects until the last minute?
  • How do I prioritize?
  • How do I delegate?
  • How do I approach a new task?

This is not a finite list, but questions like these can help you identify your areas of focus.

Identify the time management skills you want to work on

Deciding which area requires the most improvement first could jump right out at you, or you might need to do a little digging. But knowing whether you should address your prioritization skills, or your ability to adapt to change, is vital to improving your overall time management.

You may discover that you want to improve more than one area. If that is the case, try starting with one area first and then progress once you’ve gotten the hang of the first skill.

Signs of poor time management

Just as there are benefits to effective time management, drawbacks come with poor time management skills. Let’s take a look at six of them.

1. Wasted time

If good time management skills can score you more time, it should be no surprise that the opposite is also true. If you’re off-task — jumping from one project to another or otherwise using your time inefficiently — your work is going to take longer to complete. Less time will be available for other work projects or time away from the job

2. Lack of delegation

There’s often going to be more on your plate than you can do. And if you’re not managing your time well, you probably aren’t staying very organized either. Because of this, you may struggle to use the readily available help.

It isn’t easy to delegate if you aren’t clear about the task at hand and exactly how others can help. So it’s inevitable that the work will keep piling up.

3. Loss of control

Simply put, if you aren’t in control of your time, it is in control of you.

Poor time management skills can make it difficult for you to predict when you will complete a project or be available to take on something else. Then, you aren’t in control of your time or your work .

What usually happens when we don’t feel in control? We can become stressed , frustrated, unhappy, and dissatisfied with our lives. When you don’t have control, you also don’t have time and attention to give yourself entirely to other parts of your life: relationships , health , goals.

4. Poor quality of work

If poor time management leads you to complete projects in a rushed manner, likely, the quality of your work will also suffer.

Effective collaboration and communication are required to deliver the best final product. So, while it may feel like you do your best work when up against a deadline, here’s the reality: without the opportunity to give your work a final edit or run it past the eyes of a colleague, chances are errors will slip by you. 

5. Poor reputation

If you look at this list so far, you can see that the employee it describes isn’t going to be highly regarded in the company. Have you become an employee that can’t be counted on during a rush? Is your project management ineffective? Do you want your coworkers to view you this way? 

As your reputation suffers, so will your chances for advancement and growth.

6. Failure to achieve goals

How you spend your hours is how you spend your days. Ultimately, it’s how you spend your life.

Sure, we all have days that are chaotic or consumed by endless tasks that we don’t love and would prefer not to do. But if this is the norm, rather than the exception, looking at how you spend your time can offer a helpful check. 

The next question is: is the way you are spending your time within your control or outside of it? 

If it is within your control, developing your time management skills can get you closer to living the life you want to be living.

Supply chain management (SCM) is the optimization of a product's creation and flow from raw material sourcing to production, logistics and delivery to the final customer.

SCM encompasses the integrated planning and execution of processes required to manage the movement of materials, information and financial capital in activities that broadly include demand planning , sourcing, production, inventory management and storage, transportation -- or logistics -- and returning excess or defective products. Effective supply chain management relies on business strategy, specialized software and collaboration.

Because it's such an expansive, complex undertaking, each partner -- from suppliers to manufacturers and beyond -- must communicate and work together to create efficiencies, manage risk and adapt quickly to change.

Other areas of major concern for today's companies include supply chain sustainability -- which covers environmental, social and legal issues, in addition to sustainable procurement -- and the closely related concept of corporate social responsibility -- which evaluates a company's effect on the environment and social well-being.

The history of supply chain management

Supply chain management has been essential to business since the dawn of the Industrial Revolution. Mass-production manufacturing was a key driver in supply chain evolution, along with the standardization of automobile parts to streamline the manufacturing process. With the advent of computers in business, SCM took another great leap forward as it became possible to coordinate supply chain management across many different sources, including data from suppliers, distribution centers and transportation providers.

Even so, supply chain management was largely a linear process, and one in which only a limited number of employees participated.

The simultaneous arrival of the internet and the expansion of the global economy made the linear view of the supply chain obsolete. Supply chain management now describes the integration of many complex networks of dynamic data sources that are often updating in real time, 24/7, and mastery of this complexity is increasingly essential to the assessment of customer needs and the accurate forecasting and efficient fulfillment of customer demand. This demand-driven operational model requires organizations to maintain SCM systems that are highly responsive and flexible. These systems require a considerable institutional investment, diligent communication with partner companies and broad participation of employees within the enterprise.

Benefits of supply chain management

Supply chain management creates numerous benefits that translate to higher profits, better brand image and greater competitive advantage. These include the following:

  • Better ability to predict and meet customer demand.
  • Better supply chain visibility, risk management and predictive capabilities.
  • More accurate forecasting to support decision-making.
  • Fewer process inefficiencies and less product waste.
  • Improvements in quality.
  • Increased sustainability, both from a societal and an environmental standpoint.
  • Lower overhead.
  • Improvements in cash flow.
  • More efficient logistics.

5 stages of supply chain management

Supply chain management can be broadly categorized into the following five steps or areas:

  • Plan. Using supply chain analytics and materials management features in enterprise resource planning ( ERP ) systems, organizations create strategic plans to meet customer demand for product and avoid a bullwhip effect .
  • Source. Organizations identify and select vendors that can supply materials in a streamlined and efficient way according to agreements. Supply chain collaboration starts at this stage and is important throughout the supply chain management process.
  • Make. In this stage, products are manufactured. This includes production scheduling, testing, ensuring compliance requirements are followed, packing, storage and release. Multiple machines are likely to be involved, especially for larger companies, and these increasingly use technologies such as internet of things (IoT) and artificial intelligence (AI) to work more efficiently.
  • Deliver. This stage pertains to logistics and focuses on getting finished goods to consumers, in whatever manner of transportation is needed. As the Amazon effect has grown , more focus is on doorstep delivery. Greater emphasis is now also on supply chain leaders working more closely with customer service. Inventory management and warehouse management systems are especially crucial at this stage.
  • Return. This stage includes all product returns, including defective products and products that will no longer be supported. The return stage also includes elements from other stages, including inventory and transportation management.

Example of SCM

The most basic version of a supply chain includes a company, its suppliers and its customers. An example would be a raw material producer, manufacturer, distributor, retailer and retail customer.

Most supply chains are far more complex and layered. This is why examples of unsuccessful supply chain management, where risk isn't managed or disruption occurs, can be so helpful.

Food shortages during COVID-19 are a good example of supply chain management gone awry. The food supply chain was disrupted in several ways. For example, many restaurants and schools closed to accommodate stay-at-home orders, causing bulk products meant to go to institutional settings to no longer be needed. Instead, far more consumers were eating at home, which had different packaging requirements, among other issues. The meat industry also ran into supply chain management disruptions due to COVID-19 outbreaks in slaughterhouses.

Now more than three years later, supply chains are still reeling from the effects of material and labor shortages. But a different problem exists: According to data from global management consulting firm Kearney , excess inventory of high-end electronics components is a $250 billion problem. After organizations raced to replenish and manufacture key components, suppliers were left with excess inventory as growth and demand leveled out.

The future of supply chain management

The next phase of supply chain management evolution will likely include the deployment of AI resources and machine learning to speed the processing of data and expand the utility of its results; and supply chain planning, a periodic undertaking in the past, will become a continuous-improvement process.

The role of supply chain management software

Technology is critical in managing today's supply chains, and ERP vendors offer modules that focus on key functions within SCM. There are also business software vendors that focus specifically on SCM. Important areas to note include the following:

  • Supply chain planning software for activities such as demand management.
  • Supply chain execution software for activities such as day-to-day manufacturing operations.
  • Supply chain visibility software for tasks such as spotting and anticipating risks and proactively managing them .
  • Inventory management software for tasks such as tracking and optimizing inventory levels.
  • Logistics management software and transportation management systems for activities such as managing the transport of goods, especially across global supply chains.
  • Warehouse management systems for activities related to warehouse operations.

Infor, Manhattan Associates, Oracle, Panasonic -- which acquired Blue Yonder in 2021 -- and SAP are examples of vendors of supply chain software.

The increasingly global nature of today's supply chains and the rise of e-commerce -- with its focus on nearly instant small deliveries straight to consumers -- are posing challenges, particularly in logistics and demand planning. Strategies such as lean manufacturing and newer approaches, like demand-driven material requirements planning, might prove helpful.

Technology -- especially big data, predictive analytics , IoT technology, supply chain analytics, robotics and autonomous vehicles -- is also being used to help solve modern challenges, including in the areas of supply chain risk and disruption and supply chain sustainability.

For example, IoT can help with transparency and traceability to help boost food quality and safety by using sensors to monitor the temperature of perishable food while it's in transit. Analytics can also help determine where to put smart lockers in densely populated areas to reduce the number of single-item deliveries and lower greenhouse gas emissions.
