The following application letter template lists the information you must include in the letter you submit with your resume when applying for a job. Use this application template as a guideline to create customized letters to send to employers with your resume.

Contact Information The first section of your letter should include information on how the employer can contact you. If you have contact information for the employer, include that. Otherwise, just list your information.

Application Letter Content Your application letter will the employer know what position you are applying for, why the employer should select you for an interview, and how you will follow up.

First Paragraph: The first paragraph of your job application letter should include information on why you are writing.

Mention the job you are applying for and where you found the position. If you have a contact at the company, mention the person’s name and your connection here.

Middle Paragraphs:  The next section of your cover letter should describe what you have to offer the company. Make strong connections between your abilities and the requirements listed in the job posting. Mention specifically how your skills and experience match the job. Expand on the information in your resume, don’t just repeat it. Try to support each statement you make with a piece of evidence. Use several shorter paragraphs or bullets rather than one large block of text, which can be difficult to read and absorb quickly.

Final Paragraph:  Conclude your application letter by thanking the employer for considering you for the position. Include information on how you will follow up. State that you will do so and indicate when (one week’s time is typical). You may want to reduce the time between sending out your resume and following up if you fax or email it.

Modifications If You’re Emailing an Application Letter

If you are emailing an application letter, instead of sending a hard copy, you will need to make a few minor tweaks to the template above.

Skip including your personal information (address, contact information), the date, and the employer’s contact information. Begin your email with the salutation.   • Do not duplicate your resume. The purpose of this letter is to show that you are a strong candidate and to highlight your relevant experience and abilities. Since your application letter will be accompanied by your resume, make sure the letter does not duplicate your resume exactly. Your resume is a general record of your experience, education, and accomplishments. In contrast, your application letter should show how exactly your background makes you a good fit for a particular position.
  • Tailor each application letter to the job. As mentioned above, emphasize in your letter why you are an ideal candidate for the specific job. This requires that you personalize each letter to fit the specific company and position. Here’s information on how you can closely  match your qualifications to the job posting .
  • Be professional. Application letters have a fairly rigid format — as hiring managers read your letter, they will expect to see certain information included in set areas. You have freedom within the structure to be personable, but it is important to stick to a certain level of formality. Pay particular attention to the professionalism of your salutation and what you call the employer. You wouldn’t, for instance, want to refer to the letter’s recipient by the first name unless specifically requested.
  • Use business letter format.  Use the  official business letter format  when writing your letter. Include your contact information at the top, the date, and the employer’s contact information. Use specific examples whenever possible. For example, if you say that you have lots of experience working successfully on team projects, provide an example of a time you worked in a group and achieved success.

Writing this letter can seem like a challenging task. However, if you take it one step at a time, you’ll soon be an expert at writing application letters to send with your resume.

How to Get Started

Before you begin writing your job application letter, do some groundwork. Consider what information you want to include (keeping in mind that space is limited). Remember, this letter is making a case for your candidacy for the position. But you can do better than just regurgitating your resume — instead, highlight your most relevant skills, experiences, and abilities.

To include the most convincing, relevant details in your letter, you’ll need to know what the employer wants.

The biggest clues are within the job advertisement, so spend some time decoding the job ad . Writing Guidelines for Job Application Letters

Writing a job application letter is very different from a quick email to a friend or a thank you note to a relative. Hiring managers and potential interviewers have certain expectations when it comes to the letter’s presentation and appearance, from length (no more than a page) to  font size  and style to  letter spacing :

Length:  A letter of application should be no more than one page long.

Format and Page Margins:  A letter of application should be single-spaced with a space between each paragraph. Use about 1″ margins and align your text to the left, which is the standard alignment for most documents.

Font:  Use a traditional font such as Times New Roman, Arial, or Calibri. The font size should be between 10 and 12 points.

What to Include in Each Section of the Letter

There are also set rules for the sections included in the letter, from salutation to sign-off, and how the letter is organized. Here’s a quick lowdown on the main sections included in a job application letter:

Heading:  A letter of application should begin with both you and the employer’s contact information (name, address, phone number, email) followed by the date.

If this is an email rather than an actual letter, include your contact information at the end of the letter, after your signature. Here’s how to send an  email application letter .

Complimentary Close:  Sign off your email with a polite close, such as “Best” or “Sincerely,” followed by your name.

Signature:  End with your signature, handwritten, followed by your typed name. If this is an email, simply include your typed name, followed by your contact information.

If possible, include examples of times when you added value to a company. Numerical values offer concrete evidence of your skills and accomplishments.
  • Use keywords.  Reread the job listing, circling any keywords (such as skills or abilities that are emphasized in the listing). Try to include some of those words in your cover letter. This will help the employer see that you are a strong fit for the job.
  • Keep it brief.  Keep your letter under a page long, with no more than about four paragraphs. An employer is more likely to read a concise letter.

Writing an application letter can be tricky.

Two different people can write an application letter. One person gets the job, while unfortunately the other person does not get it.

Why is that?

Well, one of the reasons is that what constitute a good application letter is different from what a generic application letter is.

So today, I am going to teach you how to write an application letter that can get you your desired job.

Secondly, your application letter can land you a job interview so it is important that you learn how to write a good application letter.

What is An Application Letter?

As the name implies, an application letter is a letter you write when applying for a job.

This is the definition of an application letter, in its simplest form. It is formal letters you address to the recruiter letting them know you are interested and qualified for the job role.

The application letter is the first contact the recruiter has with you besides your CV and, in fact, they might see the application letter first because some recruiters require that it be sent as the body of the mail.

Even if it wasn’t sent as the body of the mail, the recruiter might be inclined to open it first to see if there is a need to even proceed to open your CV.

The implication of this is that you have to make sure that your application letter creates a good first impression, enough to make the recruiter want to establish further contact with you. Considering that the letter is not usually lengthy, you have to master the skill of including all that is necessary with.

What Should an Application Letter Contain?

As stated above, you do not have the luxury of space to write too much, so the little space you have, make sure the following features appear;

  • Sender’s Address : Your name and contact info at the top right hand of the page. In the following order, write your name, address, phone number, email address and the current date. Write like you do an address of a formal letter. If you are sending the letter as the body of the mail, write your details at the end of the mail, after the signature.
  • Recipient Address : Then in the next line on the left hand of the page, write the recipient’s name and address, in the same order as yours except that of the recipient will only carry name and address (office address).
  • Salutation : On the line, you address the recipient using the name and proper and title. For instance, “Dear Mr Kensington” is a good idea. Avoid addressing the letter as “To Whom It May Concern”, it gives the recruiter the impression that you have not taken the time to research the company or that you are simply sending random applications. Employers want to feel wanted as well. If you are, however, still uncertain who to address it to, then use “Dear Hiring Manager” instead. 
  • Body of the Letter : There is no generally acceptable number of paragraphs per se of a standard application letter. One thing that is generally accepted is that the letter is not lengthy; anything more than a page is too much. You don’t want to bore the recruiter will unnecessary details. Your CV should carry more of those details that your application letter will highlight. Start by saying the job you are applying for, where you saw the vacancy and how excited you are to apply. Then in the next paragraph, state why you think you are qualified based on the qualifications and experience you have. State only the most relevant ones and don’t exactly go into details. Make sure everything you state is relevant to the job and how it will help you carry out your duties to bring out expected results. Close on a positive note, mentioning you are expecting a favourable response and with a thank you.
  • Signature : Sign out with “Sincerely” or “Best regards” or “Yours faithfully”. Sign and write your name in full. Remember, if you are sending as the body of the mail, your details will follow the signature.

Step by Step Guide to Writing An Application Letter That Lands You Job Interviews?

  • The first thing to remember is that it is a formal letter and not informal. So you go straight to the point without going into pleasantries. You should not ask after the welfare of the recruiter or that of the family. Go straight to the point of the letter.
  • Make your letter engaging. The truth is that most recruiters go through a lot of letters every day and so it is important to keep them hooked from the beginning.
  • Give them a picture of yourself, as it relates to the job,  that is not in your CV.
  • An application should not exceed a page. Anything more than a page is lengthy, keep it simple, you are not writing a thesis or writing a letter to your best friend.
  • Make sure to use legible font size and type.

Normally, when companies have you fill out an application or send a resume, they will want you to also include a job application letter (also known as a cover letter).  The job application letter is one of the most important parts of your application, because it will give your potential employer a glimpse into why the company should hire you.  Here are some tips to help you write an effective job application letter.

Tip #1 :   Research the Company  – Before you even start typing that cover letter, you should research the company to which you are applying.  Why?  You need to be able to gear your letter toward showing the employer how you will fit in and make the company even better.  Your research will show that you understand the company, and you will be able to highlight the right qualifications on your job application letter.

Tip #2:  Type Your Letter  – This should be a given, but many people still do not realize that the job application letter should be typewritten so it is easy to read.  The only handwritten part of the page should be your signature at the bottom.

Tip #3:  Avoid Exaggeration  – When you land an interview, you will be asked to backup the statements you have made in your application letter and your CV. Don’t put yourself in an embarrassing situation where you can’t substantiate a claim.

Tip #4:  Use the Tools on Your Computer  – Before you submit your job application letter, you need to do a spelling and grammar check.  Use the tools in your word processing program to create a job application letter that is error free.  Also, give it a once over without the computer check, as misspelled words are not always caught by your computer.

Tip #5:  Make it Personal  – Your job application letter should be written in the first person, which means you should use the word throughout.  This is different from the resume.

Tip #6:  Keep It To the Point  – Your job application letter should not be more than one page.  It should not be a dissertation of everything you have ever done. The job application letter is to highlight the important knowledge, accomplishments, and other things that will enhance the company.  Also, avoid stories or jokes.  They do not come across as professional, which is the image you want to put forth from your job application letter.

Tip #7: Don’t Play The Sympathy Card  – These include statements like: ( As a young boy I lost my father. My schooling was delayed due to financial difficulties). Such personal and emotional statements should be avoided. No employer is interested in your personal problems. Playing the sympathy card will cost you a job.

Tip #8: Use the Right Format  – Your job application letter should look like a letter, but it should only be three or four paragraphs long.  The first paragraph of your job application letter should contain the position you desire and where you found out about the job.  You should also include why you think the company needs your services.  The second paragraph of your job application letter should highlight your skills and accomplishments.  Only use knowledge and accomplishments that apply to the specific job.  You can do this by using the advertisement for the job and making connections between the qualifications and why you fit that need.  You can divide this section of your job application into two sections if you need to.  Finally, the third paragraph of your job application letter needs to ask for the interview.  Let the hiring manager know how he or she can reach you.  Be confident that the reader wants to interview you, but avoid arrogance.

When you take time to think about your job application letter, you will end up at the top of the list for the job.  A well written job application letter gives you a leg up on the competition and your foot in the door.
