With Copilot in PowerPoint, you can create a presentation from an existing Word document—or a PDF if you have a Copilot for Microsoft 365 (work) license. Point Copilot in PowerPoint to your document, and it will generate slides, apply layouts, create speaker notes, and choose a theme for you.

Select the document you want from the picker that appears. If you don't see the document you want, start typing any part of the filename to search for it. You can use a Word document—or, if you have a Copilot for Microsoft 365 (work) license, you can use a PDF, and encrypted documents are available as well.

Note:  If the file picker doesn't appear, type a front slash (/) to cause it to pop up.

Best practices when creating a presentation from a Word document

Leverage word styles to help copilot understand the structure of your document.

By using Styles in Word to organize your document, Copilot will better understand your source document structure and how to break it up into slides of a presentation. 

Include images that are relevant to your presentation

When creating a presentation, Copilot will try to incorporate any images in your Word document. If you have images that you would like to be brought over to your presentation, be sure to include them in your Word document.

Start with your organization's template

If your organization uses a standard presentation template, start with this file before creating a presentation with Copilot. Starting with a template will let Copilot know that you would like to retain the presentation's theme and design. Copilot will use existing layouts to build a presentation for you. Tip:  Copilot works best with Word documents that are less than 24 MB.

Are you looking for an efficient way of creating modern, multi-slide PowerPoint presentations? If so, then Microsoft Copilot is a game-changer! Copilot is an everyday AI companion that can work with you inside your favorite Office applications, making you more efficient and productive.

In this article, we are going to explore how to use Copilot and Microsoft Designer , a powerful AI design tool, in PowerPoint to quickly create and edit presentations.

Set yourself up for Success: Copilot pre-requisites

In PowerPoint, the Copilot icon can be found on the Home ribbon.

If the Copilot button is greyed out (inaccessible), we need to make sure that we have completed the following steps:

  • Save the presentation to the OneDrive account associated with your Copilot license ( File > Save As > OneDrive ).
  • Toggle on autosave.

Create a presentation with Copilot

In this scenario, we are a tech startup called Infotech. We are looking to create a sales pitch presentation to dazzle potential investors.

Let’s use Copilot to help us with this.

Create a blank presentation

  • Open PowerPoint.
  • From the File tab, click New and select Blank Presentation .

  • From the Home tab, select Copilot.

The Copilot pane is split into halves. The top half shows four prompt suggestions, which are a good place to start when using Copilot.

The lower half is where we type our prompts and ask questions.

  • Select Using this presentation.

Note: The prompt area has dictation capabilities which can be useful for people with accessibility or mobility issues. Click the microphone icon to speak instead of type.

  • In the prompt box, type the following: “Create a sales pitch presentation for a tech startup called Infotech to impress potential investors and secure investments."

  • Click Send .

Copilot will generate a multi-slide presentation with placeholder text. This text is AI-generated based on the prompt you provided.

Redesign slides with Microsoft Designer

The AI-generated images in the presentation provide a starting point. You can further customize the presentation with your own or your organization’s images.

  • Click on an image in the presentation.
  • From the Picture Format tab, in the Adjust group, click Change Picture .
  • Choose a picture source from the drop-down list.

In this example, I’m going to use a Stock Image .

  • Click Insert .

We can change the look and feel of each slide in our presentation using Microsoft Designer, Microsoft’s AI design tool.

If you don’t see the Designer pane open automatically, click the Home tab and then Designer .

  • Choose a new design to apply to the slide.

  • Repeat this process for each slide in the deck to quickly redesign slides and achieve a consistent look.

Edit the presentation with Copilot

We can use Copilot to make edits and structural change to our presentation.

Speaker notes

A cool feature of Copilot is that it automatically creates speaker notes and adds them to the presentation.

  • Click the View tab.
  • In the Show group, click Notes .

The notes will show at the bottom of the slide. You can edit the notes from here or go to View > Notes Page for a more focused view of the notes.

Summarize the presentation

Copilot can summarize large presentations and produce a concise overview. This is useful if you are looking to send an email that gives people a summary of the key points in the presentation.

  • Click in the prompt area.
  • Type the prompt, “Summarize this presentation” .

Copilot will return a summary of the deck with references. The reference number tells us which slide in the desk the summary item relates to.

  • Click Copy to copy the summary to the clipboard.

We can now paste this information into an Outlook email, a Teams channel, a Word document etc.

Create a presentation from a file

When we create a presentation from scratch using Copilot, the text and images are AI-generated.

We can create more customized presentations by starting with an existing document.

  • From File , click New and choose Blank presentation .
  • On the Home tab, click Copilot .
  • Choose the prompt, “Create a presentation from file.”

In this example we are going to use an existing Word document. To use an existing file, the file needs to be saved in OneDrive.

  • Click the Files tab.
  • Select the file from the list.

Alternatively, we can paste the link to the OneDrive file directly into the prompt area.

  • Open the file.
  • Click Share and Copy Link.
  • Click Copy .

  • Go back to PowerPoint and paste the link into the prompt area.

Copilot will use the information and images in the file to build a presentation. It will automatically add notes to each slide and show you the outline the presentation will be based on.

We can then use Designer to redesign our slides or manually make changes.

The way we create PowerPoint designs is being revolutionized by artificial intelligence. New AI tools are making it easier than ever for anyone to create professional, visually-appealing presentations. In this post, we’ll explore the possibilities of AI tools to help with designing PowerPoint slides.

Microsoft PowerPoint now also includes PowerPoint Designer a feature that uses AI to generate design suggestions for your slides. It can save time and effort while bringing visually polished results. Other programs like ChatGPT and Microsoft Copilot can also assist by crafting entire slides or presentations with just a text prompt.

Beyond the slide design stage, AI is playing a bigger role in the process of how presentations are created. Services like Canva offer templates with automatically curated images and graphic elements. SlideSpeak uses AI to fully create entire presentations from any Word or PDF document.

AI tools are also a game-changer for corporates and companies creating lots of PowerPoints. You can now get corporate templates that use AI to keep all your slides consistent with CI guidelines. Making PowerPoints is probably soon going to be as easy as typing up a few key points to cover and letting the AI do the magic for you. So far tools like ChatGPT and Google Gemini have only made writing easier, but what about the design of presentations and PowerPoints?

In this post, we’ll explore the leading AI tools helping you to with PowerPoint design. Whether you want to save time, boost visuals, or ensure brand consistency… AI opens up new possibilities! Read on to learn how you can now leverage AI to elevate your PowerPoint presentations.

Last but not least we will look at tools like that fix your design layout. I’m sure you’ve heard of DeckRobot. We will take a look what possibilities users have here and compare results.

Microsoft recently introduced some powerful new AI capabilities for PowerPoint – Copilot and Designer . PowerPoint Copilot can generate entire slides including their content. For example, while creating a presentation, Copilot can add a conclusion slide at the end. Using PowerPoint Designer you can then pick from multiple layout options for your presentation. Simply apply a theme and PowerPoint Designer will provide professionally designed slide layout recommendations that compliment your content, with no graphic design experience required. The AI handles all layout changes and images automatically. As of right now images added by Copilot and Designer can still look a bit out of place and weird. But we will dig into that in detail in a second. Microsoft PowerPoint Copilot and Designer ultimately allow you to build creative PowerPoint decks using just text prompts and some guidance from the AI. They make slide design easier than ever.

Step-by-step guide

Let’s have a look at how AI can help us to design a PowerPoint presentation with Microsoft 365 Copilot.

Step 1: Open PowerPoint Copilot

You’re wondering where to find Copilot in PowerPoint? In the top right corner of PowerPoint you will find a “Copilot” button. But that being said Copilot will only be visible in your PowerPoint if you have an active subscription for Microsoft Copilot.

After you’ve selected “Copilot” you will see a side panel showing you an option to create a presentation with AI. Go ahead and enter a topic for your presentation.

Step 2: Enter a topic for your presentation

I want to design a presentation about Quality Assurance in Software. So I’ve gone ahead and asked Microsoft Copilot to design me a presentation about that. After a few seconds it pulled together a PowerPoint. The content was a bit underwhelming and short (only 6 slides), but it’s a starting point.

You can also see that Microsoft Copilot directly suggests that you can change the design and layout of your slides with “Designer”. Let’s see what “Designer” can do for us…

Step 3: Open PowerPoint Copilot Designer

As soon as you click on the “Designer” icon in the top right or in the suggestion link in the Microsoft Copilot AI answer it will give you new design suggestions for the current PowerPoint slide. This is pretty cool and come in really handy if you’re looking for a design that matches your content best.

You can literally switch the design of one particular slide by clicking on the design in the right side panel. If you want to change the overall design of all slides you can go ahead and click on the “Design” tab in the top tool bar.

Step 4: Change the design layout of all slides

In order to change the design of all slides in your PowerPoint simply click on the “Design” tab. Now you can pick from all of your PowerPoint templates and layouts.

The only issue is that if you change the design for all slides the AI generated slides get a bit messed up and you will end up fixing the issues. That’s indeed a bit counter productive since the whole point of using an AI tool is to save time. It seemed that after going through all slides and selecting a new design in “Designer” most of the layout issues were fixed. That’s some good news at least! Yey!

Microsoft 365 Copilot Pro

Microsoft 365 Copilot Pro is the basic version for individual. It comes at a cost of $20/month in addition to your existing Microsoft 365 subscription.

Microsoft Copilot Enterprise

If you’re an Enterprise customer then the price is even higher. Microsoft Copilot for Enterprise starts at $30/month .

  • Copilot works alongside you to create, edit, understand, and ask questions to help build presentations
  • Can generate draft presentations by giving Copilot a topic
  • Summarizes key points of longer presentations
  • Restructures and organizes slides, allowing you to decide if the changes work
  • Generates slides using your organization’s branding
  • Create, edit, understand, and ask Copilot prompts to refine its suggestions
  • Available on mobile to review decks and generate summaries

Overall Rating: 3/5 ⭐️

In general Microsoft PowerPoint copilot gave a solid impression but was a bit clunky at times. It was especially annoying that the designs looked a bit cheap and broken. We expected a bit more. Additionally Microsoft PowerPoint Copilot chat bot can only adjust textual content and not the designs. It can save some time when creating presentations from scratch, but if you’re creating editing an existing one it’s pretty much useless.

ChatGPT and GPTs (ChatGPT Plugins)

ChatGPT and its expanding ecosystem of AI tools have the potential to change how we design PowerPoint presentations in the coming years. Rather than struggling to create designs, presenters can instead focus on content and messaging strategy while using AI to design PowerPoint slides. As AI features continue to get better and better, we may soon reach a point where one can simply describe the intended storyline and visual impacts, and the AI will automatically morph the slides to match. Tools like SlideSpeak are trying to do exactly that (more about that later).

Image generation tools like Dall-E and Midjourney have been all over news and can create stunning images that sometimes are even hard to recognized as AI generated.

Additionally ChatGPT recently launched it’s GPT Store , which allows developers to create custom GPTs that can accomplish specific tasks like creating presentations and PowerPoints. There is already a bunch of custom GPTs that allow you to create PowerPoint presentations for any topic.

More specific GPTs to create images and illustrations exist if you want to enhance specific slide designs or generate infographics, charts or other visuals.

Unfortunately there is no GPT available that generates PowerPoint templates for you as of right now. We will look at a few GPTs that help you make your slides more appealing.

The only downside here is that in order to use the new ChatGPT plugins (also called GPTs) you need a paid ChatGPT Plus or Premium subscription.

GPT Plugins for Infographics

Canva gpt plugin.

The Canva GPT is amazing and can help you a lot when you want to create infographics or any kind of visuals for your PowerPoint presentation. We found it incredibly useful especially for simple graphics to visualize ideas in our design.

We’ve asked the Canva GPT to create a graphic for a SWOT analysis and after a few seconds it showed up.

But you can take it even a step further. Let’s ask the Canva GPT to generate a presentation for a monthly retrospective meeting.

We prompted it with “Generate a presentation for a monthly retrospective meeting” and this is the result:

This is quite cool, Canva generated us two presentation designs and ask us which we prefer. We can now click on the presentation design we like more and finish the presentation in Canva.

There’s a small caveat: If you later want to download that presentation for PowerPoint, you will need a paid Canva account.

SlideSpeak GPT

SlideSpeak GPT is a handy plugin that enables users to create slides and presentations effortlessly by simply providing the topic they want to present. While this plugin simplifies the process of creating presentations, a drawback is that it currently only supports one design template. The team is currently working on adding more designs. Despite this limitation, SlideSpeak GPT can be a useful tool for quickly generating basic presentations when design flexibility is not a top priority.

Let’s ask SlideSpeak GPT to design a presentation for a monthly retrospective meeting. After a few seconds it gave us back a direct download link for the presentation.

If we click on the link we will see the full presentation with all its slides. The big benefit here is that the presentation can be downloaded as a PowerPoint file too.

Whimsical GPT

The Whimsical GPT plugin brings the power of AI to visual diagramming by enabling users to generate flowcharts, mind maps, and sequence diagrams directly from text directly in ChatGPT. If you’re looking to create more advanced diagramming capabilities like the Sticky Notes AI feature, they will need to use the full Whimsical application. Let’s give it a try and see what we can design with the Whimsical GPT.

SlideSpeak is an AI tool that uses ChatGPT to create entire PowerPoint presentations for you. It’s super handy if you need to put together slides on a topic but don’t want to spend hours formatting and designing them from scratch.

The big benefit is you can upload documents to SlideSpeak like Word documents, PDF or another PowerPoint presentation. SlideSpeak will then take the content of that document and create an entire presentation for you with a new design.

The best part is that it leverages the latest ChatGPT AI, so the content is surprisingly good and human-like. If you don’t have a document then you can also let SlideSpeak create a presentation for any given topic or a custom prompt.

It’s a huge time-saver compared to building presentations manually. The AI helps ensure professional, visually-appealing results without you having to spend ages on design work.

Let’s dig into how the tool works. We will try to re-design an existing presentation and make it more visually appealing.

We will take the following plain black and white presentation and let SlideSpeak re-design it.

Step 1: Upload an existing presentation to SlideSpeak

Go to https://slidespeak.co and upload your existing PowerPoint presentation.

Step 2: Click on Generate Presentation

Now click on “Generate Presentation”. You will see a window in which you can select a few details about the PowerPoint design that will be generated. SlideSpeak will give you options to add images, a custom logo and other things like colors.

Step 3: Select Presentation Design

In the next step you can select the design template that you want to use for your presentation. This is the last step before the presentation actually gets generated for you.

At the moment SlideSpeak only offers two designs you can select from. They are working on additional templates, so stay tuned.

If you now click on “Generate” then it will generate the redesigned presentation for you.

Step 4: Download your presentation

You can now download the presentations as a PowerPoint file by clicking on “Download PowerPoint”. Feel free to make final adjustments to your design and add your own logo and colors.

SlideSpeak seems to be on the right path to help users design PowerPoint presentations without doing all the tedious manual work. The only downside is that it currently only supports 2 templates. SlideSpeak is already working on the support for more templates and will soon release a feature to also generate graphics like charts, infographics and diagrams in presentations. The project is very promising so stay tuned for more updates.

Decktopus is an AI presentation platform that helps use with slide creation and design. It leverages artificial intelligence to automate tasks like research, content writing, image generation and more. With its intuitive drag-and-drop presentation editor, professional templates and collaboration tools, Decktopus allows users to design visually compelling presentations easier than ever.

Let’s create a presentation with Decktopus and see how much it helps us to create a presentation design.

Step 1: Open Decktopus

Head over to https://decktopus.com and sign into your account. You will see that you have three options in order to get started when creating a new presentation in Decktopus. You can create the presentation from scratch or with AI. In this guide we will create a presentation with AI for a given topic.

Step 2: Select the topic for your presentation

Afterwards you need to select the topic for your presentation. In this example we’ve entered “Wildlife in Africa” after which Decktopus asked us to specify what the target audience for the presentation is. This will most likely make sure that the style of the presentation generated matches the audience (smart!).

Step 3: Pick presentation design

After you’ve selected your presentation topic and the target audience Decktopus will ask you to select one of their presentation designs.

At the time of this writing Decktopus only offered 6 different templates to chose from. We’ve selected the minimal design for this example.

Tada… This it. For the last step, you’ll want to download the presentation that the AI tool whipped up for you. Don’t worry, all the hard work is done – the AI handled the research, writing content, and adding images. But now it’s time to make it your own in PowerPoint.

Decktopus is a simple tool that helps make presentations easily with AI. It’s good for beginners and has cool features like quick design fixes with a Magic Button and help with what to say through AI notes. But, when you compare it to other tools like MS Office 365 Copilot or SlideSpeak, Decktopus doesn’t have as many design choices. This can make it hard to make your presentation look just the way you want.

Even though it’s easy to use, it doesn’t match up to others because of its few templates. Because of this, I’d give Decktopus a 2/5 stars review. It’s okay for simple stuff but not the best choice if you need lots of options or want to get really creative.

Designer’s AI chooses the most suitable layouts for the content, intelligently crops images, and automatically recommends relevant icons and pictures. In today’s fast-paced work environments, people are pressed for time, and AI-powered features like Designer help people create visually engaging and immersive presentations with only a few clicks. When you open a blank presentation and enter words onto the slide, Designer recommends a selection of new high quality photographs that reflect the slide text, along with theme styles and complementary colors. These photos are fully licensed for commercial use and are coupled with one of PowerPoint’s high quality themes and a corresponding color palette to easily create visually impactful presentations with minimal effort.

Designer theme ideas is rolling out now in PowerPoint for Windows, Mac, and on the web for Office 365 subscribers.

Make data easily understood by adding Designer perspectives to your slides

Presenting data in slide decks can be challenging because people have difficulty conceptualizing large and unfamiliar measurements. Studies published by Microsoft Research have shown that adding relatable references for large numerical values makes information easier to understand and increases retention. That’s why we added this capability into PowerPoint Designer!

Thanks to an integration with Microsoft Research’s Perspective Engine, Designer can now recognize when a slide contains a large number that might be difficult to interpret and put into context by automatically augmenting the text with a corresponding perspective. With the additions of perspectives, Designer makes numerical slides more digestible and helps presenters effectively convey their information. For example: The size of Afghanistan, which is 652,232 km², is hard to interpret, but adding that it’s “about equal to the size of Texas” makes it easily understandable. These relative measurements are now automatically surfaced in Designer.

Designer perspectives is currently rolling out to Office 365 subscribers. Designer perspectives is currently available for English only.

People ask me every day whether it’s okay to use artificial intelligence to write a speech or presentation. The answer, like most communication itself, is not black and white but rather filled with nuance and dependent on context. Here are some of the most critical pros and cons to consider.

• AI can help you organize your thoughts into a coherent structure using effective speechwriting models. This gives you a solid framework for your speech. Many people have a hard time organizing their thoughts into the right structure with the necessary arcs, but AI will do that automatically. This certainly doesn’t guarantee a great speech, but it’s a start.

• It’s clear. AI does a good job of providing key points that are easy to follow, and it doesn’t meander or get lost in the details. Not to mention the fact that AI has very good grammar and syntax.

• Because AI is so quick, you can input multiple prompts with slight variations. This gives you several results to choose from, or you can even mix and match.

• AI doesn’t know how to relate to your audience like you do or how to tailor your speech to their mindset. You can describe the audience in your prompt, but AI won’t necessarily know their specific desires and concerns—it can’t get into their heads. And it is often oblivious to the cultural context or zeitgeist of the time. Without this understanding, a speech cannot inspire. Any good speech moves both hearts and minds, and since AI cannot manage the nuance of human emotions, you will often need to personalize the entire speech and make sure it conveys your true intention.

• AI-generated content can be detected. This can be done through AI content detectors or by someone simply inputting various prompts into a generative AI tool and comparing the results to your remarks. The last thing you want to do is attach your name to something important only for people to find out it was from Gemini or ChatGPT. That can damage your credibility well into the future. Remember, audiences pride themselves on having good authenticity meters.

• The strategy of the presentation may have flaws. In addition to composition mistakes (e.g., redundant words and sentences) or inaccurate information, AI can omit key ideas or approaches, leaving gaping holes in the case you are building. So you’ll need to double-check the progression of the speech. Once you’ve done that, check it again.

How AI Affects Your Delivery

When you take an active role in writing a speech, you own it. There is a neurological process that embeds the words and phrases of the presentation into your brain as you write or type. That means the words stay with you to a certain extent. When a speech is written for you—either by AI or another human—you skip that step, which can make it harder to deliver unless you add extra rehearsal time.

A colleague in the tech industry once tried an experiment with an AI speech delivery coaching program: First, he recorded a presentation as he would normally deliver it—in a conversational tone. He then recorded another version after getting coaching from the AI program. It gave him solid, common-sense feedback on pacing, tone and body language, but the words remained exactly the same.

He then asked 30 co-workers to rate both performances on perceived authenticity, engagement, value and overall effectiveness. The recording coached by AI scored 16% lower. Why? It was stilted. The feedback metrics used by AI are generic—valid in some cases, but not a good fit for every speaker or every audience.

After all, AI still cannot talk like humans. So expecting it to coach us on speaking effectively is like expecting a world-class cyclist to improve their performance while using training wheels.

On the other hand, if you get feedback from a trusted colleague or good speaking coach, you can discuss audience needs, expectations and how they might receive your presentation. And you can make sure the presentation looks and feels authentically you.

In the final analysis, remember that communication serves to connect people on the most human level. This can be aided by AI, but cannot be accomplished by AI alone (at least not yet). No technology to date can replace the depth or subtle aspects of shared human experience.

So use AI to brainstorm and get a jump-start on your project. Then add the most important ingredient: human intelligence.

The only thing people enjoy less than sitting through a slideshow presentation is making a slideshow presentation. But with the integration of Gemini AI into Google Slides , that process is about to get a whole lot easier.

How to integrate Gemini into Google Slides

Getting started with gemini, what gemini can do in slides, what you can do with gemini in slides.

In this guide, we’ll explore everything you need to seamlessly incorporate Gemini AI into your workflow. Whether you’re looking to enhance your design elements, streamline content generation, or simply save yourself some time, Gemini AI offers a suite of features that can transform the way you build your presentations.

As with the integrations for Docs and Sheets, Gemini AI is not available for use with Slides at the free tier. You’ll need a $20/month subscription to the  Google One AI Premium Plan to gain access; otherwise, a work or school account through a Gemini for Google Workspace add-on will work.

Simply click on the “Try  Gemini Advanced !” radio button in the top-right corner of the Gemini home screen and follow the prompts.

To begin, open a new or existing Slides presentation, then click the Ask Gemini button in the top-right corner of the screen (to the right of the share button). This will expand the Gemini AI sidebar running down the right side length of the screen. On the sidebar, you’ll be able to either enter your idea directly into the prompt window or take inspiration from the AI-generated image slideshow at the bottom of the screen.

Primarily, Gemini AI can create images, generate new slides, summarize a presentation, and write and rewrite content. It can also reference Drive files or Gmail as you write, as well as search the internet for current information and statistics to answer questions that arise while you write. Basically, it works as a writing and research aide, same as it does for Docs.

Gemini takes the grunt work out of the slide creation process and accelerates my workflow to a startling degree. While I’ve watched countless slideshows as a journalist (on earnings calls, product demos, keynote events, and the like), I’ve been lucky enough to not have had to make one myself in well over a decade. Suffice to say, actually producing a professional-looking slide deck these days takes me ages to accomplish, what with all the bullet points, image sourcing, thematic formatting, and whathaveyou.

But with the help of Gemini, I was able to pop out a solid eight-slide introduction to the Seattle, Washington, region that discusses the city’s main attractions, the state of its housing market (both sales and rentals), its education and health care systems, and reasons why folks should move to the region — all using simple prompts like, “add a slide discussing the education system in Seattle, the number of primary schools in the Seattle area, and Washington’s average education ranking among U.S. states.” I did all of that in under 10 minutes.

There were a few limitations to what Gemini could help me with, mind you. I repeatedly asked it to incorporate motion transitions between each slide ( because who doesn’t love a good star wipe ?); however, the system kept generating slides discussing transitions as a subject topic instead. I ultimately had to add those effects by hand.

Also, if I were actually giving this presentation in public, I’d have to spend a good amount of time going back through and confirming the veracity of each of the bullet points to ensure the system didn’t hallucinate anything, but without the AI, just creating this deck by hand would have taken me a couple of miserable hours at least.

In-team meetings are done with any kind of template, so if we intend to repurpose the content for an external meeting, the slides must be created practically from scratch, as the content from one team doesn’t match others.

Think of layouts as the skeleton of your slides. They ensure the content is structured, making it easier for the audience to process the information. 

Multiple design rules guide presentation layouts, such as the rule of thirds, the golden ratio, the grid system, working with negative space, and the Z-pattern and F-pattern layouts.

Although both presentation design tools are excellent for creating custom themes, there are some differences in the management and creation of themes for each platform:

  • Flexibility : PowerPoint offers extensive customization options compared to Google Slides, especially in shapes, transitions, animation effects, and shadows. Custom gradients, advanced typography settings, and other interesting tools are unavailable to Google Slides users.
  • User Interface : Although Google Slides lacks the full range of tools of PowerPoint’s Slide Master function, it is more user-friendly for customizing slides. PowerPoint’s Slide Master allows advanced users granular control over every aspect of the theme, but it can be challenging for newcomers.
  • Cross-Platform Compatibility : Compatibility issues are well-known when migrating presentation slides from PowerPoint to Google Slides or Keynote. This is present when the slides contain complex shadow effects, animation effects that are only PowerPoint available, or if the illustrations contain curved texts. Although they can be “fixed,” the results are nowhere near as neat as PowerPoint can offer.

Therefore, presenters must consider these aspects when picking their preferred design tool and invest time and effort into creating custom presentation themes.

Creating Custom Themes in PowerPoint

Locating Slide Master is the first element you must learn to create a custom theme in PowerPoint. This tool controls the slide layout elements for different kinds of pre-established slides, which means you can add footers, branding elements, page numbers, graphic effects, etc.

Now that we know where some of the elements of a PPT template are located, it’s time to discuss customizing the colors for our slides. This can be done in two ways: customizing color element by element or changing the color theme.

Select any element you want to recolorize and go to the Shape Format tab. You can use Shape Styles , or work your way with Shape Fill and Shape Outline .

As with the colors, you have two methods for editing the fonts in your PowerPoint theme. The first method is done inside Slide Master; you need to access Fonts and click on Customize Fonts .

How to edit fonts for custom presentation themes in PowerPoint

This will open up a font customization dialog to select the preferred fonts for headings and body text.

The second way is to manually edit the fonts by selecting each text element and changing the font. It’s more time-consuming, but it may be the method that works best when we only need to alter certain text elements in the slide deck.

How to change fonts manually in custom presentation themes

Keep in mind the compatibility issues if you work with non-common fonts. Since fonts are only displayed if installed on the streamer PC, keep a copy of your font families used or stick to pre-installed fonts.

Presenters can alter the existing layouts by entering Slide Master and repositioning placeholders, changing their sizes, or adding new placeholder elements (text, image, chart, etc.). The changes will be reflected on all slides that use this same layout.

Alternatively, we can create new layouts by selecting Insert Layout in Slide Master. This newly generated layout works as a blank canvas to which you can add whichever elements you prefer.

Say you created a PowerPoint custom template with all the elements that adapt to your presentation style and requirements. Now, it’s time to save it for backup purposes or to share it with your organization. First of all, inside Slide Master, select Close Master View to exit the Slide Master mode.

Next, switch to the Design tab and click on More in the Themes group. Select the option Save Current Theme . Give your created theme a name and save it to the default location (important!) to make it easy to access it for future presentations.

A quick tip to export a copy of your created theme is to repeat the steps to save the theme after Save Current Theme but instead of overwriting the file, right-click on it and select Copy .

Now go to your desired backup folder location, right-click inside it, and select Paste . A copy of the original PowerPoint theme will be stored.

Creating Custom Themes in Google Slides

Google Slides’ version of PowerPoint Slide Master is quite simplified in terms of tools and user interface; it is known as Master Slide, and it can be easily accessed from Slide > Edit Theme .

Theme colors in Google Slides are managed at the theme level and can be edited from the Master view. Click on Color in the toolbar available in the Master view, and this will open the Theme Colors panel, where we can customize the colors used for text, background, accents, and links.

Google Slides allows us to modify the colors by clicking on the color box next to each element. This can be done by using color picking, selecting a color from the provided color palette, or adding a HEX code. Since the Master slide contains all the information for the slide deck, changes will be made globally once saved. If you need to edit an individual element, you can select it from the slide containing it and change the colors.

Font customization in Google Slides is pretty much similar to PowerPoint as it’s managed from the Master view. The main advantage here is Google Slides’ integration with Google Fonts. This means that you don’t have to worry about compatibility issues in your presentation.

The font compatibility issues do not apply if you work with third-party extensions. In that case, you have to double-check if the recipient’s computer has that extension linked to the account to be used; otherwise, they won’t display.

You can create or modify existing layouts in the same fashion as you did with PowerPoint. Access the Master view, select any layout slide, and edit its content. 

If you need to create a brand new layout, click on the layout above the one you need to create and use the CTRL+M shortcut.

Since Google Slides doesn’t include a “Save Theme” option, the customized theme becomes part of a specific presentation. This means you have to make a copy of the presentation to reuse it or go to the Import Theme option to select a theme from a previous presentation or a slide deck you uploaded.

Advanced Customization Techniques

We have already explored the basics of creating a custom theme in PowerPoint and Google Slides. However, some advanced techniques can give you an extra edge, making your slides look more professional and boosting your brand identity.

A must-have for any professional presentation is to count on branding elements, such as logo and branding colors. You can add custom backgrounds, like patterns created in Adobe Illustrator, by right-clicking on the slide in Slide Master and select Format Background . PowerPoint allows you to use solid colors, gradients, textures, and images as backgrounds.

In case you work with Google Slides, the procedure is almost the same: selecting the Background option in the toolbar shown in Master view, or access it for a single slide as shown below. The possibilities are limited compared to PowerPoint, especially regarding complex gradients and shadow effects, so keep it simple.

Remember to work with images or textures that won’t pixelate on your slide. As a reference, always opt for 1920×1080 px when in doubt, but use optimized files to avoid making heavy-sized presentation files.

The two presentation software options we managed in this article offer significantly different animation and transition options. The first is PowerPoint, which has a more extensive offering and complex effects. Access the Transitions tab to add transitions to your slides or the Animations tab to add animated effects to make an entrance, add emphasis, or an exit animation for your slides.

Accessibility in presentations is a key element we must consider when designing custom themes. We can identify three main points that presenters ought to check:

  • Color Contrast : There must be sufficient contrast between the text and background color, as otherwise, it compromises readability (especially for individuals with visual impairments). 
  • Font Size : Choose a font large enough to be read easily from a distance. Typically, we use a minimum of 16 pt for body text. As we mentioned above, avoid using script or overly-decorated fonts. 
  • Alt Text for Images : Alt text is not limited to SEO purposes. In presentations, using alt text can help people with visual impairments understand your slides as screen readers go through alt text.

Let’s take, for example, a well-known case in mass media content: Netflix. If we think about Netflix, we immediately associate its branding identity with the sans-serif caps logo and a red-and-black contrasting color scheme. The rest of its user interface works with the same sans-serif font in two weight options (bold and regular), using different sizes to distinguish between headings and body copy.

From an accessibility point of view, the Netflix website’s contrast ratio is 4.8:1, and according to WebAIM , text and text images ought to have at least a 4.5:1 contrast ratio. Regarding text, they use a 48px sans serif bold font for the headings and a 24px sans serif regular font for the body text: a 2:1 ratio.
