Hello Office Insiders, I’m Lishan Yu, a program manager on the PowerPoint team. You might have heard that we announced the PowerPoint Live in Teams feature at Microsoft Ignite last month. Today, I’m excited to show you how to check out this new experience, and start presenting in Teams meetings from PowerPoint.

Presenting in a meeting used to be as simple as clicking Slide Show in your PowerPoint deck. Nowadays, even though you may not be in the same room as your audience, we believe your flow to present should be as easy and intuitive – clicking the Present in Teams button in PowerPoint is the only step you need to take to present the deck in your Teams meeting!

How it works

Give the feature a try next time you need to present in a Teams meetings:

  • Join a Teams meeting or an ad-hoc Teams call.
  • Open your presentation in PowerPoint for Windows.
  • Click the Present in Teams button in the top right corner.

Scenarios to try

Ready to take the PowerPoint Live feature for a spin? Try some of the scenarios below.

As a presenter :

  • After clicking the Present in Teams button in PowerPoint, notice that you can see both the chat and your content at the same time in Teams (and don’t feel like you’re missing out on the discussion).
  • Take advantage of features like grid review and slide notes to present more effectively.

As an audience member :

  • If you joined late, move back through the deck and quickly catch up without having to ask the presenter to stop and recap what was already shared.
  • Interact with and experience the richness of the content being presented such as better video quality, live web links, and more.
  • Make any adjustments you need to more fully enjoy the presentation (i.e., use high-contrast mode).

Requirements

In order to try out the feature, you will need to:

  • Have the latest Teams desktop app installed.
  • Store the presentation on OneDrive for Business or SharePoint.
  • Join a Teams meeting before clicking the Present in Teams button in PowerPoint for Windows.
  • Be using an Office 365 E3/A3, Office 365 E5/A5, or Microsoft 365 for Government license.

This feature is rolling out over the next several days to Insiders running Beta Channel Version 2104 (Build 13926.20000) and later.

Now let's dive into this tutorial and learn how to share a Keynote presentation in iCloud with collaborators.

In this section, you'll see the power of Keynote collaboration. There are many features and techniques that make Keynote collaboration easy. 

We're going to work with a template called Hauliva . Apple Keynote templates already have most of the design work completed for you. Keynote collaboration is easier when you use a pre-built design.

Let's learn how to collaborate on Keynote with these steps:

1. How to Invite Others for Keynote Collaboration

If you're ready to start to share your Keynote presentation, this is the step for you! Let's walk through how to share a Keynote presentation on iCloud.

Most of Keynote's sharing features center around  iCloud, Apple's online sharing service. The good news is that Apple gives you five gigabytes of free storage just for having an Apple ID. That's more than enough to store your Keynote presentation.

When you're ready to share, start by moving your presentation to iCloud. Inside the app, click on the filename and choose Keynote - iCloud  from the dropdown. This will move your presentation to iCloud.

Now, click on  Collaborate  on the menu. You'll see a popover menu titled  Add People.  There are many secure share options depending on how you want to send the link to your audience. In my case, I'll use  Copy Link.  This creates a URL that you can send to a collaborator.

Make sure you choose your desired setting on the  Share Options  dropdown. Toggle between " Can Make Changes"  and " View Only."  Depending on the size of your share list, you might want to use the latter option so that there aren't  too  many changes.

That's it! When they click on the URL that you share, they'll have the option to edit the presentation in a browser-based version of Keynote. Or, they can click  Open in Keynote  to open it inside the desktop app.

Either way, you've added someone else to your Keynote presentation. You can start working on editing the presentation, together. 

This is the first step to collaborating in Keynote. Once you've added other users to your presentation, changes will start flowing in. You'll see the presentation update in real-time.

2. How to Comment While Using Keynote Collaboration

Even if you use Keynote's sharing and collaboration, it's tempting to use other platforms for communication. You might want to send an email with a few details. But then, other collaborators jump with other communication.

Pretty soon, you've got a lot of email threads that take too much time to reconcile. It's too complicated to sift through email chains and decide whose perspective should be added.

It's better to use Keynote's built-in features to comment and make suggestions for a presentation. That keeps all the discussion in a single place that's easier to add to your presentation.

In Keynote, click on any object on the slide. Then click  Comment  on the tools and type a comment in the box.

Your collaborators will see a comment box with your name on any object. Use this window to reply to the comment and let them know what you're thinking about the presentation, too.

To manage the users who have access, click on the  Collaborate  icon again. You'll see the list of users that have access. Click on a name and choose to  Remove Access  as needed. Or adjust permissions between  Can Make Changes and View Only.

Remember that this menu helps you manage Keynote collaboration on an ongoing basis. Adjust who does and doesn't have access in just a few clicks from the  Collaborate  menu.

4. How to Share a Finished Keynote Presentation Online

If you want to share a presentation online, the best feature to use is  Keynote Live.  It gives you the freedom to share the presentation even when everyone can't gather. It streams your presentation.

To launch Keynote Live, click on the button above the work area.  Invite Viewers  for limited access or click  More Options  to get a URL to share with anyone.

Now, click  Play Now  to kick off the presentation. You'll enter presenting mode on your computer. You can even see how many viewers are tuned into your stream.

One important note for this feature: the app doesn't support any audio streaming. So, you'll need to use a separate service or start a group call.

Wondering in the bewilderness

Presenting Keynote in Microsoft Teams while seeing Presenter Notes and accessing Dock

I need the exact setup sequence, please, that will let me present slides in Microsoft Teams, see my Presenter Notes on my Mac or a secondary monitor, and still be able to access the Dock. Currently I can accomplish only two of these three goals using a secondary monitor (if I swap screens), and only one without it.

Advice on this site about Keynote and Teams seems outdated, and advice that's said to work for PowerPoint doesn't seem fully correct for Keynote. I need 2022-relevant advice for Keynote, please.

There is such a correct setup sequence using Zoom, but it's unclear to me what it is for Teams.

So you’ve got a keynote presentation coming up, and you’re hitting the books to make sure you’re armed with the best plan possible. Besides taking notes from all the greats on TED, you’re reading up about a message structure that works, and looking for the perfect template.

While it seems like you’ve got your bases covered, like all things in life, there’s always a way to streamline the planning process.

According to Aaron Weyenberg , the UX Lead for TED and a self-professed “master of slide decks,” and the wizards behind Apple’s presentation slides , there are a number of tricks of the trade that you can rely on to create a rocking keynote presentation .

1. Do your slides last

While most keynote speakers will typically build their presentation around the structure of a template, Weyenberg says that “building your slides should be the tail end of developing your presentation.” Before working on your slides, you should put together your main message, structure, supporting points – then practice and time your presentation. The reason for this, he says, is that the presentation needs to be strong enough to stand on its own. Approaching a keynote like this requires a shift in thinking.

While a beautiful set of slides is imperative to your presentation, it should not be central to it.

2. Get creative with photos

Often times, presenters will be far too literal or cheesy with their image choice. Weyenberg suggests to use images that are simple, yet punchy – and pairs nicely with your spoken words. He says to look for photos that are:

  • Related to your keynote’s concept
  • Are not complex in terms of composition

3. Simplify charts and graphs

While most presenters will simply drop an image of their charts and graphs into their deck, Weyenberg points out that it might be a bit “unsightly.” If you need to use data to back a point that you’re making, you should make the extra effort to make it more attractive – and this can be done by recreating it in your presentation maker .

There are a couple benefits to doing this:

  • It will make your presentation seem consistent and well-thought out
  • You’ll have control over colors, typography, and more.

4. One theme per slide

According to the designers of Apple presentation slides, less is certainly more. Trying to cram too many ideas on one slide can only work to your detriment. Beyond ideas, the same goes for statistics.

Let’s play a little game: For the following idea, how many slides would you use? “The developer program is incredibly vibrant. We have over six million registered developers. Demand for this show has never been greater. We sold out in just over a minute [71 seconds].”

While the average person might think that 6 million and 71 seconds would belong on the same slide and be short and sweet enough, let’s compare it with what Apple’s CEO Tim Cook did.

He only leveraged two slides: The first said “6 million,” and the second: “71 seconds. Sold out.”

5. Create a visual experience with data

Taking a leaf again from Apple’s presentation book, once you’ve gotten the hang of having just one stat per slide – you should also make it as visual as possible.

One data point per slide, combined with it being visually interesting – is sure to be memorable.

6. Practice Really Makes Perfect

Imagine the late Steve Jobs, a legendary keynote presenter, still rehearsed for months before a presentation. According to Brent Schlender , one of the co-authors behind the Steve Jobs biography “Becoming Steve Jobs,” Jobs would rehearse and prepare “exhaustively” for all of his public appearances.

Despite being a natural on the stage, Jobs never would wing it, he came to the show well prepared.

“I once spent an entire day watching him run through multiple rehearsals of a single presentation, tweaking everything from the color and angle of certain spotlights, to editing and rearranging the order of the keynote presentation slides to improve his pacing,” remembers Schlender.

While you may not be a perfectionist like Jobs, you are likely also not nearly as good of a presenter as he is – so practice really makes perfect in this case.

7. Tell A Consistent Story

Circling back to Weyenberg’s tips – he suggests that in a good slide deck, every slide should feel “like part of the same story.” Think of your deck like a story – every slide should feel cohesive to the big picture message you’re trying to communicate – as opposed to random ideas juxtaposed together.

You can do this by:

  • Using the same or similar typography, colors, and imagery across all slides
  • Using presentation templates can help with maintaining the same look and feel

8. Less is more

We explored the less is more concept earlier in the article by suggesting you keep to one idea per slide. The same can be applied to text.

When it comes to creating slides for your next keynote, the cardinal sin is a slide with ample text that is verbatim of your spoken presentation.

What this does is encourage people to keep their eyes on your slides instead of listening to you.

Weyenberg also points out that a text-heavy slide forces the brain to multitask between focusing on what it’s reading and hearing – which is quite difficult and will compromise your presentation.

9. Consider topic transitions

While you want to make your slides look like a cohesive unit, you want to also keep in mind that making every slide look the same may be boring. Weyenberg suggests to:

  • Create one style for the slides that are the “meat” of the message
  • Then create another style for the slides that are transitioning between topics

For example, if your overall slides have a dark background with light text, you can use transitional slides that have a light background with dark text. This way, they’ll still feel like they’re from the same presentation family without being completely uniform.

10. Tell a captivating story

It is fitting that our final tip comes from likely the greatest keynote presenter of all time. The late and great Steve Jobs had the ability to captivate and inspire his audience with his talks, and that’s because he was a very good storyteller. And that’s the golden leaf that you can take from Jobs’ book today.

Always aim to tell a captivating story.

One example is perhaps when he introduced the iPod: “In 2001, we introduced the first iPod. It didn’t just change the way we all listen to music. It changed the entire music industry.” Listen to Steve Jobs weave a story about the digital music revolution when unveiling the iPod.

  • Always remember that your audience is sitting far away . So ensure that your title font size is large enough to be seen from a distance, and that your body text is no smaller than 20px.
  • Use only two colors for your entire presentation – a primary and secondary color. If you must use a large color palette, your maximum choice should be up to five colors.
  • Make sure that there is enough white space throughout your presentation . This will give your content room to breathe. Less is definitely more in this case.
  • Emphasize only one object per slide – whether it’s an image, statistic, quote. This will make sure your audience stays focused.

Can't share Keynote presentation properly in Teams!

Hi! Need help to share my KeyNote presentations in Teams. I can share the window but when I change to presentation mode my participants can't see what I see. The problem doesn't occur with Power Point just with KeyNote. Just upgraded my Mac to Ventura 13.0.1. Anyone have a clue?

Hi @Maria J According to your description, I have the following questions to confirm with you:

  • Does anyone else have the same problem in your organization?
  • Is there the same problem with using the latest Chrome/Edge through the InPrivate browsing window?

Regarding this issue, you can try using different Macs to check if the problem is happening on different Macs, which helps to check if the Mac or Teams app is limiting the problem. Also, when sharing your screen, try sharing the entire screen (entire desktop) to check if it helps.

  • I'm self employed so no one else in the "organisation"
  • Can try that but would prefer to use the Teams app for Mac if possible?

Have an older Mac also that I can try. May the force be with me :)

Välj Sluta dela i möteskontrollerna när du är klar.

Obs!:  I Teams för webben kan du dela din skärm med Google Chrome eller den senaste versionen av Microsoft Edge. Linux stöds för närvarande inte.

Föredragshållarkontroller

När du presenterar kan du använda kontrollerna i föredragshållarverktygsfältet för att hålla presentationen intressant och smidig. Föredragshållarverktygsfältet visas bara för den person som presenterar.

Så här tar du med föredragshållarverktygsfältet på skärmen:

Verktygsfältet finns kvar tillfälligt medan du justerar kontrollerna.

Välj den person som du vill ge kontroll till. Teams meddelar dem att du delar kontrollen.

Välj Ta tillbaka för att återta kontrollen.

Om du använder en Mac med det senaste operativsystemet måste du ge Teams behörighet att spela in din dators skärm innan du kan dela. 

Första gången du försöker dela skärmen visas ett popup-fönster. Välj Tillåt för en månad .

Om du väljer Öppna systeminställningar i popup-fönstret kommer du till inställningsfönstret för behörigheter för skärminspelning. Om du missar uppmaningen kan du göra det när som helst genom att gå till Apple Menu > Systeminställningar > Sekretess & Säkerhet .

Under Skärm & Systemljudinspelning kontrollerar du att växlingsknappen bredvid Microsoft Teams är aktiverad.

Gå tillbaka till mötet och försök dela skärmen igen.

Obs!:  Om du använder Teams på webben kontrollerar du att du också har beviljat skärminspelningsbehörighet till webbläsaren.

Zooma in på delat innehåll

Om du vill få en bättre titt på delat innehåll klickar och drar du det för att se olika områden. Om du vill zooma in eller ut innehåll som någon delar under ett möte eller samtal använder du knapparna längst ned till vänster i mötesfönstret: [+] för att zooma in och [-] för att zooma ut. Du kan också prova följande:

Dra ihop eller isär på styrplattan.

Använd Tangentbordsgenvägar i Teams .

Håll ned Ctrl-tangenten och rulla med musen.

Obs!:  Mac-pekplattor stöder inte zoom i möten. Om du har en Mac använder du ett av de andra alternativen. Om du använder Linux kan du för närvarande inte ge och ta kontroll över delat innehåll.

Dela innehåll från en medföljande enhet

Anslut till ett Teams-möte på en andra enhet.

Tryck på Börja presentera längst ned på skärmen. Du ser ditt delade innehåll på båda anslutna enheter.

När du är klar trycker du på Sluta presentera eller lägger på. Din andra enhet förblir ansluten till mötet.
