How to greet the audience at the beginning of a PhD defense talk/presentation?

I'll be giving a 30-min public talk as a part of my PhD defense next month. It would be attended by the examination committee (consisting of my advisor and two examiners). I reckon that some professors/lecturers from the university might also join it apart from my colleagues and friends.

What would be a suitable - neither too short or seemingly-snappy nor too long and boring - way to address the audience at the very beginning of my talk? For instance, starting with

Hello everyone

sounds a bit too informal to me. Personally, I am inclined to starting with

Respected members of the examination committee...

but I am not sure if that, because of the " Respected ", may be considered too traditional (unfortunately, I don't recall how my colleagues who graduated in the last years did it - you never focus on such aspects until it is your turn :-$).

Should I refer to the examination committee using names, as in:

Respected members of the examination committee, Prof. X, Prof. Y, and Prof. Z

or better not?

For peers and friends, addressing could simply continue as

... and dear colleagues and friends.

Should I also try to sandwich another category specifically for the other professors and lecturers? If so, what could be a suitable way to address them?

In Holland, you actually have to say (in Dutch) something to the effect of "Very esteemed and highly learned Professor Doctor X, I would like to give you my most sincere thanks for the very insightful comments that blah blah blah" (seriously). I've been to defences in California where the candidate just went "hi". Short answer: ask you advisor, he/she knows what the norm of your institution is. –  Koldito Commented Jan 6, 2015 at 10:53
  • 15 In my graduate (US mathematics) department, the custom was for the thesis advisor to introduce the speaker as we usually do for invited speakers at seminars/colloquia (something like 'I am pleased/delighted to introduce Harry Potter who will be defending his thesis "Horcruxes and how to find them"'), following which the speaker usually thanks the advisor for the introduction, possibly thanks the audience for being there, and then gets on with it. –  Aru Ray Commented Jan 6, 2015 at 15:26

  • 2 In the US to me, "Hello everyone" sounds formal and appropriate, whereas "Respected members of the examination committee" sounds downright ridiculous. I would like to second both xLeitix and Koldito's comments and convert them into an answer:

In most cases, there is no requirement, and you can just say, "Good [morning/afternoon], my name is [name], and welcome to my thesis defense."

A very few institutions have a much more formal set of requirements. For example, when I was an examiner for a defense at TU Delft, I had to learn a few words of Dutch in order to ask my questions with the required formality. Also, I had to come a day early to get fitted for a special archaic form of suit. Don't worry about this, though: if this is the case for your institution, then somebody will make sure that you are instructed in what to do.

  • 3 Indeed, these formalities are (nearly) the same at all Dutch universities and if you're a PhD student, the precise rules will most surely be pointed out to you well before the day of the defense. The answer lie in the comments to your question.

Check your local customs. Have you not attended a single PhD talk during your time as a PhD student? What have students done so far? And ... talk to your advisor.

Do not overdo it. If you try to work in lots of complex thanks and courteous comments, you are very likely to stumble and forget and the impression becomes unprofessional or insecure at best. Thanks area also easily managed by adding a slide with thanks to advisers, funding and whatever you feel is necessary. You can use that as the last slide of your presentation since the audience will then know the presentation is over.

Ideally, you would already have attended similar defenses of your advisor's earlier Ph.D. students before and picked up the prevailing social norms there - also concerning other "soft factors", like whether to feed everyone afterwards, with what etc.

I gather this didn't happen, so I'll second Koldito's comment-answer : just ask your advisor. And/or talk to other people in your institution, even if they work in other areas. Such things will likely be more specific to your regional culture than to your specific subfield.

  • Actively engage with the examination committee during the defense. Listen carefully to questions, respond thoughtfully, and view the defense as a scholarly exchange rather than a mere formality.
  • Understand the expertise and backgrounds of the committee members. Tailor your presentation and responses to align with the interests and expectations of your specific audience.

A viva, or PhD thesis defence, typically starts with an opening speech by the PhD candidate. This opening speech can be prepared in advance. How? By following six simple steps that take you from checking university requirements, to structuring and practising your viva opening speech.

What is a viva opening speech?

A viva opening speech is a short presentation of the PhD thesis by the PhD candidate. It typically lasts between 10 and 30 minutes and kicks off the PhD defence during which the candidate has to answer questions from the examiners.

Questions from examiners are relatively unpredictable. A viva opening speech, however, can be prepared and practised in advance! Therefore, it constitutes a major part of getting reading for a PhD thesis defence.

Step 1: Check the requirements for your viva opening speech

Therefore, the first step to preparing a viva opening speech should always be to find out the specific regulations of your university.

Step 2: Define the audience for your viva opening speech

Once you are aware of your university’s regulation concerning viva opening speeches, it is smart to think a bit more about the target audience of your speech.

The target audience for your viva opening speech will influence the level of detail in your presentation, the complexity of the information, and the language and terminology you will use.

Step 3: Develop key messages for your viva opening speech

Now it is time to brainstorm about the content of your viva opening speech! One harsh truth is that you simply cannot include everything. Summarising the work of 3, 4 or more years in a few minutes is incredibly challenging. You have to be selective. You have to summarise, abstract and prioritise.

The key messages for your viva opening speech should be in line with the nature of your PhD thesis. For those who have read your PhD thesis in advance, the content of your viva opening speech should not come as a surprise.

Step 4: Structure your viva opening speech

Common ways to structure viva presentations are around the table of contents of the PhD thesis, around key findings, key arguments, or around case studies.

Step 5: Create visual support for your viva opening speech

As with regular presentations, avoid too much text on slides. Instead, make strategic use of images, photographs, figures or diagrams to develop your storyline and bring your points across.

Step 6: Practice your viva opening speech

You should practice your viva opening speech up to the point that you can present freely, without reading from your notes. However, don’t learn the whole speech by heart. It is always noticeable if someone just recites text, and it will make you sound like a robot.

  • The aim of a PhD viva is to confirm that the work is your own , that you have a deep understanding of your project and, overall, that you are a competent researcher .
  • There are no standard durations, but they usually range from one to three hours, with most lasting approximately two hours .

What Is a PhD Viva?

A viva voce , more commonly referred to as ‘viva’, is an oral examination conducted at the end of your PhD and is essentially the final hurdle on the path to a doctorate. It is the period in which a student’s knowledge and work are evaluated by independent examiners.

In order to assess the student and their work around their research question, a viva sets out to determine:

  • you understand the ideas and theories that you have put forward,
  • you can answer questions about elements of your work that the examiners have questions about,
  • you understand the broader research in your field and how your work contributes to this,
  • you are aware of the limitations of your work and understand how it can be developed further,
  • your work makes an original contribution, is your own and has not been plagiarised.

Note: A viva is a compulsory procedure for all PhD students, with the only exception being when a PhD is obtained through publication as opposed to the conventional route of study.

Who Will Attend a Viva?

In the UK, at least two examiners must take part in all vivas. Although you could have more than two examiners, most will not in an attempt to facilitate a smoother questioning process.

One of the two examiners will be internal, i.e. from your university, and the other will be external, i.e. from another university. Regardless, both will be knowledgeable in your research field and have read your thesis beforehand.

In addition to your two examiners, two other people may be present. The first is a chairperson. This is an individual who will be responsible for monitoring the interview and for ensuring proper conduct is followed at all times. The need for an external chairperson will vary between universities, as one of the examiners can also take on this role. The second is your supervisor, whose attendance is decided upon by you in agreement with your examiners. If your supervisor attends, they are prohibited from asking questions or from influencing the outcome of the viva.

To avoid any misunderstandings, we have summarised the above in a table:

Note: In some countries, such as in the United States, a viva is known as a ‘PhD defense’ and is performed publicly in front of a panel or board of examiners and an open audience. In these situations, the student presents their work in the form of a lecture and then faces questions from the examiners and audience which almost acts as a critical appraisal.

How Long Does a Viva Last?

Since all universities have different guidelines , and since all PhDs are unique, there are no standard durations. Typically, however, the duration ranges from one to three hours, with most lasting approximately two hours.

Your examiners will also influence the duration of your viva as some will favour a lengthy discussion, while others may not. Usually, your university will consult your examiners in advance and notify you of the likely duration closer to the day of your viva.

What Happens During a Viva?

Regardless of the subject area, all PhD vivas follow the same examination process format as below.

Introductions

You will introduce yourselves to each other, with the internal examiner normally introducing the external examiner. If an external chairperson is present, they too are introduced; otherwise, this role will be assumed by one of the examiners.

Procedure Explained

After the introductions, the appointed chair will explain the viva process. Although it should already be known to everyone, it will be repeated to ensure the viva remains on track during the forthcoming discussion.

Warm-Up Questions

The examiners will then begin the questioning process. This usually starts with a few simple opening questions, such as asking you to summarise your PhD thesis and what motivated you to carry out the research project.

In-Depth Questions

The viva questions will then naturally increase in difficulty as the examiners go further into the details of your thesis. These may include questions such as “What was the most critical decision you made when determining your research methodology ?”, “Do your findings agree with the current published work?” and “How do your findings impact existing theories or literature? ”. In addition to asking open-ended questions, they will also ask specific questions about the methodology, results and analysis on which your thesis is based.

Closing the Viva

Once the examiners are satisfied that they have thoroughly evaluated your knowledge and thesis, they will invite you to ask any questions you may have, and then bring the oral examination to a close.

What Happens After the Viva?

Once your viva has officially ended, your examiners will ask you to leave the room so that they can discuss your performance. Once a mutual agreement has been reached, which can take anywhere from 10 minutes to an hour, you will be invited back inside and informed of your outcome.

PhD Viva Outcomes

There are six possible outcomes to a viva:

  • Immediate award of degree: A rare recommendation – congratulations, you are one of the few people who completely satisfied your examiners the first time around. You do not have to do anything further at this point.
  • Minor amendments required: The most common recommendation – you obtain a pass on the condition that you make a number of minor amendments to your thesis, such as clarifying certain points and correcting grammatical errors. The time you have to make these changes depends on the number of them, but is usually one to six months.
  • Major amendments required: A somewhat uncommon recommendation – you are requested to make major amendments to your thesis, ranging from further research to collecting more data or rewriting entire sections. Again, the time you have to complete this will depend on the number of changes required, but will usually be six months to one year. You will be awarded your degree once your amended thesis has been reviewed and accepted.
  • Immediate award of MPhil: An uncommon recommendation – your examiners believe your thesis does not meet the standard for a doctoral degree but meets the standard for an MPhil (Master of Philosophy), a lower Master’s degree.
  • Amendments required for MPhil: A rare recommendation – your examiners believe your thesis does not meet the standard for a doctoral degree, but with several amendments will meet the standard for an MPhil.
  • Immediate fail: A very rare recommendation – you are given an immediate fail without the ability to resubmit and without entitlement to an MPhil.

Finding a PhD has never been this easy – search for a PhD by keyword, location or academic area of interest.

What Is the Pass Rate for Vivas?

Based on an  analysis of 26,076 PhD students  who took their viva exam between 2006 and 2017, the PhD viva pass rate in the UK is 96%; of those who passed, about 80% were required to make minor amendments to their thesis. The reason for this high pass rate is that supervisors will only put their students forward for a viva once they confidently believe they are ready for it. As a result, most candidates who sit a viva are already well-versed in their PhD topic before they even start preparing for the exam.

How Do I Arrange a Viva?

Your viva will be arranged either by the examiners or by the chairperson. The viva will be arranged at least one to two months after you have submitted your thesis and will arrange a viva date and venue that is suitable for all participants.

Can I Choose My Examiners?

At most universities, you and your supervisor will choose the internal and external examiners yourselves. This is because the examiners must have extensive knowledge of the thesis topic in order to be able to examine you and, as the author of the thesis in question, who else could better determine who they might be than you and your supervisor. The internal examiner is usually quite easy to find given they will be from your institution, but the external examiner may end up being your second or third preference depending on availability.

Can I Take Notes Into a Viva?

A viva is about testing your competence, not your memory. As such, you are allowed to take notes and other supporting material in with you. However, keep in mind that your examiners will not be overly impressed if you constantly have to refer to your notes to answer each question. Because of this, many students prefer to take an annotated copy of their thesis, with important points already highlighted and key chapters marked with post-it notes.

In addition to an annotated copy of a thesis, some students also take:

  • a list of questions they would like to ask the examiners,
  • notes that were created during their preparation,
  • a list of minor corrections they have already identified from their viva prep work.

How Do I Prepare for a PhD Viva?

There are several ways to prepare for a PhD viva, one of the most effective being a mock viva voce examination . This allows you to familiarise yourself with the type of viva questions you will be asked and identify any weak areas you need to improve. They also give you the opportunity to practise without the pressure, giving you more time to think about your answers which will help to make sure that you know your thesis inside out. Swath and Dive: A pattern for PhD defense presentations

In recent times I’m having the fortune of seeing several of my own doctoral students approach the end of the doctoral journey (yes, it does end!). As they submit the dissertation and prepare for their defense, there is one piece of advice I find myself giving again and again, about how to tackle the impossible task of presenting multiple years of research work in less than one hour. In this post, I describe a “presentation design pattern” for thesis defenses, which builds upon classic conceptualization exercises advocated in the blog. I also illustrate it with an example from my own thesis defense presentation, more than ten years ago (gasp!).

I still vividly remember when I had to prepare my defense presentation, how I tried to shoehorn tons of concepts into an impossibly small number of slides… which still were too many for the 45-minute talk I was supposed to give at the defense. After several rehearsals (with an audience!) and lots of feedback from my colleagues and advisors, I finally stumbled upon a solution. Later on, I have found that a similar structure was also helpful to other doctoral students preparing their defenses.

The rest of the post takes the form of a presentation design pattern , i.e., a description of “a problem that occurs over and over again in our environment, and […] the core of the solution to that problem, in such a way that you can use this solution a million times over, without ever doing it the same way twice." 1 (a concept originally proposed in architecture, and later used in software engineering, pedagogy and many other fields). I have called this pattern Swath and Dive (for reasons that will become obvious in a minute).

The context: when is this pattern applicable?

When you have to prepare an oral presentation for a doctoral dissertation defense. This pattern is especially helpful if the research is a bit complicated (e.g., composed of multiple contributions , multiple studies, or using multiple research methods) and it is not obvious what contents to include/exclude from the presentation.

What is the problem? What forces are at play?

The main problem this pattern tries to solve is the seeming impossibility of showing 3+ years of research work in less than one hour. While time restrictions and structure for the defense are different in different countries, typically 25-60 minutes are allocated for the presentation. This limited time is a key force at play, but there are others as well:

  • The sheer volume of a thesis dissertation’s contents (typically, a 100-500 pages document), which itself is a condensation of years of hard research work.
  • Defending PhD students need to prove to the jury that they are now competent, independent researchers (i.e., they master the literature of their topic, are able to apply a research methodology and think critically about the results ).
  • The varying levels of expertise and familiarity of the jury members with the concrete thesis topic.
  • The varying levels of knowledge that jury members have of the dissertation materials (i.e., did they read the dissertation document in full? with what level of attention?). While all members are supposed to have read the document, in practice there is a lot of heterogeneity in compliance.

The typical end product of these forces is what I call the “skimming” approach to the defense presentation (see picture below): The presentation provides only a very high level overview of the main elements of the dissertation document (sort of like a table of contents). More often than not, too much time is spent in the introductory and related literature parts of the presentation (which are somehow “safe”, less likely to be criticized – another instance of avoidance at work in the PhD ), and time runs out when the student is getting to the really interesting part for the jury (the student’s own work). This approach of course has the critical flaw of not showcasing enough of the student’s own abilities and research outcomes.

How to avoid “skimming” your dissertation? Enter Swath and Dive .

The solution: Swath and Dive

What I propose in this pattern is to structure the presentation in a different way, a way that tries to balance the need for an overview of the dissertation and (at least some of) the richness of the investigation and the hard work the student has put behind it. The proposed structure goes like this:

A swath is “a long broad strip or belt” of grass, often left by a scythe or a lawnmower. In the context of a dissertation defense presentation, this is where the student gives the overview of the main elements of the thesis: key related scientific literature , main research questions , contributions to knowledge the dissertation makes, etc. Long-time readers of the blog will recognize these key elements as the components of the CQOCE diagram , one of the key reflection exercises in the “Happy PhD Toolkit” to (iteratively) understand and discuss with supervisors the overall view of the thesis. Aside from those key elements, probably some notes about the research methodology followed (which are not part of the canonical CQOCE diagram exercise) will also be needed.

In a sense, the Swath is not so different from the typical “skimming” mentioned above. There are several crucial differences, however: 1) when developing the Swath , we need to keep in mind that this is only a part (say, 50%) of the presentation time/length/slides; 2) the Swath should give equal importance to all its key elements (e.g., avoiding too much time on the literature context of the thesis, and making the necessary time for the student’s own research questions, contributions and studies); and 3) the Swath does not need to follow the chapter structure of the dissertation manuscript, rather focusing on the aforementioned key elements (although scattering pointers to the relevant chapters will help orient the jury members who read the dissertation).

Then, within this high-level Swath describing the dissertation, when we mention a particular contribution or study, it is time to do…

This part of the presentation is where the student selects one study or finding of the thesis and zooms in to describe the nitty-gritty details of the evidence the student gathered and analyzed (if it is empirical research), how that was done, and what findings came out of such analysis. The goal here is to help the audience trace at least one of those high-level, abstract elements, all the way down to (some) particular pieces of the raw data, the evidence used to form them.

How to select which part to Dive into? That is a bit up to the student and the particular dissertation. The student can select the main contribution of the dissertation, the most surprising finding, the largest or most impressive study within the work, or the coolest, most novel, or most difficult research method that was used during the dissertation process (e.g., to showcase how skillfully and systematically it was used). The student should give all the steps of the logic leading from low-level evidence to high-level elements – or as much as possible within the time constraints of the presentation (say, 30% of the total length/time/slides).

An essential coda: Limitations and Future Work

Although this didn’t make it to the title of the pattern, I believe it is crucially important to keep in mind another element in any good defense presentation: the limitations of the student’s research work, and the new avenues for research that the dissertation opens. These two areas are often neglected in crafting the defense presentation, maybe with a single slide just copy-pasting a few ideas from the dissertation manuscript (which were themselves hastily written when the student was exhausted and rushing to finish the whole thing). Yet, if the student convinced the jury of her basic research competence and knowledge during the Swath and Dive part, a big part of the jury questions and discussion will focus on these apparently trivial sections.

When doing the limitations, the student should gloss over the obvious (e.g., sample could have been bigger, there are questions about the generalizability of results) and think a bit deeper about alternative explanations that cannot be entirely ruled out, debatable aspects of the methodology followed… squeeze your brain (and ask your supervisors/colleagues) to brainstorm as many ideas as possible, and select the most juicy ones. For future work, also go beyond the obvious and think big : if someone gave you one million dollars (or 10 million!), what cool new studies could continue the path you opened? what new methods could be applied? what experts would you bring from other disciplines to understand the phenomenon from a different perspective? what other phenomena could be studied in the same way as you did this one? Try to close the presentation with a vision of the brighter future that this research might unleash upon the world.

Give a high level overview of the key elements of the dissertation and a deep dive into at least one interesting finding

Swath and Dive: a different way of structuring your defense presentation

To understand how this pattern could look like, I can point you to my own thesis defense presentation, which is still available online . This is not because the presentation is perfect in any way, or even a good example (viewing it today I find it overcomplicated, and people complained of motion sickness due to its fast pace and Prezi’s presentation metaphor of moving along an infinite canvas)… but at least it will give you a concrete idea of what I described in abstract terms above.

If you play the presentation , you will notice that the first few slides (frames 1-6) just lay out the main construct the dissertation focuses on (“orchestration”), the structure of the presentation and its mapping to dissertation chapters. Then, the bulk of the presentation (frames 7-117) goes over the main elements of the dissertation according to the CQOCE diagram , i.e., the Swath part of the pattern. Within this high-level view of the dissertation, I inserted a short detour on the research methodology followed (frames 25-28) and, more importantly, several Dives into specific findings and the evidence behind them (frames 43-48, 66-72, and 99-112). Then, frames 118-136 provide the conclusive coda that includes the future work (but not the limitations, which were peppered through the Swath part of the presentation – a dubious choice, if you ask me today).

Variations and related patterns

As you can see from the example above, one does not need to follow the canonical version of Swath and Dive (mine is rather Swath and Three Dives ). Yet, paraphrasing Alexander, that is the point of the pattern: to have the core of the idea, which you can use to produce a million different solutions, tailored to your particular context and subject matter.

It is also important to realize that this structuring pattern for thesis defense presentations does not invalidate (rather, complements) other advice on preparing scientific presentations 2 , 3 , 4 and thesis defenses more specifically 5 . It is all very sound advice! For instance, once you have the structure of your Swath and Dive defense presentation, you could use the NABC technique to ensure that the Need, Approach, Benefits and Competition of each of your knowledge contributions are adequately emphasized. And you can rehearse intensively, and with an audience able to come up with nasty questions. And so on…

2. Practice, practice, practice.

It doesn’t matter how confident or comfortable you are with regard to your work and the actual PhD dissertation defense — you need to practice like your life depends on it. 

Be sure to practice not only the presentation, but also your body language, like hand gestures . You don’t want to seem too stiff or anxious during your dissertation defense, and practicing all these elements at once gives you an idea of what you need to work on. 

You’ll also want to work on your tone, to make sure you don’t come off as sounding monotonic . You want the committee members to feel interested and engaged.

3. Check out other candidates’ presentations.

Sometimes, universities will offer open PhD dissertation defense presentations. If your university is one of them, it’s a great idea to attend a few . If your university doesn’t offer open dissertation presentations, check out other local universities that might offer these.

Watching other candidates’ presentations can help you not only get a firsthand look at how a presentation should (or shouldn’t!) go, but also to affirm that dissertation defense presentations aren’t as awful and scary as you might think they are. You might even get some insight or a few ideas for your own presentation while you’re at it.

Navigating the PhD Defense: Strategies for a Successful Presentation

Embarking on the journey of a PhD is a remarkable feat, and the pinnacle of this journey is the dreaded yet exhilarating PhD defense. As you stand on the cusp of this pivotal moment, the culmination of years of research and dedication, it's normal to feel nervous and apprehensive. I dreaded that moment from day 1 of my PhD trajectory.

Preparing for an event that makes me nervous helps me best to calm my nerves. However, whenever I asked others on how to prepare I often heard “don’t worry, you got this! You are the expert!”. They are probably right and mean well – but such a statement is not too helpful to an over-preparer like myself. Preparing calms down my nerves so I needed to know HOW.

That is why in this blog post we'll delve into some practical advice and strategies to help you prepare for your defense and face the challenges with confidence.

Prepare for the known

Layman talk: One of the most essential components of your defense is the layman talk, where you explain your research to a non-specialist audience. This is your chance to showcase your ability to communicate complex ideas in a clear and engaging manner. Thorough preparation of the layman talk is crucial. Rehearse your talk multiple times in front of friends, family, or colleagues who are not familiar with your field. Their feedback can help you refine your delivery. When printing your layman talk, ensure it's single-sided to avoid awkward moments during your presentation. You wouldn't want to unintentionally (not) flip pages during your talk (yes, learn from my mistakes….). And remember, – at least in the Netherlands – you can read out your layman talk. You are safe. Practice it well and you start off you defense in a great way that leaves you time to get settled on stage and calm the nerves.

Think of allllll the questions you’ve heard over the past years: Throughout your PhD research journey, you've encountered a plethora of questions – from curious friends and family to critical colleagues at conferences. Take a moment to reflect on these questions and the recurring inquiries that have shaped your understanding of your own work. Compile these questions in a ‘question sheet’ as a valuable resource to tap into during your defense preparation. These questions often mirror the queries that your committee might pose. By addressing these inquiries proactively, you're arming yourself with a robust defense strategy.

Mock defense, invite your best critiques: Before the curtain rises on the main event, host a mock defense. This practice run allows you to simulate the real defense experience and receive feedback from your trusted peers and mentors. Invite those who aren't afraid to ask tough questions and provide constructive criticism. This rehearsal not only helps you refine your responses but also offers a chance to iron out any presentation glitches or nerves that might arise. Mock defenses provide a safe space to identify areas of improvement and build your confidence for the actual defense. Add the questions you encounter to a ‘question sheet’.

Know Your Committee: Facing questions from your committee is an integral part of your defense. I’d suggest to investigate the research interests of your committee members. This will give insight into the types of questions they might ask. It's also a good idea to ask their PhD candidates, your peers or mentors for their input on potential questions they expect from certain committee members. Again, add those questions to your ‘question sheet’.

Eventually you should be left with a little booklet of possible questions and good answers to those. Whereas you surely tackle many of those already in your dissertation, some of them are new and now you have a prepared answer for them. Maybe it’s even possible to bring that ‘question sheet’ + answers to your defense.

Prepare for the unknown

Of course, sometimes you can prepare as much as you want but there might come a question that throws you off. Here are some strategies you could refer back to in case of emergency.

Three Key Messages: Have three main takeaways from your research that you can seamlessly revert to in case you feel overwhelmed or need to refocus your response.

Special Case Scenarios : If you encounter a question you're unsure about, consider sharing a specific example or case study from your field work. While it might seem cliché, it's a practical approach to demonstrate your understanding and practical application of your research. Redirecting a question to a specific, intriguing aspect of your field work can be an effective way to respond thoughtfully.

Embracing the "Recite Your Dissertation" Approach: While the idea of reciting your entire dissertation might sound monotonous, it's a method with a purpose. By revisiting the core elements of your research, you ensure that your committee is well-acquainted with your key findings and contributions. The defense is not there to produce new knowledge, but it should be an investigation and test of your current work.

Lastly, take your time: The Power of Poise and Thoughtfulness

During your defense, it's essential to maintain a composed demeanor. Remember, it's perfectly acceptable to take a moment to collect your thoughts before responding to a question. Avoid rushing through your answers; instead, take your time to formulate thoughtful responses that showcase your expertise and understanding.

As you approach your PhD defense, it's important to remember that it's not just a test of your knowledge and research but also an opportunity to demonstrate your ability to communicate and engage with your audience. By preparing a compelling layman talk, anticipating and strategizing for potential questions, and embracing the core messages of your research, you can navigate this challenge with confidence and grace. And, yes, finally I’m going to repeat what you have heard so many times before: your defense is a celebration of your academic journey and a stepping stone to your future endeavors. So, stand tall, take your time, and shine brightly as you showcase the fruits of your labour to your committee and peers. Best of success! You got this.

13 Key Questions To Expect In The Viva Voce

Preparing for your dissertation or thesis defense (also called a “viva voce”) is a formidable task . All your hard work over the years leads you to this one point, and you’ll need to defend yourself against some of the most experienced researchers you’ve encountered so far.

It’s natural to feel a little nervous.

In this post, we’ll cover some of the most important questions you should be able to answer in your viva voce, whether it’s for a Masters or PhD degree. Naturally, they might not arise in exactly the same form (some may not come up at all), but if you can answer these questions well, it means you’re in a good position to tackle your oral defense.

Viva Voce Prep: 13 Essential Questions

  • What is your study about and why did you choose to research this in particular?
  • How did your research questions evolve during the research process?
  • How did you decide on which sources to include in your literature review?
  • How did you design your study and why did you take this approach?
  • How generalisable and valid are the findings?
  • What were the main shortcomings and limitations created by your research design?
  • How did your findings relate to the existing literature?
  • What were your key findings in relation to the research questions?
  • Were there any findings that surprised you?
  • What biases may exist in your research?
  • How can your findings be put into practice?
  • How has your research contributed to current thinking in the field?
  • If you could redo your research, how would you alter your approach?

#1: What is your study about and why did you choose to research this in particular?

This question, a classic party starter, is pretty straightforward.

What the dissertation or thesis committee is assessing here is your ability to clearly articulate your research aims, objectives and research questions in a concise manner. Concise is the keyword here – you need to clearly explain your research topic without rambling on for a half-hour. Don’t feel the need to go into the weeds here – you’ll have many opportunities to unpack the details later on.

In the second half of the question, they’re looking for a brief explanation of the justification of your research. In other words, why was this particular set of research aims, objectives and questions worth addressing? To address this question well in your oral defense, you need to make it clear what gap existed within the research and why that gap was worth filling.

#2: How did your research questions evolve during the research process?

Good research generally follows a long and winding path . It’s seldom a straight line (unless you got really lucky). What they’re assessing here is your ability to follow that path and let the research process unfold.

Specifically, they’ll want to hear about the impact that the literature review process had on you in terms of shaping the research aims, objectives and research questions . For example, you may have started with a certain set of aims, but then as you immersed yourself in the literature, you may have changed direction. Similarly, your initial fieldwork findings may have turned out some unexpected data that drove you to adjust or expand on your initial research questions.

Long story short – a good defense involves clearly describing your research journey , including all the twists and turns. Adjusting your direction based on findings in the literature or the fieldwork shows that you’re responsive , which is essential for high-quality research.

#3: How did you decide on which sources to include in your literature review?

A comprehensive literature review is the foundation of any high-quality piece of research. With this question, your dissertation or thesis committee are trying to assess which quality criteria and approach you used to select the sources for your literature review.

Typically, good research draws on both the seminal work in the respective field and more recent sources . In other words, a combination of the older landmark studies and pivotal work, along with up-to-date sources that build on to those older studies. This combination ensures that the study has a rock-solid foundation but is not out of date.

So, make sure that your study draws on a mix of both the “classics” and new kids on the block, and take note of any major evolutions in the literature that you can use as an example when asked this question in your viva voce.

#4: How did you design your study and why did you take this approach?

This is a classic methodological question that you can almost certainly expect in some or other shape.

What they’re looking for here is a clear articulation of the research design and methodology, as well as a strong justification of each choice . So, you need to be able to walk through each methodological choice and clearly explain both what you did and why you did it. The why is particularly important – you need to be able to justify each choice you made by clearly linking your design back to your research aims, objectives and research questions, while also taking into account practical constraints.

#5: How generalizable and valid are the findings?

This question is aimed at specifically digging into your understanding of the sample and how that relates to the population, as well as potential validity issues in your methodology.

To answer question this well, you’ll need to critically assess your sample and findings and consider if they truly apply to the entire population, as well as whether they assessed what they set out to. Note that there are two components here – generalizability and validity . Generalizability is about how well the sample represents the population. Validity is about how accurately you’ve measured what you intended to measure .

To ace this part of your dissertation defense, make sure that you’re very familiar with the concepts of generalizability , validity and reliability , and how these apply to your research. Remember, you don’t need to achieve perfection – you just need to be aware of the strengths and weaknesses of your research (and how the weaknesses could be improved upon).

#6: What were the main shortcomings and limitations created by your research design?

This question picks up where the last one left off.

As I mentioned, it’s perfectly natural that your research will have shortcomings and limitations as a result of your chosen design and methodology. No piece of research is flawless. Therefore, a good dissertation defense is not about arguing that your work is perfect, but rather it’s about clearly articulating the strengths and weaknesses of your approach.

To address this question well, you need to think critically about all of the potential weaknesses your design may have, as well as potential responses to these (which could be adopted in future research) to ensure you’re well prepared for this question. #7: How did your findings relate to the existing literature?

This common dissertation defense question links directly to your discussion chapter , where you would have presented and discussed the findings in relation to your literature review.

What your dissertation or thesis committee is assessing here is your ability to compare your study’s findings to the findings of existing research . Specifically, you need to discuss which findings aligned with existing research and which findings did not. For those findings that contrasted against existing research, you should also explain what you believe to be the reasons for this.

As with many questions in a viva voce, it’s both the what and the why that matter here. So, you need to think deeply about what the underlying reasons may be for both the similarities and differences between your findings and those of similar studies.

Your dissertation defense needs to compare findings

#8: What were your key findings in relation to the research questions?

This question is similar to the last one in that it too focuses on your research findings. However, here the focus is specifically on the findings that directly relate to your research questions (as opposed to findings in general).

So, a good way to prepare for this question is to step back and revisit your research questions . Ask yourself the following:

  • What exactly were you asking in those questions, and what did your research uncover concerning them?
  • Which questions were well answered by your study and which ones were lacking?
  • Why were they lacking and what more could be done to address this in future research?

Conquering this part dissertation defense requires that you focus squarely on the research questions. Your study will have provided many findings (hopefully!), and not all of these will link directly to the research questions. Therefore, you need to clear your mind of all of the fascinating side paths your study may have lead you down and regain a clear focus on the research questions .

#9: Were there any findings that surprised you?

This question is two-pronged.

First, you should discuss the surprising findings that were directly related to the original research questions . Going into your research, you likely had some expectations in terms of what you would find, so this is your opportunity to discuss the outcomes that emerged as contrary to what you initially expected. You’ll also want to think about what the reasons for these contrasts may be.

Second, you should discuss the findings that weren’t directly related to the research questions, but that emerged from the data set . You may have a few or you may have none – although generally there are a handful of interesting musings that you can glean from the data set. Again, make sure you can articulate why you find these interesting and what it means for future research in the area.

What the committee is looking for in this type of question is your ability to interpret the findings holistically and comprehensively , and to respond to unexpected data. So, take the time to zoom out and reflect on your findings thoroughly.

Discuss the findings in your defense

#10: What biases may exist in your research?

Biases… we all have them.

For this question, you’ll need to think about potential biases in your research , in the data itself but also in your interpretation of the data. With this question, your committee is assessing whether you have considered your own potential biases and the biases inherent in your analysis approach (i.e. your methodology). So, think carefully about these research biases and be ready to explain how these may exist in your study.

In an oral defense, this question is often followed up with a question on how the biases were mitigated or could be mitigated in future research. So, give some thought not just to what biases may exist, but also the mitigation measures (in your own study and for future research).

#11: How can your findings be put into practice?

Another classic question in the typical viva voce.

With this question, your committee is assessing your ability to bring your findings back down to earth and demonstrate their practical value and application. Importantly, this question is not about the contribution to academia or the overall field of research (we’ll get to that next) – it is specifically asking about how this newly created knowledge can be used in the real world.

Naturally, the actionability of your findings will vary depending on the nature of your research topic. Some studies will produce many action points and some won’t. If you’re researching marketing strategies within an industry, for example, you should be able to make some very specific recommendations for marketing practitioners in that industry.

To help you flesh out points for this question, look back at your original justification for the research (i.e. in your introduction and literature review chapters). What were the driving forces that led you to research your specific topic? That justification should help you identify ways in which your findings can be put into practice.

#12: How has your research contributed to current thinking in the field?

While the previous question was aimed at practical contribution, this question is aimed at theoretical contribution . In other words, what is the significance of your study within the current body of research? How does it fit into the existing research and what does it add to it?

This question is often asked by a field specialist and is used to assess whether you’re able to place your findings into the research field to critically convey what your research contributed. This argument needs to be well justified – in other words, you can’t just discuss what your research contributed, you need to also back each proposition up with a strong why .

To answer this question well, you need to humbly consider the quality and impact of your work and to be realistic in your response. You don’t want to come across as arrogant (“my work is groundbreaking”), nor do you want to undersell the impact of your work. So, it’s important to strike the right balance between realistic and pessimistic .

This question also opens the door to questions about potential future research . So, think about what future research opportunities your study has created and which of these you feel are of the highest priority.

Discuss your contribution in your thesis defence

#13: If you could redo your research, how would you alter your approach?

This question is often used to wrap up a viva voce as it brings the discussion full circle.

Here, your committee is again assessing your ability to clearly identify and articulate the limitations and shortcomings of your research, both in terms of research design and topic focus . Perhaps, in hindsight, it would have been better to use a different analysis method or data set. Perhaps the research questions should have leaned in a slightly different direction. And so on.

This question intends to assess whether you’re able to look at your work critically , assess where the weaknesses are and make recommendations for the future . This question often sets apart those who did the research purely because it was required, from those that genuinely engaged with their research. So, don’t hold back here – reflect on your entire research journey ask yourself how you’d do things differently if you were starting with a  blank canvas today.

Once you have submitted your dissertation, you may be asked to do a defence of your dissertation. This could be in the form of an oral presentation, a poster presentation of your findings, or you could be invited to a viva voce. Vivas, as they are usually known, are particularly common for research degrees such as MPhils or PhDs and are essentially a verbal defence of your thesis that is conducted in an interview style format. At a minimum, the viva is a way of checking you authored the thesis yourself and understand the detail, but it is also an opportunity to discuss your research findings and interpretations in depth with experts. Preparation is key for defending your thesis in a viva or a presentation format. With a bit of groundwork, you could even enjoy the discussion, after all the thesis is the culmination of all your hard work, and no one knows it better than you.

The Last Big Hurdle: How to Prepare for a Successful PhD Defence

It’s the moment almost everyone who completes a PhD both dreads and looks ahead to for years—the defence. It signals a major achievement, but in people’s imaginations, it can seem like the stuff of nightmares… standing frozen in front of everyone, unable to answer a tricky question posed by a committee member and feeling like you must look incompetent. The format of a doctoral defence varies from field to field, but the worst fears of the candidates remain largely the same. Though most people know it probably won’t go so badly, the open-ended-ness can certainly be intimidating- you’re up there alone in front of a panel of experts who get to ask you whatever they’d like, and you may have to deliver your answers in front of an audience of your peers. There are few experiences in academic life more geared to be stressful for the person at the centre of them.

It doesn’t have to be that bad. I spent the weeks leading up to my PhD defence in a state of near panic, but I can honestly say that once it actually got underway, I sort of enjoyed it. You’re the star of the show and get to walk your peers through the finer points of your research. It can be a really invigorating experience. So let’s try to break this down into bite-sized chunks and look at strategies and tips for making your defence an event you might actually look back fondly on.

What the committee wants

Let’s start with what the committee is actually looking for. They want to see a firm grasp of the subject matter, an understanding of the implications of the work, and the ability to see weaknesses in the methodology and possible routes to take for future work. This means creating a presentation that gives a clear, logical overview of your topic, the question you’re addressing, what you did, your results and conclusions, and where the research can go from here. Remember, your jury members are not out to get you. The questions you receive from them will generally fall under one of three headings- those that test your subject knowledge, those that clarify a confusing point, and those that arise from genuine curiosity. If your presentation does a good job of conveying your knowledge of your topic, you can expect more questions from the second and third categories, allowing you to think of the defense more as a conversation amongst experts than a test from on high.

How to prepare

Practice is obviously very important here. Once you’ve put your talk together, find a trusted friend or mentor (ideally, several of them) who knows your field to go through it with you. They can both help you to pare down unnecessary parts and point out logical leaps you may not have noticed because you’re so close to the subject matter. You also want this to be a person who will ask you tough questions and try to spot holes in your reasoning, so choose your test audience carefully. It can be tempting to spend a lot of time obsessing over your slides, trying to make them perfect, but there’s a lot of studying you’ll need to do to be ready for more tangential questions, so don’t lose too much time this way.

Even though you have lived and breathed your thesis topic for years, it’s a good idea to give your thesis a complete re-read just to make sure you really know what’s in there. It may have been months since you finished writing it, and parts may have gotten a little fuzzy since then. Make sure you know why you used the methodology that you did, be able to justify any conclusions you’ve made, and if there are mistakes, admit them openly at the defence and be able to talk about what you should have done differently—the committee isn’t looking for perfection, they’re looking for clear thinking and thorough consideration of methodology.

This is also a good time to review important topics that are peripheral to your work; this will allow you to answer some of the questions designed to test the limits of your broader knowledge of your field. One of the best pieces of defence preparation advice I’ve ever heard is to find out what each of your committee members’ professional interests are, and do a bit of reading on those topics. There’s a very good chance that they’ll ask you something that’s related to their own work, because that’s familiar ground to them, and you may be able to anticipate these questions this way.

Finally, though it’s less and less of a problem as technology improves, you’ll want to make very sure ahead of time that all your presentation gear works and connects properly to the display equipment in the room where your defence will be. No one wants to be running around at the last moment looking for a dongle they didn’t think they needed, or have their laptop’s battery run out partway through the defence. Check that your slides look the same way on the projection screen as they do on your computer- not cut off or too dark. It also doesn’t hurt just to spend time in the room in which you’ll be presenting, to get a feel for the place and see where everything will be positioned.

Common questions and ideas to think about

  • What makes your project original, and how does it answer a previously unanswered question? What have you contributed to the body of knowledge on this topic?
  • Why was this question important to ask? Why do we care about what your findings reveal? (Hint: “Just for the sake of knowing” is not an acceptable answer here.)
  • Did the focus of your project change over its course? If so, explain how and why.

Methodology

  • Why did you choose your methodological approach (including your statistical analyses)? Why is it superior to or more appropriate than all other methodologies?
  • Talk about the difficulties you experienced with your methodology and how you addressed them.
  • What are the limitations of your study design/methodology?
  • Explain how your data represent an appropriate source of measurement to address your question.
  • Is the amount of data gathered sufficient to address your question? Why or why not?
  • If you could do it again with unlimited time and funds, how would your methodology change?

Conclusions

  • What would you say is the most important “take-away” message of your work?
  • Does your work have wider implications for other disciplines in your field?
  • How do your conclusions support or contradict the existing literature?
  • Are there alternative ways your data could have been interpreted?
  • Speculate about what broader implications your research could have, but which aren’t addressed by your data, or were outside the scope of your project.
  • If you were to continue on with this area of research, what would you do next to further your results? Is there a closely related “spin-off” question that needs to be answered?
  • Propose an experimental design to test this related question. What results might you expect to see?
  • Where do you think this field of study is headed in the next five to ten years?

Tips, tricks, and stress management

  • Practice the first few minutes of your talk until you can do it on ‘autopilot’; this will give you a bit of time to relax into your presentation, get your thoughts in order, and begin talking more confidently.
  • If your defence is open to the public, ask a few supportive friends or colleagues to sit where you can easily make eye contact while you’re talking. Seeing a friendly, smiling face can be encouraging and help you to relax.
  • Don’t forget to review the newest literature in the weeks leading up to your defence—one or more important papers may have been published in your field since you wrote your thesis, and you’ll want to know about them.
  • Have a hard copy of your thesis on hand during the defence. It’s much faster to flip to a physical page when asked about a particular section of the text. If this really isn’t for you, be sure you have a quick way to move through pages on your computer.
  • Eat and drink the same things you normally would on the day of your defence. Your stomach may be extra sensitive in response to the stress, and you don’t want to surprise it with anything new. And go easy on the caffeine… jittery-ness will not help you to manage your stress!
  • Try to let your enthusiasm for your subject matter show; your audience will feel more positive about your talk if they can see that you really find the work fascinating.
  • It’s fine to take a moment to think about your answer before responding. The silence isn’t as long or as deafening as you think it is. And if you don’t know, just admit you don’t know—it’s okay to not know everything.
  • Dress well, but comfortably, and try to project confidence. If you can speak to your committee as a group of your peers, it will reflect well on your growth as a scientist in training- and demonstrate you are someone who deserves to be awarded their doctorate.
  • Don’t forget to publicly thank your advisor, your committee, and any other key people involved with your project for their time commitment and investment in your career.
  • When planning post-defence festivities, be aware that you may be more tired, both mentally and emotionally, than you expected. Don’t ask too much of yourself in the hours following the event.

A bit of encouragement

Above all, there are two things you need to remember while preparing for your defence. First, your advisor and committee would not have allowed you to proceed to this point if they didn’t think you were ready. They want to see you succeed and, altruism aside, it would reflect badly on them as well if you were to fail. Trust that they’ve made the right decision. Second, after years of delving into your little corner of the scientific world, no one knows your thesis topic better than you do—not even your committee. Marshall your facts and feel confident in knowing that on this topic, you’re the world expert.

PhD Oral Defense Tips (You Need These)

When you first start your PhD, the required oral defense seems so far away. But then you blink and the time to defend is now !

This is the last step and the only thing standing between you and the title of “doctor.” Ya, baby!

So, what exactly is an oral defense?

After you hand in your dissertation (you know, that large paper you spent the last year pouring your blood, sweat and tears into), your committee will take time to review your work and then assign a date when you will go and “defend” your research.

A PhD oral defense is usually a day-long event where you give a public presentation and/ or a private presentation to some examiners. These examiners will be people from your University or from other universities.

You will spend your time presenting your findings, answering questions about your work and proving to your committee that you have a solid understanding of your field of study and focus area.

If you are in a PhD program, defending your dissertation is most likely the final requirement.

Know What They Are Looking For

Generally, by the time you get to your defense you have made any required, last minute edits to your paper. You have received feedback from your committee members and are prepared to present your final product and answer questions.

The exact format of your defense will depend on your university and the requirements of your grad school. So, make sure you check your grad school’s website and speak with your advisor to get as many details about necessities in order to prepare.

Find out if you need to put together a presentation to go along with your speech. If so, you can prepare presentation slides by using information from your first chapter to design an outline.

Substantive information from your dissertation should be included on your slides and correspond with the important aspects highlighted in your paper.

If you are still unsure of exactly what to expect, ask around- ask colleagues that have already successfully defended their dissertation, ask other committee members or see if you can sit in on someone else’s defense.

Gaining insight into the defense process and knowing what to expect can provide you with confidence and reassurance.

Be Honest with Yourself.

You’ve recently spent day in and day out working on your dissertation and you can probably cite all the literature used during your research, in your sleep. You are an expert on your topic and you’re passionate about your research.

However, you likely don’t know it all. And that’s ok!

One of the most nerve-wracking things about preparing for a defense is thinking about being asked a question that you can’t answer. While we can attend defenses, talk to colleagues, and practice over and over, there is no way to predict every question that the committee will ask.

Luckily for you, once upon a time, your committee was in your same shoes. They know there will be gaps in your knowledge. Your defense is not about being perfect. You aren’t expected to know everything. If you get asked a question and you don’t know the answer, it is ok to just say, “I don’t know.”

You can try to have them rephrase the question or ask for clarification if you aren’t quite sure, but chances are they have asked the question out of curiosity and may not even know the answer themselves.

It is completely acceptable to let them know you haven’t thought of that before but that you’d be happy to do a little more research to find the answer to their question.

Try to create discussions among the examiners. If the examiner asks you a question that you simply can’t answer, you can ask them for their input in what they would do in this circumstance. Show them that you have the ability to think as a scholar.

Be Prepared to Answer Questions

Since your paper has already been evaluated, the questions your committee asks are typically not designed to trick or stump you. Some committees may provide you with the questions before your defense in order to prepare, while others will wait until after you have finished your presentation to decide what to ask.

Questions are usually open-ended and revolve around the core content of your dissertation. They will require you to describe the reasons you chose your topic, summarize your findings and explain how your work will contribute to the current knowledge surrounding your topic. These questions are designed to allow you to show what you know, as well as to have you think critically about your work.

One question that I feel very certain you will be asked in one way or another is, “So what?” Now that you have completed this research and conducted your studies, what have you accomplished? What is your field of study gaining with the completion of your work?

Another question may be, “What’s next?”  They may want to see if your study has influenced your future plans or if this process has brought forward any areas of interest for future research.

You may be able to anticipate some of the other questions you’ll be asked by reviewing the work of your committee members. Then, take another look at your own dissertation through the lens of your committee, keeping in consideration their areas of expertise. You can also try to prepare for possible questions by sitting in other defenses with these committee members to get a better feel for what they will ask.

When you answer questions, don’t rush your responses. It is completely ok to take a few seconds to think before answering. They are looking for solid responses, not quick ones. Also, make your answers concise and to the point; state enough to show you have understanding without going all over the map.

Keep the Discussion Moving

PhDs (professors) have a tendency to be full of hot air and probably could ask a lot of questions. if you feel like they’re focusing too much on one particular area you can guide the conversation on to another topic by continuing forward with the discussion.

Designing an outline of your dissertation and starting your defense with a clear thesis statement can get the discussion off on the right foot.

Try to be crystal clear with your construct definitions and what you did in your study. Many of the questions will be focused on what you did or didn’t do in the limitations of what you chose to do. Understand that every study has limitations and that is okay.

Visual aids, such as PowerPoint presentations with bulleted lists and clearly labeled graphs, can accompany your talk and enhance the flow of your presentation. This will save you if you find yourself rambling or getting off topic; just look back to your current slide, refocus and move to the next.   

Just make sure that your presentation isn’t overloaded with too much text or too many graphics. Your slides should highlight the main points of your research, and include visual representations of data, or other important findings from your study. You may need to sacrifice details from your slides, and just work them into your conversation, if you feel they are vital in telling the story of your research.  

Also know that just reading off of your slides isn’t going to impress anyone. Even the most impressive visuals aren’t going to save you if you haven’t practiced what you are going to say.

The goal with the PhD oral defense is just to make sure that you are comfortable with doing research. It’s a lot like getting the blessing from your examiners, and other people that are going to be your peers, that you are capable of doing research.

It’s All About the Mindset

The biggest hurdle with the PhD oral defense is remembering to view it as a way to improve your thoughts. Your examiners are there to work with you not against you.

Don’t fear your committee. It may seem like they are out to get you once their questions and need for clarification begin, but don’t let that intimidate you. Your advisor or committee chair would not have let you submit your dissertation, or get this far, without thinking that you were ready for the defense.

Believe in yourself!

It’s best to enter your oral defense with a proactive and positive mindset.

If you begin to feel stressed or panicked, take a moment to think before formulating a response. Take a deep breath and remind yourself that you are there because you are an expert on your topic.

It’s impossible to completely anticipate how your committee will respond to your thoughts but taking the time to reread your dissertation and re-familiarize yourself with your work will make you better prepared and more at ease.

Also, getting in lots of practice and plenty of rest will help reduce stress levels, allow you to think more clearly, and be able to reply to questions in a satisfactory way.

Practice Makes Perfect (Better)

Once you submit your dissertation to your committee, most of the hard work is done. Now all that is left is to practice, practice, practice.

Don’t just write down your presentation plan or potential questions and responses; you need to practice saying it aloud. By speaking your thoughts, you will get more comfortable with the flow of your ideas and it will make it easier to identify areas that may need a little more focus.

It may feel silly presenting to an empty room, or to people that are unfamiliar with the process, but this practice will help rid some of the discomfort that comes with talking in front of an audience. You may also be able to get some feedback that will make your defense day even more successful. (Read this interesting blog post on how to get feedback on your writing).

Make sure to check if there are any time restrictions with your presentation so that you can prepare accordingly. You wouldn’t want to waste your time preparing for a two-hour defense when you only have thirty minutes, nor do you want to show up with only enough material for a short presentation when you need to fill a longer time-slot.

If there are time restrictions, this makes it even more imperative that you are practicing aloud and that you are timing yourself while you do it.  Run through your presentation several times so that you can get a solid feel for transitions and pacing.

Most likely, you will be nervous before your presentation and with nervousness, comes the inadvertent fast talking. Nerves can also cause logical thoughts to come out as long streams of babbling. So, try to also practice taking pauses and giving yourself time to process and breath.

Practice on your own and practice with an audience if possible. Practice your presentation on your best friend, your mirror, your dog, or whatever you have available.

As your defense date gets closer, you should be getting to the point where you can go through most of your presentation without your notes. The goal is to become so familiar with what you are going to say that everything comes out smooth and natural without making it appear that you have just memorized a speech.

Don’t Procrastinate

If there was ever a time to NOT procrastinate, that time is now.

You don’t want to wait until the last minute to start practicing. You need time to formally practice all aspects of your presentation, get feedback, and integrate any changes into your slides and your talk.

You need time to check out the room where you will be presenting and try out any of the equipment you may use on defense day. Decide if you’ll need a microphone, projector or any other technology. Take note of any tools that are available in that room and make your request to ensure they will be present for your big day. Depending on what is available already in the room, you may need to line up other resources to bring with you. You don’t want the added stress of trying to figure out logistics just minutes before you begin your presentation.

While you’re in this space, take the time to practice your presentation just as you would do it on the day of your defense. This will help you work out any kinks and gain more confidence for the real event.

You will also need a well-developed backup plan.

You won’t have time to run around on the morning of your defense trying to find another laptop or an extension cord. We know that even in the 21 st century, technology can be unpredictable. There is no guarantee that your presentation plan will actually unfold the way you have envisioned it.

It’s Defense Day- Now What?

You know your material inside and out; you have practiced in front of anyone that will listen, and your visual presentation is golden.

The day has finally arrived, and it is now time for you to present the work that has been such a huge part of your life for the past few years.

Dress the part and don’t forget your notes.   Both of these things will give you confidence and feel prepared.

On the day of your defense, make sure to arrive at least fifteen minutes before your defense is scheduled to begin. This will give you time to set up your presentation, do one last, quick run through and then try to calm your nerves.

Lastly, make sure to have printed handouts in case your technology fails, water for when your mouth goes dry from all the talking, and definitely have tissues for the tears of joy that come after you rock your presentation !

Choosing the dissertation committee is one of the most important decision for a research student. However, putting your dissertation committee becomes easier once you understand the expectations of committee members.

The basic function of your dissertation committee is to guide you through the process of proposing, writing, and revising your dissertation. Moreover, the committee members serve as mentors, giving constructive feedback on your writing and research, also guiding your revision efforts.

The dissertation committee is usually formed once the academic coursework is completed. Furthermore, by the time you begin your dissertation research, you get acquainted to the faculty members who will serve on your dissertation committee. Ultimately, who serves on your dissertation committee depends upon you.

Some universities allow an outside expert (a former professor or academic mentor) to serve on your committee. It is advisable to choose a faculty member who knows you and your research work.

How to Choose a Dissertation Committee Member?

  • Avoid popular and eminent faculty member
  • Choose the one you know very well and can approach whenever you need them

1. Start Your Preparations Early

Thesis defense is not a 3 or 6 months’ exercise. Don’t wait until you have completed all your research objectives. Start your preparation well in advance, and make sure you know all the intricacies of your thesis and reasons to all the research experiments you conducted.

2. Attend Presentations by Other Candidates

Look out for open dissertation presentations at your university. In fact, you can attend open dissertation presentations at other universities too. Firstly, this will help you realize how thesis defense is not a scary process. Secondly, you will get the tricks and hacks on how other researchers are defending their thesis. Finally, you will understand why dissertation defense is necessary for the university, as well as the scientific community.

3. Take Enough Time to Prepare the Slides

Dissertation defense process harder than submitting your thesis well before the deadline. Ideally, you could start preparing the slides after finalizing your thesis. Spend more time in preparing the slides. Make sure you got the right data on the slides and rephrase your inferences, to create a logical flow to your presentation.

4. Structure the Presentation

Do not be haphazard in designing your presentation. Take time to create a good structured presentation. Furthermore, create high-quality slides which impresses the committee members. Make slides that hold your audience’s attention. Keep the presentation thorough and accurate, and use smart art to create better slides.

5. Practice Breathing Techniques

Watch a few TED talk videos and you will notice that speakers and orators are very fluent at their speech. In fact, you will not notice them taking a breath or falling short of breath. The only reason behind such effortless oratory skill is practice — practice in breathing technique.

Moreover, every speaker knows how to control their breath. Long and steady breaths are crucial. Pay attention to your breathing and slow it down. All you need I some practice prior to this moment.

6. Create an Impactful Introduction

The audience expects a lot from you. So your opening statement should enthrall the audience. Furthermore, your thesis should create an impact on the members; they should be thrilled by your thesis and the way you expose it.

The introduction answers most important questions, and most important of all “Is this presentation worth the time?” Therefore, it is important to make a good first impression , because the first few minutes sets the tone for your entire presentation.

7. Maintain Your Own List of Questions

While preparing for the presentation, make a note of all the questions that you ask yourself. Try to approach all the questions from a reader’s point of view. You could pretend like you do not know the topic and think of questions that could help you know the topic much better.

The list of questions will prepare you for the questions the members may pose while trying to understand your research. Attending other candidates’ open discussion will also help you assume the dissertation defense questions.

8. Practice Speech and Body Language

After successfully preparing your slides and practicing, you could start focusing on how you look while presenting your thesis. This exercise is not for your appearance but to know your body language and relax if need be.

Pay attention to your body language. Stand with your back straight, but relax your shoulders. The correct posture will give you the feel of self-confidence. So, observe yourself in the mirror and pay attention to movements you make.

9. Give Mock Presentation

Giving a trial defense in advance is a good practice. The most important factor for the mock defense is its similarity to your real defense, so that you get the experience that prepares for the actual defense.

10. Learn How to Handle Mistakes

Everyone makes mistakes. However, it is important to carry on. Do not let the mistakes affect your thesis defense. Take a deep breath and move on to the next point.

11. Do Not Run Through the Presentation

If you are nervous, you would want to end the presentation as soon as possible. However, this situation will give rise to anxiety and you will speak too fast, skipping the essential details. Eventually, creating a fiasco of your dissertation defense .

12. Get Plenty of Rest

Out of the dissertation defense preparation points, this one is extremely important. Obviously, sleeping a day before your big event is hard, but you have to focus and go to bed early, with the clear intentions of getting the rest you deserve.

13. Visualize Yourself Defending Your Thesis

This simple exercise creates an immense impact on your self-confidence. All you have to do is visualize yourself giving a successful presentation each evening before going to sleep. Everyday till the day of your thesis defense, see yourself standing in front of the audience and going from one point to another.

This exercise takes a lot of commitment and persistence, but the results in the end are worth it. Visualization makes you see yourself doing the scary thing of defending your thesis.

Preparing for Your PhD Defence

Completing your dissertation isn’t the final hurdle to earning your PhD, the oral defence (called a viva voce or viva in the UK) is. But once the date has been set and the examiners are confirmed, how do you start to prepare? Here are some tips to help you beat the nerves and rock your defence.

Know What You’re in For

If defences are public in your department, try to attend a couple before your own. Attending someone else’s defence is a great learning experience and will help you see what works and what doesn't. Notice things like how the candidate dresses, how they address the examiners, and the sort of questions the committee asks. What makes their talk compelling? Watching a live defence is the best way to understand the format and what will be expected of you when it’s your turn.  

Reread Your Dissertation

This is a very important step. A PhD is a multi-year endeavour and it may have been a few years since you did some of the research in your dissertation. Go through each chapter and summarize your main arguments. Then zoom out about your dissertation as a whole. While the committee will question you about the details, they will also ask you to consider your work in a broader context. What are the implications of your findings? What does your thesis contribute to the field? It’s also a good idea to take note of any weaknesses or mistakes so you’re prepared if they’re discussed during the defence.

Prepare Your Talk

After rereading your thesis, you will be in a good position to put your talk together. Your talk should address what you did, why you did it, how you did it, what you found, and what it means. Remember you will only have about 20 minutes. Preparation is more than just building a slide deck, you must also practice giving your talk. Practice giving your talk multiple times both on your own and in front of groups—and remember to rehearse the question part too. Fielding questions from your test audience will help you get better at thinking on your feet when facing unexpected questions.

Basic Question Types

It’s impossible to predict every question you will be asked during your defence so instead prepare for questions in these five common categories: General questions, the context of your work, your methods and research design, analysis of your results, and discussion. You can also familiarize yourself with the work of your committee members as they are more likely to ask questions about their own area of expertise.

Defence preparation shouldn’t be purely academic. Don’t forget to prepare yourself mentally and physically as well by eating well, exercising, and getting enough sleep.

Preparing for your phd thesis defence.

As you start thinking about the end stages of your PhD, it’s important to understand the processes and timelines related to the thesis defence so that your degree completion is not delayed. Even if your thesis defence seems far away, there are several planning considerations you can consider early on to help the end stages of your PhD go smoothly.

Understanding the purpose, processes and possible outcomes of the thesis defence can help you feel more prepared for the defence itself. In this video, you’ll learn about what the defence is, who’s there, what happens, and the deliberation and range of possible outcomes.

Timeline to defence

Early planning considerations.

Well before your defence date, there are several considerations to think about that can help make the end stages of your degree go smoothly and ensure your defence date and degree completion are not delayed:

  • Being aware of formatting requirements will save you time on revisions later on – the last thing you want to be doing before submitting your thesis to UWSpace is updating page numbers or your table of contents! Consider using the Microsoft Word or LaTeX thesis template produced by Information Systems & Technology. 
  • The Dissertation Boost Camp can help you develop effective writing practices and strategies for completing your thesis, while the three-part Rock Your Thesis workshop series will provide practical guidance for planning, writing, revising, and submitting your thesis project. You can also book an individual appointment to do backwards planning with an advisor. They can help you utilize the planning tools most effectively, while providing hands-on guidance and feedback.  
  • If you are using third-party content, including your own previously published work in your thesis, or seeking intellectual property protection (for yourself or another involved party), there may be implications for your thesis or defence. Learn more about copyright for your thesis , and email [email protected] for help with copyright questions related to your thesis.
  • Depending on your departmental or discipline’s norms, you may require approval from your entire committee, or just your supervisor. Ensure you talk with your supervisor and/or committee early on to confirm processes and timelines, so you’re not surprised later.
  • Depending on your departmental or discipline’s norms, your supervisor may select an external examiner themselves, or they may seek your input. Talk to your supervisor early on about this process, as in some faculties the external examiner may need to be vetted and approved as early as the term before you wish to defend. Remember that there are conflict of interest guidelines around the appointment of the external examiner , and the PhD candidate should not be in communication with the external examiner prior to the defence.
  • A PhD thesis must be on display for a minimum of 4 weeks prior to the defence date. To accommodate, you may need to submit your thesis as early as 6-8 weeks prior to your defence. Review your faculty specific backwards planning tool for the thesis submission deadline in your faculty and learn more about the display period in the PhD thesis examination regulations.
  • After your successful thesis defence, you will likely have some required revisions to your thesis. It’s important to understand revision timelines , especially if you’re hoping to become “degree complete” before a tuition refund or convocation deadline.   • Following your thesis defence, there are several steps to be taken before your final, approved thesis is accepted in UWSpace. Ensure that you’re aware of these thesis submission steps and timelines in advance.

If you're about to complete, or have ever completed a graduate degree, you have most likely come across the term "thesis defense." In many countries, to finish a graduate degree, you have to write a thesis .

A thesis is a large paper, or multi-chapter work, based on a topic relating to your field of study.

Once you hand in your thesis, you will be assigned a date to defend your work. Your thesis defense meeting usually consists of you and a committee of two or more professors working in your program. It may also include other people, like professionals from other colleges or those who are working in your field.

During your thesis defense, you will be asked questions about your work. The main purpose of your thesis defense is for the committee to make sure that you actually understand your field and focus area.

The questions are usually open-ended and require the student to think critically about their work. By the time of your thesis defense, your paper has already been evaluated. The questions asked are not designed so that you actually have to aggressively "defend" your work; often, your thesis defense is more of a formality required so that you can get your degree.

  • Check with your department about requirements and timing.
  • Re-read your thesis.
  • Anticipate questions and prepare for them.
  • Create a back-up plan to deal with technology hiccups.
  • Plan de-stressing activities both before, and after, your defense.

How long your oral thesis defense is depends largely on the institution and requirements of your degree. It is best to consult your department or institution about this. In general, a thesis defense may take only 20 minutes, but it may also take two hours or more. The length also depends on how much time is allocated to the presentation and questioning part.

Tip: Check with your department or institution as soon as possible to determine the approved length for a thesis defense.

First of all, be aware that a thesis defense varies from country to country. This is just a general overview, but a thesis defense can take many different formats. Some are closed, others are public defenses. Some take place with two committee members, some with more examiners.

The same goes for the length of your thesis defense, as mentioned above. The most important first step for you is to clarify with your department what the structure of your thesis defense will look like. In general, your thesis defense will include:

  • your presentation of around 20-30 minutes
  • questions from the committee
  • questions from the audience (if the defense is public and the department allows it)

You might have to give a presentation, often with Powerpoint, Google slides, or Keynote slides. Make sure to prepare an appropriate amount of slides. A general rule is to use about 10 slides for a 20-minute presentation.

But that also depends on your specific topic and the way you present. The good news is that there will be plenty of time ahead of your thesis defense to prepare your slides and practice your presentation alone and in front of friends or family.

Tip: Practice delivering your thesis presentation in front of family, friends, or colleagues.

You can prepare your slides by using information from your thesis' first chapter (the overview of your thesis) as a framework or outline. Substantive information in your thesis should correspond with your slides.

Make sure your slides are of good quality— both in terms of the integrity of the information and the appearance. If you need more help with how to prepare your presentation slides, both the ASQ Higher Education Brief and James Hayton have good guidelines on the topic.

The committee will ask questions about your work after you finish your presentation. The questions will most likely be about the core content of your thesis, such as what you learned from the study you conducted. They may also ask you to summarize certain findings and to discuss how your work will contribute to the existing body of knowledge.

Tip: Read your entire thesis in preparation of the questions, so you have a refreshed perspective on your work.

While you are preparing, you can create a list of possible questions and try to answer them. You can foresee many of the questions you will get by simply spending some time rereading your thesis.

Here are a few tips on how to prepare for your thesis defense:

You can absolutely prepare for most of the questions you will be asked. Read through your thesis and while you're reading it, create a list of possible questions. In addition, since you will know who will be on the committee, look at the academic expertise of the committee members. In what areas would they most likely be focused?

If possible, sit at other thesis defenses with these committee members to get a feel for how they ask and what they ask. As a graduate student, you should generally be adept at anticipating test questions, so use this advantage to gather as much information as possible before your thesis defense meeting.

Your thesis defense is a formal event, often the entire department or university is invited to participate. It signals a critical rite of passage for graduate students and faculty who have supported them throughout a long and challenging process.

While most universities don't have specific rules on how to dress for that event, do regard it with dignity and respect. This one might be a no-brainer, but know that you should dress as if you were on a job interview or delivering a paper at a conference.

It might help you deal with your stress before your thesis defense to entrust someone with the smaller but important responsibilities of your defense well ahead of schedule. This trusted person could be responsible for:

  • preparing the room of the day of defense
  • setting up equipment for the presentation
  • preparing and distributing handouts

Technology is unpredictable. Life is too. There are no guarantees that your Powerpoint presentation will work at all or look the way it is supposed to on the big screen. We've all been there. Make sure to have a plan B for these situations. Handouts can help when technology fails, and an additional clean shirt can save the day if you have a spill.

One of the scariest aspects of the defense is the possibility of being asked a question you can't answer. While you can prepare for some questions, you can never know exactly what the committee will ask.

There will always be gaps in your knowledge. But your thesis defense is not about being perfect and knowing everything, it's about how you deal with challenging situations. You are not expected to know everything.

James Hayton writes on his blog that examiners will sometimes even ask questions they don't know the answer to, out of curiosity, or because they want to see how you think. While it is ok sometimes to just say "I don't know", he advises to try something like "I don't know, but I would think [...] because of x and y, but you would need to do [...] in order to find out.” This shows that you have the ability to think as an academic.

You will be nervous. But your examiners will expect you to be nervous. Being well prepared can help minimize your stress, but do know that your examiners have seen this many times before and are willing to help, by repeating questions, for example. Dora Farkas at finishyourthesis.com notes that it’s a myth that thesis committees are out to get you.

Two common symptoms of being nervous are talking really fast and nervous laughs. Try to slow yourself down and take a deep breath. Remember what feels like hours to you are just a few seconds in real life.

  • Try meditational breathing right before your defense.
  • Get plenty of exercise and sleep in the weeks prior to your defense.
  • Have your clothes or other items you need ready to go the night before.
  • During your defense, allow yourself to process each question before answering.
  • Go to dinner with friends and family, or to a fun activity like mini-golf, after your defense.

Allow yourself to process each question, respond to it, and stop talking once you have responded. While a smile can often help dissolve a difficult situation, remember that nervous laughs can be irritating for your audience.

We all make mistakes and your thesis defense will not be perfect. However, careful preparation, mindfulness, and confidence can help you feel less stressful both before, and during, your defense.

Finally, consider planning something fun that you can look forward to after your defense.

8 Top Tips for Crushing Your PhD Oral Defense

Once you’ve submitted your PhD dissertation , most of the hard work is done. The one big thing standing between you and your shiny new doctorate is your oral dissertation defense .

The exact format this takes will depend on your grad school, but the general idea is that you present your thesis to a committee who have read your dissertation. The committee members then ask questions about your work , which you have to defend to prove your academic credentials. You may be asked to make revisions to your dissertation based on the discussion.

This might sound a bit like a scholastic Spanish Inquisition , but as long as you prepare thoroughly, your oral defense doesn’t have to be a stressful experience:

1. Ask Around

The first thing to do when preparing for your oral defense is to ask your PhD advisor what to expect and check your grad school’s requirements. You could also ask colleagues who have already completed their defense.

2. Practice Makes Perfect

If you get the chance, sit in on other people’s oral defense sessions. Even better, if you have some willing friends available, try practicing your defense presentation in front of them, including having them ask you questions.

3. Re-read Your Dissertation

You don’t have to memorize every detail, but re-familiarizing yourself with your work before your oral defense is definitely a good idea.

4. Arrive Early

On the day, make sure you know where and when your oral defense is scheduled to take place. Get there at least fifteen minutes early so you have time to set up and settle down.

5. Your Thesis Statement

Make sure you have a clear thesis statement to begin your presentation. This will usually include the problem you’re addressing, why it’s important and what your research has achieved.

6. Use Visual Aids

Having handouts or a PowerPoint slideshow to accompany your talk is pretty much standard these days and can enhance your presentation.

7. Don’t Fear the Committee

It’s easy to feel like the committee members are out to get you once the questions start flying, but try not to panic. It’s perfectly fine to ask for clarification if you’re unsure about something.

Likewise, be honest if you don’t have an immediate response; it’s far better to say you’d need to do more research before answering than it is to try and bluff your way through the conversation.

Similarly, don’t feel like you have to rush. Taking a moment to think before answering a question will help you to formulate a considered answer.

8. Believe in Yourself!

The most important thing to remember is that your advisor will not have let you submit your dissertation unless they thought it was a good piece of work. As such you have every reason to be confident, which will make your presentation more convincing. Try to dress smart too, as you want to make a good first impression.

To continue establishing that connection with your audience, explain the reasons that led you to do this thesis. Tell the professional reasons, and you can even say some personal ones, which will denote closeness, and your audience will appreciate it.

Now it's time to go into the content of the thesis ! After these preliminary steps, which are just as important as the thesis itself, it is time to explain part by part the structure (which you had previously established). We are going to propose a structure for your project, but the final decision is always yours!

First impressions are very important. Because your title page is the very first thing viewers see, it must be striking and impactful. It also sets the stage for the rest of your slides.

In one glance, the following should be established:

  • Thesis defense topic
  • Design style

For instance, the ecology thesis’s title page uses illustrations of a natural landscape to represent the topic of nature and a striking shade of blue to set the tone.

The sans serif font used depicts clean-cut typography and style and the thesis topic is written in large and bold typography, which draws attention to it immediately.

Right after your title page, include an introduction slide to provide more details about your topic. 

This means explaining what you hope to answer with your research, its importance to your field, and why you chose it.

Continue to incorporate design elements relevant to your concept. This example has done just that by using a different natural landscape and including animals. For coherence, stick to the same typography and style throughout your presentation.

The aim of the literature review slide is to illustrate your knowledge of your thesis topic and any relevant theories.

Walls of text kill a design. For clarity, we recommend presenting this with bullet points. Each one should be short and sweet and only touch on the basics; you can elaborate on them in your speech. 

Don’t forget to be consistent with your design. In our example, we’ve maintained the tone of blue chosen and added illustrations of leaves in the far corners of the slide. 

Also, address similar research that has been done. This is to showcase your topic’s originality and, if relevant, how it’s different and/or an improvement from previously done research.

This is one of the most important parts of a thesis defense presentation.

It allows your viewers to assess the rationality and validity of your approach and consequently, the accuracy of your results.

A great methodology slide explains the what , how, and why :

  • What method did you use for your research
  • Why did you choose it
  • How did you conduct it

Because this part of your thesis will be rather technical, the most effective way to aid understanding is by using graphics like charts and tables.

Keep text to a minimum to avoid drawing attention away from the graphics. If there is a text that must absolutely be included, consider using bullet points and keep them short.

Don’t forget to maintain color, style, and typography coherence.

The results slides are easily the most quantitative part of a thesis defense. 

Here, your aim is to simply introduce your findings. Select the most impactful data and highlight them here.

Just as with methodology, use graphics like charts, tables, and graphs to portray the data in a clear way. And, once again, try not to write too much text. Let the visual content do the talking .

After you’ve introduced your data, the next step would be to help your audience make sense of it. That means understanding what it means in the context of your thesis research topic and your discipline. 

Simply put, you should answer the question: What do the numbers mean?

The best way to approach this would be to do it as if you were creating an infographic . 

Illustrations like icons are a quick and simple way to represent your message. It also reduces the amount of text on your slide, which makes the information much more digestible. 

For a balanced thesis presentation, you should also address any outliers and anomalies.

To quote bestselling author Robin Sharma, “Starting strong is good. Finishing strong is epic.”

That’s exactly what to aim for in your conclusion.

Provide an overview of your thesis topic and remind your audience what you set out to answer with your research. In our example, we’ve used three icons accompanied by a short title and text.

Following that, reiterate the important points of your research results you want your audience to take away from your thesis defense presentation. 

You can do so by expanding the next slide to have more icons and points, for example.

Don’t forget to address any shortcomings and limitations in your approach and extra points for suggesting possible improvements for future research.

First, what does it take to give a successful PhD Defense? How can you prepare, keep the stress levels low, and make sure you have the highest chance of success?

I’ll just say that everyone’s PhD Defense is unique and is unpredictable. Your talk/presentation is only as good as you want it to be. And you cannot fully prepare for all the endless possibility of questions. If you wrote a 200 page thesis, your thesis commitee can pick apart an error bar on a graph on page 133. They can ask you what you meant by a word in a random sentence in any given paragraph. Keep in mind, this is all just apart of the PhD hazing process, and in a sense is just to humble you. At the end of the day, if you wrote a good quality thesis and are CONFIDENT, you should have no problem successfully defending and leaving that room with a sense of relief. Either way, I wanted to share my experience while it is still fresh in my mind

1) Do not underestimate how long it takes to prepare your slides/talk and make sure you give multiple practice talks

When I turned in my thesis two weeks ahead of time to my committee, I thought the hard part was over. Although a very important milestone, don’t let your guard down. If you already have most your slides ready to go, then you are lucky. I ended up getting data at the last minute and my story changed. I had to make many model slides from scratch.

If you want to give a GOOD thesis talk, you need to practice multiple times . And this means that you don’t cram it all in a couple of days right before your talk. I’m not talking about giving just one practice talk. You need to give multiple group practice talks. In between, you need to practice on your own.

You certainly don’t have to memorize every word of your thesis defense talk, but you should have it well-polished. There is no limit (or requirement) on how many practice talks you should give, but give as many talks as it takes until you feel like you are ready. If you are unsure of the quality of your talk (or being “ready”), tape record yourself or watch a video of yourself to see just how good it is. You might be surprised when you play it back to yourself.

You should also time your talk. I noticed that I tend to talk faster (by about 5 minutes) when giving the actual public talk vs. when I practice on my own. The length of the talk can depend on many departmental factors. My talk was ~45-50 minutes long which also leaves time for questions.

Either way, do not procrastinate on your slides and/or talk until days before. Make sure you use the full two weeks to perfect your slides, polish your talk (and be very concise about your words), and review material you are unsure about.

2) Listen to other thesis defense talks

The best way to mentally prepare for your thesis defense talk is to listen to other thesis defense talks. I actually went and got a few talks on DVD (the good ones that I remembered). If their research is on a similar topic as your own, this would be more ideal-but take what you can get. When you watch the talk, ask yourself what makes it good or bad? Were they enthusiastic and sincere? Did they keep the energy throughout the talk? Were there some rough areas of the talk? When nerves are running high, talks may not go as expected. You can battle this nervousness by showing up well-prepared. If you are, the thesis defense talk is just a formality.

If you cannot obtain any thesis defense talks on video, make sure that you go to actual public thesis defense talks. At least go to one so that you have a good idea of how to TIE the whole story together and give your audience the big picture. Keep in mind that you are giving a talk to a general audience . This means that use of jargon and highly technical terms will only put your audience to sleep. Make sure it is clear and understandable. Simplify it the best that you can and put it in the larger context of your research field. Use cartoons or model slides (if necessary) to give your audience the general, overall picture.

3) Have your friends, labmates, and others drill you with questions

What’s the best way to prepare for unforeseen questions? Have others that are familiar with your work drill you with questions. Chances are that even though these questions may not be the actual questions you will be asked either by the public and/or your thesis committee, it prepares you to think on your feet. It also builds your confidence . And the questions that your labmates or friends ask you may just be the same question you will get asked on your defense day.

4) Re-read over your entire thesis and write out your own list of questions

You may be sick of reading your entire thesis over and over by now, but you need to keep everything fresh in your mind. I actually read over my entire thesis multiple times during my final two weeks and came up with my own list of questions that I thought my committee would ask me. In addition, I also came up with a list of questions that I had of my own (questions that I was unsure of or that I thought were a weakness of mine). If you cannot come up with a list of good questions, then you are not trying hard enough.

Even though my committee didn’t ask me my exact list of questions, the process of  coming up with my own list of questions-then finding the answers to those questions (beyond my thesis)-actually helped me gained a deeper understanding of my project. And it was a confidence booster in disguise.

5) Don’t let distractions get to you

Completing your thesis is a huge milestone. Those last two weeks until defense day can be stressful. Whether you are doing job interviews, applying to other jobs, or you want to “jump the gun” and finally start your post-PhD life, don’t give into temptation. Keep your guard up until your actual defense day. This is key to giving a good talk. You need to go in with the mindset that you will kill your presentation and give a long lasting impression to your audience. I have actually heard that some people who gave great thesis defense talks were offered a position shortly after (i.e. a postdoc).

You are going to want to do all those little tasks that you have been putting off for so long because you have spent X amount of months writing your thesis in solitude and you had no time to do them. Your list could be very long. I can tell you that one of the things on my list was to keep publishing blog articles and keep my blog running. I simply did not have enough time. Prioritize and focus on your defense talk and nothing else . If you are looking for jobs during this time period, I will be writing about this in Part 3 of this series.

6) Get plenty of sleep, keep your diet in check, and take care of yourself

This might be the most difficult thing for anyone. I struggled with this the most while writing my thesis. Skipping meals, late nights, overloading your system with caffeine just to stay awake. You have to fight it the best that you can. A month before my defense talk, I hit the gym 3x a week (for the first time in months). Everyone handles the anxiety of their defense talk differently. I am someone who thinks about it constantly. So it becomes hard to focus on other things, like taking care of yourself.

Once your thesis is turned in to your committee members, during those final two weeks- sleep and a proper diet are KEY. The day of your defense, make sure you are well-rested (don’t stay up all night stressing about it) and eat well. Don’t sell yourself short. By taking care of yourself, you ensure that you have the highest probability for giving a great thesis defense talk and showing your committee members that you are confident about your project.

7) Keep your cool and relax

When your defense day comes, you have to remember that you have put in a lot of HARD WORK to get to this point. You know your topic better than anyone . Because of this, you have no reason to be stressed out.

When your committee pushes you and asks you questions, they again will push you to your limits. You will meet a point where you won’t know the answer. Also, a question could simply be a future direction/experiment that you simply haven’t tested yet. Remember that they are simply trying to test your knowledge and humble you. You don’t have to know all the answers. Therefore, when you are answering questions, keep your cool and relax. Answer the questions the best that you can and you should have no problem passing. And in all honesty, the prelim (or qualifying exam) was much harder than the actual defense…

8) Don’t focus on the after-party until you have actually reached the after-party

Who doesn’t want to spend their final two weeks planning the celebration? Although I did have an after-party, I did not go to great efforts to plan it like a wedding party. As I said in #5, prioritize and focus on your thesis defense talk and nothing else. Plan your after-party while you are on break from your practice talk/preparing for questions/working on slides but do not make it a number one priority. Once you have passed, then you can change your focus. The feeling is indescribable (see #10).

9) Have a good structure

A good thesis talk also has a good introduction before going on to the next idea or slide. It should flow in a logical manner and be smooth. That is why #1 is important, because many people don’t spend enough time in the creation of good powerpoint slides. Your slides and talk have to MATCH up , meaning you can’t have really good slides and a mediocre talk (or vice versa) if you want it to go well.

This is why practice is important, and if you spend enough time on BOTH the talk/slides you will give a very good talk. A lot of times while I was actually practicing my talk, I had to go back and change the order/wording of slides or how I introduced certain slides (the wording) so that the flow would be better.

Be formal in how you word things (i.e. say “our data show that”… vs. “you see here that”…). To give a good introduction, it might be wise to use slides that ask a question in between. This question slide (break) in-between your next idea allows for your general audience to CATCH UP and understand your logic . Why are you doing this experiment? If you just show a bunch of your published data with no introduction (and maybe a title that gives an interpretation/punchline), you will overwhelm and bore your audience.

Many scientists forget that although they are an expert on their topic, what seems easy and understandable to them-does not apply to others outside of their field .

Before you go to your next data slides introduce the idea (based on this data I wanted to ask this question). Then tell them WHY you performed this particular experiment (which is basically in the form of a question). Once your audience understands why, go on to the next slide and give them your interpretation. In other words, don’t just jump to the interpretation . This will keep your audience’s attention and make sure that your thesis defense talk gets a lot of positive feedback and leaves a good impression on your committee members (it really does show).

10) Visualize yourself giving your defense each day and think about how good it will feel when it’s over

This one is pretty self explanatory. I will say that when it is all said and done, it feels like a huge burden has been lifted off your shoulders. It is emotional and you finally feel that all that hard work and time that you put in over the years-was all worth it in the end. Good luck to all those who are preparing for their defense talk in the future! Think about what it will be like to get up in front of a large audience and show everyone how you moved a field forward. This is YOUR moment to show everyone you are an expert in your field. The more you keep this mentality, the better your talk will be. Keep your cool and relax (#7) and everything will be fine.

How to greet the audience at the beginning of a PhD defense talk/presentation?

First off, congratulations on reaching your defense! You did something not many people get to do (including me), so take some time to feel excited in-between feeling nervous.

There are standard ways to begin a talk, and generally, these aren't bad to memorize. For one, having a low-impact (and brief) start to your presentation memorized will let you look away from your computer and out at the audience. You'll be able to make eye contact with your colleagues, friends, and maybe family, and use their delight and smiles to boost your mood.

So something like, "My name is [______], and welcome to my thesis defense. So thank you to my committee [take a second to look them each in the eyes as you say it], my friends [find them in the audience and smile at them], and colleagues [same thing here] for coming here and finding this room. Thank you for your support and your attendance. I'm here to tell you about the results of my research over the last [five, six, or seven] years of my life. So without any further ado, let me begin."

(and then you can begin)

From the defenses that I went to, people waited to name specific names at the end of their talk in a sort of pre-question acknowledgement section. So that's when you can pull out the specific titles and names of your committee members. Starting with the general acknowledgement keeps it short, but it also gives you a moment to collect yourself that should (in my experience) make the whole presentation go easier.

In the end, think about what you said about remembering the beginning of your colleagues' defenses: you didn't remember. In other words, you can't mess this up! People are there to celebrate with you -- even if your committee still has the final say -- so try and keep that in mind.

Phd defense slides and lessons learned.

In July this year I finally defended my PhD which mainly focused on (adversarial) robustness and uncertainty estimation in deep learning. In my case, the defense consisted of a (public) 30 minute talk about my work, followed by questions from the thesis committee and audience. In this article, I want to share the slides and some lessons learned in preparing for my defense.

My PhD defense marks the successdful end of a four year journey in machine learning and computer vision research. While defense vary widely across institutions and universities, I had to prepare a 30 minute talk that is followed by questions from the committee and audience. In addition to the difficulty of squeezing several papers into a 30 minute polished talk, there was also a significant delay between submitting and defending my PhD — roughly 4 months. While I can't share the final thesis yet, you can find my defense slides below, followed by some lessons learned in preparing for my defense.

Lessons Learned

Preparing for my defense took significantly longer than I initially estimated. I thought it could not be too hard to put together slides of all my projects, given that I already gave a few talks and had slides for most of my papers ready. However, preparing a polished talk that highlights achievements, giving a good high-level intuition while at the same time demonstrating technical knowledge, was incredibly difficult and took multiple iterations. Besides, I wanted to talk to steer the committee's questions to some extent and make sure I will stick to the 30 minute limit. Here are some lessons I learned surrounding the preparation:

  • Start preparing early enough: Even though I thought the preparation to take less time, I took some long weekends roughly one and a half months before the defense to start preparing the slides. Looking back, this was a great decision as I ended up working on my slides until the last couple of days before the defense.
  • Schedule a practice talk: In my case, a practice talk really made a huge difference. Initially, I included too much content in my slides and it was good to get objective feedback on what to focus on, where more details and time is required and which topics can be covered with less details. I had the practice talk two weeks before the defense and I really used these two weeks to improve my presentation.
  • Practice: Before the practice talk, I practiced the talk and timed it to the minute. This really came in handy in the end because it reduced stress as I knew exactly how to start or get back into the talk on each slide. During the talk this was also helpful as interruptions didn't break the flow of my presentation.
  • Backup slides: Even though I did not end up using most of my backup slides, preparing them helped me to think about potential questions that the committee might ask.
  • Test the setup: A day before the defense, I tested the technical setup. As my defense was hybrid, there was a lot that could go wrong — the virtual meeting room, the microphone etc. It really reduced stress to have it tested once before the defense. Some things that are important to keep in mind is that the setup should also take into account discussion and questions of the committee/audience which are sometimes difficult to handle in a hybrid setting.

Regarding the content of the talk, I found the following to work well — and I found a similar scheme can be found in many other defenses, as well:

  • Fuse motivation with the outline: I ended up putting a lot of effort into a good motivation of my talk that also happened to reflect the outline of my talk. This really helped to tell a consistent high-level story throughout the talk.
  • Highligh achievements: I feel that it was important to highlight the papers that I have published over the years — even those not included in the talk.
  • Technical detail: For two projects, I decided to go into technical detail. While I did not have many technical questions, I got the impression that this was expected by the commitee. Of course, it was tricky to decide which projects to highlight in detail as this usually means that all other projects can only be covered on a higher level.
  • Ignore some projects: In order to go into technical detail for few projects, I decided to not talk about three of my papers. I just mentioned this line of work in my conclusion and the introduction. Initially, I found it difficult to let go of these parts, but it helped to improve the focus of the talk.
  • Have some slides on future work: An easy way to steer the discussion/questions after the defense talk are future work topics. Also, I found that these slides can be used to end the talk on a positive note by expressing your excitement about future research — note that I had these slides after the conclusion.

Dasha proposes and tests a framework for analyzing self- and other-assessment of L2 speech from the lens of Complex Dynamic Systems Theory (CDST). The abstract below provides a comprehensive overview. See also the list of committee members at bottom, including former SFU Linguistics professors. 

The dynamic nature of various processes in second language (L2) acquisition has come into focus as an important area of inquiry. Many researchers, including de Bot et al. (2007), have advocated for a more complex and dynamic perspective on L2 acquisition, emphasizing the continuous interactions between systems that exist both within and between individuals. The present study investigates whether this dynamicity extends to non-native (L2) speech assessment. Research on L2 speakers’ self-assessment has produced mixed results, with some studies suggesting that speakers’ self-ratings bear little resemblance to assessment by listeners (Trofimovich et al., 2016). To shed light on this issue, the study proposes and tests a framework for analyzing self- and other-assessment of L2 speech from the lens of Complex Dynamic Systems Theory (CDST).

Twenty-four L2 speakers of English performed two extemporaneous speaking tasks and subsequently self-assessed their recordings for fluency and comprehensibility, both dynamically in a novel task (lowering or raising a computer joystick in response to perceived changes in the speech) and globally (with a one-time overall rating). Forty L1 English listeners assessed the same recordings using identical procedures. During debrief interviews, both groups of participants elaborated on the attributes of the speech that influenced their continuous ratings.

On the whole, analysis of the continuous ratings underscored the complex and fluctuating nature of both self- and other-assessment, as well as distinct characteristics of comprehensibility and fluency appraisal. In contrast with previous research, L2 speakers’ self-assessment was similar to assessment by L1 listeners, for both the global and dynamic ratings. While both self- and listener ratings correlated with measures of temporal fluency, listener ratings aligned more closely with these features than did self-ratings. Debrief interviews highlighted that self-assessment exhibits both dynamism and stability, with speakers evaluating constant fluctuations in the speech signal against the more stable backdrop of their general beliefs about themselves. Overall, the study exposes the fundamentally iterative and multi-faceted nature of self-assessment and lays the groundwork for continued inquiry into the dynamics of L2 speech perception.

Sound propagation is the process through which sound energy emitted by a speaker travels through the air as sound waves. The room impulse response (RIR) describes this process and is influenced by the positions of the source and listener, the room's geometry, and its materials. Physics-based acoustic simulators have been used for decades to generate high-quality RIRs for specific acoustic environments. However, we have encountered limitations with existing acoustic simulators. For example, they require a 3D representation and detailed material knowledge of the environment. 

To address these limitations, we propose three solutions. First, we introduce a learning-based RIR generator that is two orders of magnitude faster than an interactive ray-tracing simulator. Our approach can be trained to be directly controlled using both statistical and traditional input parameters, and it can generate both monaural and binaural RIRs for both reconstructed and synthetic 3D scenes. Our generated RIRs outperform interactive ray-tracing simulators in speech-processing applications, including Automatic Speech Recognition (ASR), Speech Enhancement, and Speech Separation, by 2.5%, 12%, and 48%, respectively.

Secondly, we propose estimating RIRs from reverberant speech signals and visual cues in the absence of a 3D representation of the environment. By estimating RIRs from reverberant speech, we can augment training data to match test data, improving the word error rate of the ASR system. Our estimated RIRs achieve a 6.9% improvement over previous learning-based RIR estimators in real-world far-field ASR tasks. We also demonstrate that RIR estimation can be utilized for efficient compression of multi-channel audio codecs, significantly reducing the bandwidth of AudioDec by 52% for binaural speech. Our audio-visual RIR estimator aids tasks like visual acoustic matching, novel-view acoustic synthesis, and voice dubbing, validated through perceptual evaluation. 

Finally, we introduce IR-GAN to augment high-quality RIRs using real RIRs. IR-GAN parametrically controls acoustic parameters learned from real RIRs to generate new RIRs that imitate different acoustic environments, outperforming Ray-tracing simulators on the Kaldi far-field ASR benchmark by 8.95%.

How did Raygun qualify for the Olympics? Is she really the best Australia has to offer?

Since Australian breaker Rachael "Raygun" Gunn failed to score a single point in any of her Olympic bouts, many have asked how she qualified for the Games.

Fellow breaker and anthropologist Lucas Marie says she won her qualification "fair and square" last year, but African American man Malik Dixon has criticised the Olympic body for letting her in.

What's next?

Breaking will not be an event at the 2028 Los Angeles Olympic Games — a decision made before Raygun's performance.

The 2024 Paris Olympics marked breaking's debut as a sport at the global event, with 36-year-old lecturer and breaker Rachael "Raygun" Gunn representing Australia for the first time.

Having failed to win a single point in any of her Olympic bouts, Raygun quickly became a viral sensation.

The question on many people's minds now is: How did she even qualify?

Lucas Marie is a breaker who has competed, performed, taught and judged breaking competitions over the past 25 years. He's also an anthropologist who recently co-authored an article with Gunn.

He says the answer to that question is simple.

"There was an Oceania qualifier in which any B-boy or B-girl from Australia [or] New Zealand could enter, and that was in Sydney in October 2023," he told ABC News.

"And leading up to that, there were a lot of other events in which breakers were competing.

"She won those battles fair and square and won the qualification in Sydney.

"And it wasn't really a surprise to anyone. 

"She's been fairly consistent, winning or coming second or third at a lot of breaking events in Australia for the last five to 10 years."

Marie said there was nothing out of the ordinary about Raygun's performance.

"It's not like gymnastics where there's this kind of agreed-upon standard," he said.

"It's always had a rawness to it. It's always had an improvisational kind of quality. And I think looking different and trying different stuff has always been celebrated.

"And I think Raygun, in a way, was just expressing a core kind of hip hop trait in a way a lot of breakers do."

He described her efforts as bold.

"I thought — and this is how I judge a lot of breaking events — I thought, 'Oh, she's making some really interesting choices to mimic Australian animals.' And you can kind of see the choices that she's making in the moment."

Is she the best Australia has to offer?

Team Australia chef de mission Anna Meares insisted after Raygun's performance that she was the best breaker the country had to offer. But is this true?

"It's sometimes just who's performing better on the day," Marie said.

"And at the qualification event in which she won, and other events in which she's won, she performed better on that day and won the ticket.

"That doesn't mean she's the best. It doesn't really work like that.

"I think she's a great breaker. She won the qualification. She's won other events in the past, and she was a good representative for Australia at that competition."

Asked whether there were B-girls in Perth, regional Victoria or rural Brisbane who might have qualified but could not afford to travel to Sydney for the tryouts, Marie agreed this was possible.

"Of course, there's breakers all over the country that maybe should have been in that event, but they weren't."

Breaking will not carry over to the 2028 Olympics in Los Angeles, a decision made before Raygun's battle.

Marie described this as sad.

"Maybe, based on the ratings, they'll reassess that and maybe allocate some medals to breaking," he said.

"I really hope that's the case, and I hope that for other breakers who want to compete in it as a dance sport."

Marie said that at the end of the day people should remember they were dealing with a human.

"As a friend of Rachael's, there's a human being who's getting a lot of negative attention," he said.

"I think people kind of miss that sometimes and forget the human aspect of all this."

'Toying with the culture'

Malik Dixon is an African American who has been living in Australia for more than a decade and is a Sydney University graduate.

He said Raygun made a total "mockery" out of breaking at the Olympics.

"She was dressed like a member of the cricket team or an Australian PE teacher, and from that point it just seemed like satire," Mr Dixon told ABC News.

"It just looked like somebody who was toying with the culture and didn't know how culturally significant it was being the first time in the Olympics and just how important it was to people who really cherish hip hop and one of the elements of hip hop, which is breakdancing.

"It made me think, was Borat her breakdancing coach?"

Mr Dixon said too many people felt entitled to African American culture.

"The African American space has been one where we've shared our community so much and without any restraints, any barriers, roadblocks, obstacles, any gatekeepers, that essentially what should have been African American cultural capital is just shared, which is cool," he said. 

"We like to share, right? 

"We shared 400 years of free labour.

"To see Rachael in her attempt to be a part of the culture just be grossly underwhelming made it seem like she didn't take it seriously."

Olympics body criticised for Raygun qualification

Mr Dixon criticised the body that qualified Raygun, saying she devalued breaking with her performance.

"Whatever governing body nominated her as Australia's entrant into the Olympics either did not understand the assignment or didn't really believe in the integrity or significance of breakdancing, because if they did they would just say, rather than disrespect the culture, we're just not ready to send an applicant this year."

He said Raygun was extremely audacious and not self-aware.

"You've got to know your role, know your position, know your limitation," he said. 

"And I think that part of privilege is saying that there are no limits to what I can do. 

"Part of privilege is having the authority to say that there are no limits and there are no requirements, there are no prerequisites to what I can do."

Raygun's degrees do not hold much water with Mr Dixon.

"Due to consumerism, this Foundational Black American product, which is hip hop, is global," he said.

"And even people who have no connection to any African Americans or any local or regional things that come out in these songs, they have become a part of the whole experience now.

"If I came in and said that I was an authority on Greek music and I was going against the grain of what the mainstream Greek musicians thought, or the school of thought, and I've said that I was the authority, people would check me on that.

"If I had a PhD in sprinting, does that qualify me to go against Noah Lyles? No, it doesn't."

He also doubts Raygun was the best breaker Australia had to offer.

"[There's] got to be somebody out here that's better than that! The kangaroo! The sprinkler! She did the sprinkler out there, man!" he said.

Should everybody just lighten up?

Should we lighten up? Mr Dixon does not believe so.

"Larrikinism is used as a get-out-of-jail-free card and to escape responsibility of how words or actions impact a hurt person," he said.

"But when the majority culture is offended, there's no playing around.

"This is a part of my culture, and I don't think Australians are in a place to tell me how I should feel about breakdancing being mocked on an international stage.

"People who don't have any or limited access to black people or hip hop culture now may see Rachael and her buffoonery as a representation of hip hop and black culture.

"People who were already side-eyeing breakdancing as an Olympic sport, Rachael Gunn has put the nail in that coffin.

"This might be the most viral clip of the whole Olympics. From a comedy standpoint, she's got it, but from an Olympics perspective, its regressive."

Harvard and graduate students settle sexual harassment lawsuit

BOSTON (AP) — Harvard University and three graduate students have settled a federal lawsuit accusing the Ivy League school of ignoring complaints of sexual harassment by a renowned professor and allowing him to intimidate students by threatening to hinder their careers.

The suit filed in Boston in 2022 was dismissed without court costs and with prejudice, according to an order by federal Magistrate Judge Judith Dein dated Thursday, meaning the students can’t re-litigate the claims.

Terms of the settlement were not made public.

The students’ lawyers praised their clients’ courage “in coming forward, speaking up about their experiences and shedding light on important issues.”

“We are glad that our clients will now be able to move on with their lives and careers,” the statement from Sanford Heisler Sharp said.

The lawsuit alleged that one of the students was subjected to repeated forcible kissing and groping as early as 2017 by John Comaroff, a professor of anthropology and African and African American studies. And when the student met with him to discuss her plans to study in an African country, Comaroff repeatedly said she could be subjected to violence in Africa because she was in a same-sex relationship, the lawsuit said.

The other two plaintiffs said Comaroff threatened to derail their careers after they reported his behavior to university administrators. One accused him of giving her unwanted sexual attention when she was an undergraduate at the University of Chicago.

Comaroff, 79, was not named as a defendant, and his lawyers said at the time that he “categorically denies ever harassing or retaliating against any student.” He “consistently made every effort to assist these students and to advance their careers,” their statement said.

As for the discussion about the dangers of possible violence in the African country, he said his advice was appropriate, motivated by concern for her safety if she traveled with a same-sex partner — a warning similar to what’s published by the U.S. State Department.

Comaroff said in a July statement announcing his retirement from Harvard that the lawsuit “repeated all of the allegations already found to lack merit” during a Harvard investigation, but “in more lurid, hyperbolic terms” to make him a scapegoat in their fight against the university.

“All this extraordinary attention, all the furor, all the nastiness, arose out of two brief office-hour discussions, both academic in intent and content,” Comaroff wrote. “An ugly, ferocious campaign had been waged against me at Harvard by a small group of activists, people who have no knowledge of me, of my pedagogy, or of the facts of the case as established by Harvard’s thorough, largely exonerating investigation.”

At the time the lawsuit was filed in 2022, a Harvard spokesperson shared a letter saying Comaroff was put on administrative leave for the rest of that spring semester after university investigators found his verbal conduct violated the school’s sexual, gender-based and professional conduct policies.

Before the lawsuit went to mediation in November, lawyers for Harvard had argued for a dismissal, saying the statute of limitations had expired for some claims and that others lacked merit.

Emails seeking comment on the settlement from attorneys representing Comaroff and the university were not immediately returned Friday.

Keynote Address by Deputy Secretary of Defense Kathleen H. Hicks: "Structuring Change to Last" (As Delivered)

Thanks very much and good morning to everyone. It's really good to be back here at NDIA.

So last year, I stood at the podium at NDIA and described in detail how, from day one, and now for more than three-and-a-half years and counting, Secretary Austin and I have been taking action on the urgency to innovate: one of DoD's greatest imperatives.

Today I'm here to build on that talk: to highlight what's changed in almost four years, what's accelerated over the last year, and how we've been structuring change to last.

Now, nothing goes from zero-to-60 overnight. Change is a progression.

So I'm grateful for the hard work of those who preceded us. Without prejudice of origin, we saw what was done, what needed doing, and what could be done. And we took the next logical steps.

Once we had foundational building blocks in place, our rate of change accelerated — enabling the kinds of faster, go-big innovations that we've pursued since 2021.

One example is how we've embraced flexible acquisition pathways and innovative contracting tools to work better with commercial and non-traditional defense companies. 

Four years ago, Middle-Tier Acquisition was an infant. The Software Acquisition Pathway hadn't yet launched. The Commercial Solutions Opening, or CSO authority, was still a pilot. And Other Transaction Authority, OTAs, were almost exclusively used as a tool for R&D and prototyping. Despite a 2020 spike in use for Covid response, the ability to use OTAs for follow-on production was virtually untapped. Of the $27 billion obligated through DoD OTA awards from January 2017 until four years ago today, less than 1 percent was for production.

One year ago, I said here that it wasn't enough to have these authorities; we had to use them to deliver for the warfighter.

Today, over 200 programs have used Middle-Tier and Software Acquisition pathways, with $57 billion flowing through them since inception — nearly 40 percent just in fiscal ‘24. In some cases, they're shaving up to six years off delivery timelines. And since January 2021, we've obligated $44 billion with OTAs, 61 percent more than at this point in the last administration. Production's share of that total grew over 12-fold compared to four years ago. That's real change.

Another example is how we're improving how we work with innovators across America, from tech firms to private capital providers, to be a better customer and collaborator.

Four years ago, some were still reticent about working with DoD. Some founders weren't even thinking about us. Interested funders had no clear path to align with us.

By one year ago, we had elevated DIU as a direct report to the Secretary of Defense and charged it with a central role in driving innovation across DoD. We'd also created the Office of Strategic Capital to catalyze investment in key technologies for national security.

Today — in partnership with Congress — OSC is funded and has authority to provide loans or loan guarantees totaling nearly a billion dollars, across 31 critical technology areas. They'll start calling for applications soon. Meanwhile DIU has its own nearly-billion-dollar budget, growing staff, and very important work to deliver on, some of which I'm going to talk about later today.

Of course, if I described everything we're doing, we'd be here all day. So this morning we've posted an Innovation Fact Sheet on defense.gov that covers these areas and others — such as:

  • our unceasing work to debug DoD's innovation ecosystem;
  • how we've built more bridges and express lanes over the valleys of death;
  • our investments in data and AI; and,
  • how we've driven those investments forward with real-world operational applications like Combined Joint All-Domain Command and Control.

Another thing: four years ago, and even one year ago, none of you had heard of the Replicator initiative, which wouldn't be where it is today without all those other efforts.

Like so many game-changing innovations, Replicator was born because the right ingredients came together: An operational demand. Technology ripe enough to scale in time to matter for the warfighter. An atmosphere where you can take a chance on something big. And leaders at all levels relentlessly focused on results.

As I said here last year, if you only have some of those elements — if the need's not clear, if the tech is premature, if there's no risk-tolerance, if no one's willing to propel it forward — then things fizzle, aren't adopted, or never scale. But when all parts, all four of those parts combine, it's pure alchemy.

Replicator was hardly the first time this happened. Nor was it the first time we had to "recast [our] thinking about national protection."

That's how President Franklin Roosevelt described the urgency to innovate back in May of 1940.

The United States was not at war, yet, but other nations were. And he knew we had to be ready.

He'd just seen the Nazis use motorized armies and airborne paratroopers to sweep through the Low Countries and swiftly rout the French army.

But while FDR saw the character of warfare changing — hastened by accelerating technological and operational change — he also knew American industry wasn't changing, at least not enough. Despite how, as Roosevelt said, "one belligerent power…appears to have a weekly production capacity…far greater than that of all its opponents."

So, to help catalyze change, FDR set a big, bold, public goal. Addressing a joint session of Congress — over 18 months before Pearl Harbor — President Roosevelt called for America to produce 50,000 airplanes a year. Now, the year before, we'd barely built over 2,000.

The domestic response to FDR wasn't exactly warm. Critics complained that a public announcement came before they saw a clear plan. Others cited fiscal constraints, a lack of pilots, and industry shortages of skilled labor, factories, and machine tool plants.

Abroad, the head of the Nazi Luftwaffe reportedly "burst out laughing" when he heard about FDR's goal, calling it "pure propaganda." After all, that year Japan and Germany together would outpace U.S. military aircraft production by two-and-a-half times. Later, German press sources told reporters that "everyone" knew Roosevelt was "bluffing."

Skepticism like this is alive and well. Among our current strategic competitors, we've seen open-source reactions calling Replicator "wishful thinking," "impossible to achieve," and "a fantasy."

Of course, if that's what they want to think about Replicator, I can't stop them.

So instead, I'll simply tell you what we've been doing in the 11 months and 11 days since I announced the Replicator initiative at this conference:

We aligned leaders across DoD around a common vision.

We identified and validated key operational requirements from combatant commands.

We selected initial capabilities to meet those demands, from a field of nominees across multiple domains, harnessing the very latest in technology.

We developed acquisition strategies for each capability, to determine which systems to field.

We analyzed the resources it would take to deliver on those capabilities, and where the gaps were.

We submitted a spend plan and reprogramming requests to Congress to accelerate implementation.

We've conducted scores of briefings to Congressional committees, members, and staff.

With Congress's support, we secured needed funding for fiscal year 2024, about $500 million, and budgeted a similar amount for fiscal year 2025.

We also announced some scalable all-domain attritable autonomy capabilities selected for accelerated fielding in the first tranche of Replicator — including Switchblade 600, a loitering munition that can be launched not just from land, but also from ships and aircraft. And we continue to incorporate lessons learned from Ukraine and elsewhere.

We created a process to review and strengthen the cybersecurity of companies that support Replicator, before we publicize specific systems or vendor names. It's part of our commitment to ensuring private industry has access to the information, tools, and tradecraft needed to defend their networks — and the capabilities they build — from intrusion and attack.

We launched multiple Commercial Solutions Openings, CSOs, to diversify the vendor base for things like uncrewed surface vessels and other ADA2 capabilities. Over 550 hardware and software companies have sent submissions to Replicator-related CSOs. Some don't even know they're about Replicator.

We've also obligated both R&D and procurement dollars, totaling in the nine-figures already, to a range of traditional defense industry and non-traditional companies — including venture-backed start-ups, growth-stage companies, and larger DoD contractors.

We've used both new and preexisting contract award vehicles. In some cases, we made competitive awards just three-to-four months after funds were appropriated — that's about 66 percent shorter than the typical DoD contracting time.

We've also taken delivery of Replicator's first ADA2 systems, with more on the way. And now DIU and all three military departments are working together on a second tranche of ADA2 systems.

We've been experimenting and proving out concepts of operation and employment, as part of our end-to-end capability development process, which is ongoing.

That includes looking at how Replicator systems will collaborate not just with each other, but also with platforms we've had for a long time, to generate desired effects and accomplish the missions we assign them.

It also includes building interoperability with broader command-and-control architectures, like the ones we've iteratively been developing and using for CJADC2.

And it's one small piece of how DoD is developing operational design for employment of next-generation systems, including AI, uncrewed vehicles, and counter-uncrewed-vehicle systems. We're going beyond swapping out crewed systems with uncrewed systems — in fact, we're discovering new ways of warfare that extend America's edge as a result of these capabilities.

And even that's not all, because we've also had the first units complete new equipment training with Replicator systems.

And we've been operating Replicator's attritable autonomous systems in real time — in multiple regions around the world — and we're learning valuable lessons about ways to use ADA2 systems that we didn't even consider at first.

For instance, the Navy is experimenting with and demonstrating their uncrewed surface vessels for missions like persistent maritime domain awareness, environmental monitoring, logistics resupply, and humanitarian assistance and disaster relief — like rescuing people who fell overboard at sea, or delivering food and supplies to otherwise inaccessible island communities in the wake of a typhoon — so you don't have to use or divert a crewed vessel to do those things.

Although we have lots more work to do, we are on track to meet Replicator's original goal of "multiple thousands in multiple domains in 18-24 months" — that is, by the end of August 2025.

In so doing, Replicator is demonstrating from the top and across the enterprise how to deliver all kinds of capabilities at speed and scale.

And we're already looking beyond ADA2 systems to identify Replicator's second capability focus area.

A question I often get asked is: how long would this take with normal DoD processes?

While there's no perfect analogy for attritable autonomous systems, what we've done in under 12 months can take seven-to-ten years for similar-sized capabilities. And that should be truly mind-blowing.

So how did we do it? The most telling explanation is, we took processes that usually happen in serial, one-after-another, and we're running them in parallel as much as possible.

Now don't mistake this for concurrency — this isn't building fighter jets before the design is done. We know what acquisition malpractice looks like, and Replicator isn't it. Rather:

Instead of waiting weeks, for instance, for a combatant command then the Joint Staff then a military department to each verify that a capability meets a validated requirement — passing a coordination memo from one office to the next — you get on a secure call together and confirm it in real-time, at the highest level if needed.

Instead of starting from scratch, you leverage promising work already underway — from Army directed requirements to joint-concept-aligned capabilities going through our Rapid Defense Experimentation Reserve, or RDER initiative. And you scale what's most viable and impactful.

For so long, and from a position of dominance, the defense sector has been acculturated to not put serious money down unless and until we had first fully analyzed doctrine, organization, training, materiel, leadership and education, personnel, facilities, and policy — and only after we get all those DOTMLPF-P ducks in a row would we start budgeting and engaging Congress and industry significantly.

When all of that is done in serial — and then has to run the gauntlet of our multi-year program, budgeting, and appropriations processes — it can easily take five-to-ten years for most capabilities to field at scale.

To go from start-to-fielding inside our two-year budget cycle is not normal. It's disruptive. But by leveraging Replicator and our other key initiatives, we are making it more normal, because delivery at speed is essential.

In this generational struggle of strategic competition with the PRC, we cannot tolerate the same old mindsets. The Pentagon may be made of Indiana limestone, but our processes were not meant to be calcified for all eternity, nor stuck in concrete blocks.

I started working at DoD more than 30 years ago, and I've heard plenty of salty language, but to this day, the most profane and damaging seven words I hear in the Pentagon are, "this is how we've always done it." That is simply unacceptable today.

We are innovating at the speed of technology development by necessity. It's a pace that may make some uncomfortable, but it's required to keep up with technology, to deliver for the warfighter at scale, and to continue outpacing our competitors.

We are blessed with so much talent in this country. Leaders need to show their people that new ways of doing things are possible, and that's what we're doing.

While culture change takes more than a year to solidify and spread systematically, already we've seen Replicator change behavior throughout the defense community.

In the services: you will see ADA2 systems embedded in regular order in the next budget. The Army has accelerated its move toward a formal program of record. The Navy is developing a standardized CSO process for uncrewed systems that can do all sorts of missions. And the Air Force is building its own program of record out of a CSO collaboration it did with DIU.

In the private sector: we've seen manufacturing — manufacturers, excuse me — planning to double or triple production capacity. Some already have, recognizing our demand signals. They're making advance orders for long-lead items, even before contracts are finalized, to ensure they'll meet delivery timelines — because they know it's a leadership priority.

With allies and partners: we've seen democracies the world over independently buying ADA2 systems like Switchblade. Other like-minded allies and partners have separately inquired about co-producing systems being accelerated by Replicator.

And with private capital: we've seen venture-backed companies that build attritable autonomy tech raise early-stage funding rounds that look more like growth rounds. And increasing corporate venture efforts from traditional defense contractors reflect how they too see the imperative to innovate and collaborate with the new kids on the block.

When we launched Replicator, a common refrain I heard was, "Can it work?" These days I'm more likely to hear, "Will it stick?"

I'll just say this: when officials from both this administration and the prior administration are separately writing in Foreign Affairs about ideas to "complement" Replicator, as they did this spring — and when the bipartisan Commission on the National Defense Strategy "applauds" our work on Replicator, as they did last week — it's clear we've built something to last.

At the end of the day, all of our efforts are conditioning DoD — and Congress, and increasingly the private sector — for the battlespace of the future, and the pace of change necessary to succeed.

And it's all in support of joint force design, linked to joint concepts, optimized for agility in the changing character of warfare. And because DoD can innovate at this new speed and remain in the lead, it means we can continually set and shape the direction of future warfare, as we've done in past generations.

If we can move at this speed and scale now — do this much in under a year — imagine how much faster we could move next year, and the year after, let alone what our speed will be if we're ever called to fight.

Now, we couldn't do this without Congress. We're grateful for their bipartisan, bicameral support, across both authorizers and appropriators. That is no small feat. We do not take it for granted.

But if this country is going to transform its defense at the speed and scale we need, Congressional trust will need to substantially expand.

Take Replicator: we've done nearly 40 Hill briefings since last October, averaging about one a week. On an initiative that represents 0.059 percent of DoD's budget. That depth of engagement isn't scalable for Congress across the breadth of what we're trying to accomplish.

We need, for instance, just as much help from Congress in ensuring joint experimentation can enable delivery of effective capabilities to the warfighter. From Replicator's success to combatant command priorities like the Joint Fires Network, we need efforts like RDER that bring rigor to our discernment of what is and isn't ready to scale. For instance, because of RDER's successful transitions to programs of record, the Marine Corps' Family of Integrated Targeting Cells for joint fires was accelerated by five years.

So we will keep burning shoe leather to build trust with Congress, from Rayburn hallways to Dirksen elevators. We know oversight is critical to our democracy.

At the same time, trust is a two-way street. We know Congress shares our commitment to defense innovation — and yet major barriers to defense innovation remain. Notable among them is still the consistent lack of on-time, full-year appropriations.

Since 2010, we've lost nearly five years in total to stopgap funding measures, CRs, which are themselves half-measures. Their usual restrictions rob us of critical time to stay ahead in a rapidly-changing world.

This concern is shared by defense leaders and experts in both parties. More than four years ago, then-Deputy Secretary of Defense David Norquist called CRs "inefficient," "wasteful," and "good for the enemy, not the men and women of the United States military." I couldn't say it any better.

In Congress, the private sector, and even in the Pentagon, we need to come together and work together around our shared recognition that we are in a generational era of strategic competition with the PRC.

I know we have the capacity to keep increasing the speed and scale by which we deliver to the warfighter. That's what gives me optimism in our system, even as I know we're hardly perfect. And we'll keep getting better.

Because of the progress we've made — again, you can see more on the Innovation Fact Sheet that we've just posted — and because of how we've been structuring change to last, I have every confidence that what we've done will be propelled onward and upward.

And it's worth remembering how President Roosevelt's big bet turned out. While ramping up production to 50,000 airplanes took over two years, America still delivered beyond his wildest dreams: producing 300,000 airplanes before the end of World War II. 

Of course, FDR wasn't on the job when that last airplane came off the line. He never witnessed that fullest expression of what he'd envisioned over five years earlier.

It should remind us that no one does these jobs forever. Our task is to improve what we're given: to run as far and as fast as we can, until it's time to pass the baton to our successors, so they can keep propelling the work onward and upward to new heights.

For today we stand at the dawn of a new golden age of defense innovation and production, and we have only just begun.
