The purpose of a conference template is to provide a consistent format for papers appearing in the conference proceedings. IEEE strongly encourages use of the conference manuscript templates provided below. 

IEEE conference templates contain guidance text for composing and formatting conference papers. Please ensure that all guidance text is removed from your conference paper prior to submission to the conference. 

Failure to remove template text from your paper may result in your paper not being published.

IEEE provides guidelines for formatting your paper. These guidelines must be followed when you’re submitting a manuscript for publication in an IEEE journal. Some of the key guidelines are:

• Formatting the text as two columns, in Times New Roman, 10 pt.
• Including a byline, an abstract , and a set of keywords at the start of the research paper
• Placing any figures, tables, and equations at the top or bottom of a column, not in the middle
• Following the appropriate heading styles for any headings you use
• Including a full list of IEEE references at the end
• Not including page numbers

The template below can be used to make sure that your paper follows IEEE format. It’s set up with custom Word styles for all the different parts of the text, with the right fonts and formatting and with further explanation of key points.

Make sure to remove all the explanatory text in the template when you insert your own.

IEEE recommends specific heading styles to distinguish the title and different levels of heading in your paper from each other. Styles for each of these are built into the template.

The paper title is written in 24 pt. Times New Roman, centered at the top of the first page. Other headings are all written in 10 pt. Times New Roman:

• Level 1 text headings begin with a roman numeral followed by a period. They are written in small caps, in title case, and centered.
• Level 2 text headings begin with a capital letter followed by a period. They are italicized, left-aligned, and written in title case.
• Level 3 text headings begin with a number followed by a closing parenthesis . They are italicized, written in sentence case, and indented like a regular paragraph. The text of the section follows the heading immediately, after a colon .
• Level 4 text headings begin with a lowercase letter followed by a closing parenthesis. They are italicized, written in sentence case, and indented slightly further than a normal paragraph. The text of the section follows the heading immediately, after a colon.
• Component headings are used for the different components of your paper outside of the main text, such as the acknowledgments and references. They are written in small caps, in title case, centered, and without any numbering.

You should use 10 pt. Times New Roman font in your IEEE format paper .

For the paper title, 26 pt. Times New Roman is used. For some other paper elements like table footnotes, the font can be slightly smaller. All the correct stylings are available in our free IEEE format template .

No, page numbers are not included in an IEEE format paper . If you’re submitting to an IEEE publication, page numbers will be added in the final publication but aren’t needed in the manuscript.

IEEE paper format requires you to include an abstract summarizing the content of your paper. It appears at the start of the paper, right after you list your name and affiliation.

The abstract begins with the word “Abstract,” italicized and followed by an em dash. The abstract itself follows immediately on the same line. The entire section is written in bold font. For example: “ Abstract —This paper discusses … ”

Submission Guidelines

Submission checklist.

Carefully review each item listed below before submitting your article. Article submissions that do not follow the guidelines below will be returned to draft or immediately rejected.

• Manuscript should be prepared in a double column, single-spaced format using a required IEEE Access template. A Word or LaTex file and a PDF file are both required upon submission. Content on each file must match exactly. File sizes should not exceed 40MB.  Download IEEE Access Templates for Microsoft Word and LaTex.
• The use of artificial intelligence (AI)–generated text in an article shall be disclosed in the acknowledgements section of any paper submitted to an IEEE Conference or Periodical. The sections of the paper that use AI-generated text shall have a citation to the AI system used to generate the text.  For more information  please click here.
• Author lists should be carefully considered before submission. For more information on what constitutes an author, please click here. Contributors who do not meet IEEE’s definition of authorship should be included in the Acknowledgment section of the article. Omitting an author who contributed to your article or including a person who did not fulfill authorship requirements is considered a breach of publishing ethics.  Once the list and order of authors has been established, the list and order of authors should not be altered without permission of all living authors of that article, and the decision to allow such changes rests with the Editor.
• The submitting author is required to have an ORCID ID associated with their account. For more information on ORCID, click here .  The author designated as the corresponding author in the submission system will be the main point of contact for the article and will be responsible for approving the proof if the article is accepted for publication.
• Short biographies are required for ALL authors on an article submission. As indicated in the required IEEE Access templates, biographies of all authors should be included directly within the article below the references section.
• All authors should be listed on both the source file (Word of LaTex file) and the manuscript PDF file. When submitting your files ensure the submission system successfully extracts the full author list from your files.
• The article should be thoroughly reviewed for proper grammar before being submitted. Articles with poor grammar will be immediately rejected. If needed, IEEE Access offers Paperpal Preflight to assist authors in checking their manuscript for grammar issues prior to submission. Check your manuscript on Paperpal Preflight by clicking here .
• All research works should be carefully referenced. More information to avoid plagiarism is listed below. Do not include references that are not relevant to your work, and carefully check each reference for accuracy and ensure that they have not been retracted, as retracted references can undermine the validity of your work.
• The article should not be submitted elsewhere at the same time. More information about duplicate submission can be found here .
• Supplementary material for review (if any)
• Manuscript keywords (minimum of 3 and maximum of 10).  Please carefully select the keywords as this is how we select a relevant Associate Editor to manage the peer review of your article.
• You will be required to select a manuscript type upon submission. A list and description of manuscript types are listed below. If you are unsure, please leave it as “Research Article”. *Please note that should your article be accepted, the manuscript type will be published on the article.
• Opposed reviewers (if any)
• Video (if any, maximum file size is 100MB)
• If the article was previously rejected after peer review with encouragement to update and resubmit, then a complete “list of updates” must be included in a separate document. The list of updates should have the following regarding each comment: 1) reviewers’ concerns, 2) authors’ response to the concerns, 3) actual changes implemented.
• IEEE Access does not have a page limit; however, we strongly recommend keeping the page count under 50 pages for ease of readability. Longer articles may result in longer peer review times. Additional content can be added as supplementary material.
• In alignment with the IEEE Code of Ethics and with respect to the wishes of the subject of the image, IEEE will no longer accept submitted papers which include the ‘Lena image’. For more information  please click here .

These rules apply to the “2024 IEEE Access Best Video Award Part 2″ (the “Award”).

• Sponsor: The Sponsor of the Award is The Institute of Electrical and Electronics Engineers, Incorporated (“IEEE”) on behalf of IEEE Access , 445 Hoes Lane, Piscataway, NJ 08854-4141 USA (“Sponsor”).
• Eligibility: Award is open to residents of the United States of America and other countries, where permitted by local law, who are the age of eighteen (18) and older. Employees of Sponsor, its agents, affiliates and their immediate families are not eligible to enter Award. The Award is subject to all applicable state, local, federal and national laws and regulations. Entrants may be subject to rules imposed by their institution or employer relative to their participation in Awards and should check with their institution or employer for any relevant policies. Void in locations and countries where prohibited by law.
• Agreement to Official Rules : By participating in this Award, entrants agree to abide by the terms and conditions thereof as established by Sponsor. Sponsor reserves the right to alter any of these Official Rules at any time and for any reason.  All decisions made by Sponsor concerning the Award including, but not limited to the cancellation of the Award, shall be final and at its sole discretion. 
• How to Enter: This Award opens on July 1, 2024 at 12:00 AM ET and all entries must be received by 11:59 PM ET on December 31, 2024 (“Promotional Period”).

Entrant must submit a video with an article submission to IEEE Access . The video submission must clearly be relevant to the submitted manuscript.  Only videos that accompany an article that is accepted for publication in IEEE Access will qualify.  The video may be simulations, demonstrations, or interviews with other experts, for example.  Your video file should not exceed 100 MB.

Entrants can enter the Award during Promotional Period through the following method:

• The IEEE Author Portal : Entrants can upload their video entries while submitting their article through the IEEE Author Portal submission site .
• Review and Complete the Terms and Conditions: After submitting your manuscript and video through the IEEE Author Portal, entrants should then review and sign the Terms and Conditions .

Entrants who have already submitted a manuscript to IEEE Access without a video can still submit a video for inclusion in this Award so long as the video is submitted within 7 days of the article submission date.  The video can be submitted via email to the article administrator.  All videos must undergo peer review and be accepted along with the article submission.  Videos may not be submitted after an article has already been accepted for publication. 

The criteria for an article to be accepted for publication in IEEE Access are:

• The article must be original writing that enhances the existing body of knowledge in the given subject area. Original review articles and surveys are acceptable even if new data/concepts are not presented.
• Results reported must not have been submitted or published elsewhere (although expanded versions of conference publications are eligible for submission).
• Experiments, statistics, and other analyses must be performed to a high technical standard and are described in sufficient detail.
• Conclusions must be presented in an appropriate fashion and are supported by the data.
• The article must be written in standard English with correct grammar.
• Appropriate references to related prior published works must be included.
• The article must fall within the scope of IEEE Access
• Must be in compliance with the IEEE PSPB Operations Manual.
• Completion of the required IEEE intellectual property documents for publication.
• At the discretion of the IEEE Access Editor-in-Chief.
• Disqualification: The following items will disqualify a video from being considered a valid submission:
• The video is not original work.
• A video that is not accompanied with an article submission.
• The article and/or video is rejected during the peer review process.
• The article and/or video topic does not fit into the scope of IEEE Access .
• The article and/or do not follow the criteria for publication in IEEE Access .
• Videos posted in a comment on IEEE Xplore .
• Content ​is off-topic, offensive, obscene, indecent, abusive or threatening to others.
• Infringes the copyright, trademark or other right of any third party.
• Uploads viruses or other contaminating or destructive features.
• Is in violation of any applicable laws or regulations.
• Is not in English​.
• Is not provided within the designated submission time.
• Entrant does not agree and sign the Terms and Conditions document.

Entries must be original. Entries that copy other entries, or the intellectual property of anyone other than the Entrant, may be removed by Sponsor and the Entrant may be disqualified. Sponsor reserves the right to remove any entry and disqualify any Entrant if the entry is deemed, in Sponsor’s sole discretion, to be inappropriate.

• Entrant’s Warranty and Authorization to Sponsor: By entering the Award, entrants warrant and represent that the Award Entry has been created and submitted by the Entrant. Entrant certifies that they have the ability to use any image, text, video, or other intellectual property they may upload and that Entrant has obtained all necessary permissions. IEEE shall not indemnify Entrant for any infringement, violation of publicity rights, or other civil or criminal violations. Entrant agrees to hold IEEE harmless for all actions related to the submission of an Entry. Entrants further represent and warrant, if they reside outside of the United States of America, that their participation in this Award and acceptance of a prize will not violate their local laws.
• Intellectual Property Rights: Entrant grants Sponsor an irrevocable, worldwide, royalty free license to use, reproduce, distribute, and display the Entry for any lawful purpose in all media whether now known or hereinafter created. This may include, but is not limited to, the IEEE A ccess website, the IEEE Access YouTube channel, the IEEE Access IEEE TV channel, IEEE Access social media sites (LinkedIn, Facebook, Twitter, IEEE Access Collabratec Community), and the IEEE Access Xplore page. Facebook/Twitter/Microsite usernames will not be used in any promotional and advertising materials without the Entrants’ expressed approval.
• Number of Prizes Available, Prizes, Approximate Retail Value and Odds of winning Prizes: Two (2) promotional prizes of $350 USD Amazon gift cards. One (1) grand prize of a $500 USD Amazon gift card. Prizes will be distributed to the winners after the selection of winners is announced. Odds of winning a prize depend on the number of eligible entries received during the Promotional Period. Only the corresponding author of the submitted manuscript will receive the prize.

The grand prize winner may, at Sponsor’ discretion, have his/her article and video highlighted in media such as the IEEE Access Xplore page and the IEEE Access social media sites.

The prize(s) for the Award are being sponsored by IEEE.  No cash in lieu of prize or substitution of prize permitted, except that Sponsor reserves the right to substitute a prize or prize component of equal or greater value in its sole discretion for any reason at time of award.  Sponsor shall not be responsible for service obligations or warranty (if any) in relation to the prize(s). Prize may not be transferred prior to award. All other expenses associated with use of the prize, including, but not limited to local, state, or federal taxes on the Prize, are the sole responsibility of the winner.  Winner(s) understand that delivery of a prize may be void where prohibited by law and agrees that Sponsor shall have no obligation to substitute an alternate prize when so prohibited. Amazon is not a sponsor or affiliated with this Award.

• Selection of Winners: Promotional prize winners will be selected based on entries received during the Promotional Period. The sponsor will utilize an Editorial Panel to vote on the best video submissions. Editorial Panel members are not eligible to participate in the Award.  Entries will be ranked based on three (3) criteria:
• Presentation of Technical Content
• Quality of Video

Upon selecting a winner, the Sponsor will notify the winner via email. All potential winners will be notified via their email provided to the sponsor. Potential winners will have five (5) business days to respond after receiving initial prize notification or the prize may be forfeited and awarded to an alternate winner. Potential winners may be required to sign an affidavit of eligibility, a liability release, and a publicity release.  If requested, these documents must be completed, signed, and returned within ten (10) business days from the date of issuance or the prize will be forfeited and may be awarded to an alternate winner. If prize or prize notification is returned as undeliverable or in the event of noncompliance with these Official Rules, prize will be forfeited and may be awarded to an alternate winner.

• General Prize Restrictions:  No prize substitutions or transfer of prize permitted, except by the Sponsor. Import/Export taxes, VAT and country taxes on prizes are the sole responsibility of winners. Acceptance of a prize constitutes permission for the Sponsor and its designees to use winner’s name and likeness for advertising, promotional and other purposes in any and all media now and hereafter known without additional compensation unless prohibited by law. Winner acknowledges that neither Sponsor, Award Entities nor their directors, employees, or agents, have made nor are in any manner responsible or liable for any warranty, representation, or guarantee, express or implied, in fact or in law, relative to any prize, including but not limited to its quality, mechanical condition or fitness for a particular purpose. Any and all warranties and/or guarantees on a prize (if any) are subject to the respective manufacturers’ terms therefor, and winners agree to look solely to such manufacturers for any such warranty and/or guarantee.

11.Release, Publicity, and Privacy : By receipt of the Prize and/or, if requested, by signing an affidavit of eligibility and liability/publicity release, the Prize Winner consents to the use of his or her name, likeness, business name and address by Sponsor for advertising and promotional purposes, including but not limited to on Sponsor’s social media pages, without any additional compensation, except where prohibited.  No entries will be returned.  All entries become the property of Sponsor.  The Prize Winner agrees to release and hold harmless Sponsor and its officers, directors, employees, affiliated companies, agents, successors and assigns from and against any claim or cause of action arising out of participation in the Award. 

Sponsor assumes no responsibility for computer system, hardware, software or program malfunctions or other errors, failures, delayed computer transactions or network connections that are human or technical in nature, or for damaged, lost, late, illegible or misdirected entries; technical, hardware, software, electronic or telephone failures of any kind; lost or unavailable network connections; fraudulent, incomplete, garbled or delayed computer transmissions whether caused by Sponsor, the users, or by any of the equipment or programming associated with or utilized in this Award; or by any technical or human error that may occur in the processing of submissions or downloading, that may limit, delay or prevent an entrant’s ability to participate in the Award.

Preparation of Papers for IEEE Sponsored Conferences & Symposia*

This electronic document is a ÒliveÓ template. The various components of your paper [title, text, heads, etc.] are already defined on the style sheet, as illustrated by the portions given in this document.

I INTRODUCTION

This template provides authors with most of the formatting specifications needed for preparing electronic versions of their papers. All standard paper components have been specified for three reasons: (1) ease of use when formatting individual papers, (2) automatic compliance to electronic requirements that facilitate the concurrent or later production of electronic products, and (3) conformity of style throughout a conference proceedings. Margins, column widths, line spacing, and type styles are built-in; examples of the type styles are provided throughout this document and are identified in italic type, within parentheses, following the example. Some components, such as multi-leveled equations, graphics, and tables are not prescribed, although the various table text styles are provided. The formatter will need to create these components, incorporating the applicable criteria that follow.

II PROCEDURE FOR PAPER SUBMISSION

Ii-a selecting a template (heading 2).

First, confirm that you have the correct template for your paper size. This template has been tailored for output on the US-letter paper size. It may be used for A4 paper size if the paper size setting is suitably modified.

II-B Maintaining the Integrity of the Specifications

The template is used to format your paper and style the text. All margins, column widths, line spaces, and text fonts are prescribed; please do not alter them. You may note peculiarities. For example, the head margin in this template measures proportionately more than is customary. This measurement and others are deliberate, using specifications that anticipate your paper as one part of the entire proceedings, and not as an independent document. Please do not revise any of the current designations

Before you begin to format your paper, first write and save the content as a separate text file. Keep your text and graphic files separate until after the text has been formatted and styled. Do not use hard tabs, and limit use of hard returns to only one return at the end of a paragraph. Do not add any kind of pagination anywhere in the paper. Do not number text heads-the template will do that for you.

Finally, complete content and organizational editing before formatting. Please take note of the following items when proofreading spelling and grammar:

III-A Abbreviations and Acronyms

Define abbreviations and acronyms the first time they are used in the text, even after they have been defined in the abstract. Abbreviations such as IEEE, SI, MKS, CGS, sc, dc, and rms do not have to be defined. Do not use abbreviations in the title or heads unless they are unavoidable.

III-B Units

Use either SI (MKS) or CGS as primary units. (SI units are encouraged.) English units may be used as secondary units (in parentheses). An exception would be the use of English units as identifiers in trade, such as Ò3.5-inch disk driveÓ.

Avoid combining SI and CGS units, such as current in amperes and magnetic field in oersteds. This often leads to confusion because equations do not balance dimensionally. If you must use mixed units, clearly state the units for each quantity that you use in an equation.

Do not mix complete spellings and abbreviations of units: ÒWb/m2Ó or Òwebers per square meterÓ, not Òwebers/m2Ó. Spell out units when they appear in text: Ò. . . a few henriesÓ, not Ò. . . a few HÓ.

Use a zero before decimal points: Ò0.25Ó, not Ò.25Ó. Use Òcm3Ó, not ÒccÓ. (bullet list)

III-C Equations

The equations are an exception to the prescribed specifications of this template. You will need to determine whether or not your equation should be typed using either the Times New Roman or the Symbol font (please no other font). To create multileveled equations, it may be necessary to treat the equation as a graphic and insert it into the text after your paper is styled. Number equations consecutively. Equation numbers, within parentheses, are to position flush right, as in (1), using a right tab stop. To make your equations more compact, you may use the solidus ( / ), the exp function, or appropriate exponents. Italicize Roman symbols for quantities and variables, but not Greek symbols. Use a long dash rather than a hyphen for a minus sign. Punctuate equations with commas or periods when they are part of a sentence, as in

Note that the equation is centered using a center tab stop. Be sure that the symbols in your equation have been defined before or immediately following the equation. Use Ò(1)Ó, not ÒEq. (1)Ó or Òequation (1)Ó, except at the beginning of a sentence: ÒEquation (1) is . . .Ó

III-D Some Common Mistakes

The word ÒdataÓ is plural, not singular.

The subscript for the permeability of vacuum ?0, and other common scientific constants, is zero with subscript formatting, not a lowercase letter ÒoÓ.

In American English, commas, semi-/colons, periods, question and exclamation marks are located within quotation marks only when a complete thought or name is cited, such as a title or full quotation. When quotation marks are used, instead of a bold or italic typeface, to highlight a word or phrase, punctuation should appear outside of the quotation marks. A parenthetical phrase or statement at the end of a sentence is punctuated outside of the closing parenthesis (like this). (A parenthetical sentence is punctuated within the parentheses.)

A graph within a graph is an ÒinsetÓ, not an ÒinsertÓ. The word alternatively is preferred to the word ÒalternatelyÓ (unless you really mean something that alternates).

Do not use the word ÒessentiallyÓ to mean ÒapproximatelyÓ or ÒeffectivelyÓ.

In your paper title, if the words Òthat usesÓ can accurately replace the word ÒusingÓ, capitalize the ÒuÓ; if not, keep using lower-cased.

Be aware of the different meanings of the homophones ÒaffectÓ and ÒeffectÓ, ÒcomplementÓ and ÒcomplimentÓ, ÒdiscreetÓ and ÒdiscreteÓ, ÒprincipalÓ and ÒprincipleÓ.

Do not confuse ÒimplyÓ and ÒinferÓ.

The prefix ÒnonÓ is not a word; it should be joined to the word it modifies, usually without a hyphen.

There is no period after the ÒetÓ in the Latin abbreviation Òet al.Ó.

The abbreviation Òi.e.Ó means Òthat isÓ, and the abbreviation Òe.g.Ó means Òfor exampleÓ.

IV USING THE TEMPLATE

Use this sample document as your LaTeX source file to create your document. Save this file as root.tex . You have to make sure to use the cls file that came with this distribution. If you use a different style file, you cannot expect to get required margins. Note also that when you are creating your out PDF file, the source file is only part of the equation. Your T e X   → → \rightarrow → PDF filter determines the output file size. Even if you make all the specifications to output a letter file in the source - if your filter is set to produce A4, you will only get A4 output.

It is impossible to account for all possible situation, one would encounter using T e X . If you are using multiple T e X  files you must make sure that the “MAIN“ source file is called root.tex - this is particularly important if your conference is using PaperPlaza’s built in T e X  to PDF conversion tool.

IV-A Headings, etc

Text heads organize the topics on a relational, hierarchical basis. For example, the paper title is the primary text head because all subsequent material relates and elaborates on this one topic. If there are two or more sub-topics, the next level head (uppercase Roman numerals) should be used and, conversely, if there are not at least two sub-topics, then no subheads should be introduced. Styles named ÒHeading 1Ó, ÒHeading 2Ó, ÒHeading 3Ó, and ÒHeading 4Ó are prescribed.

IV-B Figures and Tables

Positioning Figures and Tables: Place figures and tables at the top and bottom of columns. Avoid placing them in the middle of columns. Large figures and tables may span across both columns. Figure captions should be below the figures; table heads should appear above the tables. Insert figures and tables after they are cited in the text. Use the abbreviation ÒFig. 1Ó, even at the beginning of a sentence.

We suggest that you use a text box to insert a graphic (which is ideally a 300 dpi TIFF or EPS file, with all fonts embedded) because, in an document, this method is somewhat more stable than directly inserting a picture.

Figure Labels: Use 8 point Times New Roman for Figure labels. Use words rather than symbols or abbreviations when writing Figure axis labels to avoid confusing the reader. As an example, write the quantity ÒMagnetizationÓ, or ÒMagnetization, MÓ, not just ÒMÓ. If including units in the label, present them within parentheses. Do not label axes only with units. In the example, write ÒMagnetization (A/m)Ó or ÒMagnetization A[m(1)]Ó, not just ÒA/mÓ. Do not label axes with a ratio of quantities and units. For example, write ÒTemperature (K)Ó, not ÒTemperature/K.Ó

V CONCLUSIONS

A conclusion section is not required. Although a conclusion may review the main points of the paper, do not replicate the abstract as the conclusion. A conclusion might elaborate on the importance of the work or suggest applications and extensions.

Appendixes should appear before the acknowledgment.

ACKNOWLEDGMENT

The preferred spelling of the word ÒacknowledgmentÓ in America is without an ÒeÓ after the ÒgÓ. Avoid the stilted expression, ÒOne of us (R. B. G.) thanks . . .Ó Instead, try ÒR. B. G. thanksÓ. Put sponsor acknowledgments in the unnumbered footnote on the first page.

References are important to the reader; therefore, each citation must be complete and correct. If at all possible, references should be commonly available publications.

IEEE provides guidelines for formatting your paper. These guidelines must be followed when you’re submitting a manuscript for publication in an IEEE journal. Some of the key guidelines are:

IEEE recommends specific heading styles to distinguish the title and different levels of heading in your paper from each other. Styles for each of these are built into the template.

The paper title is written in 24 pt Times New Roman, centred at the top of the first page. Other headings are all written in 10 pt Times New Roman:

• Level 1 text headings begin with a roman numeral followed by a full stop. They are written in small caps, in title case, and centred.
• Level 2 text headings begin with a capital letter followed by a full stop. They are italicised, left-aligned, and written in title case.
• Level 3 text headings begin with a number followed by a closing parenthesis . They are italicised, written in sentence case, and indented like a regular paragraph. The text of the section follows the heading immediately, after a colon .
• Level 4 text headings begin with a lowercase letter followed by a closing parenthesis. They are italicised, written in sentence case, and indented slightly further than a normal paragraph. The text of the section follows the heading immediately, after a colon.
• Component headings are used for the different components of your paper outside of the main text, such as the acknowledgments and references. They are written in small caps, in title case, centred, and without any numbering.

You should use 10 pt. Times New Roman font in your IEEE format paper .

For the paper title, 26 pt. Times New Roman is used. For some other paper elements like table footnotes, the font can be slightly smaller. All the correct stylings are available in our free IEEE format template .

No, page numbers are not included in an  IEEE format paper . If you’re submitting to an IEEE publication, page numbers will be added in the final publication but aren’t needed in the manuscript.

IEEE paper format requires you to include an abstract summarising the content of your paper. It appears at the start of the paper, right after you list your name and affiliation.

The abstract begins with the word ‘Abstract,’ italicised and followed by an em dash. The abstract itself follows immediately on the same line. The entire section is written in bold font. For example: ‘ Abstract —This paper discusses …’

Preparing and Submitting Your Regular Paper

Important criteria for proceedings regular papers.

Proceedings of the IEEE publishes survey, review, tutorial-type papers that are of broad and long-range interest to the electronics, electrical engineering, and computer science communities.

• Tutorial papers that explain a technology and may give practical information for implementing it. These papers are written for the purpose of informing non-specialist engineers about a particular technology.
• Review or Survey papers that have a common goal to critically examine a technology, highlighting its pros and cons, issues, ramifications, applications, and potential as well as describing its future technological prospects. Surveys should provide a comprehensive coverage of the entire technology from its inception, while reviews should cover in depth one or more of its most important aspects.
• All papers must provide novel insights and new perspectives.
• Prospective authors should be renowned experts in the subject of the submitted paper and have a distinguished publication record in the field. They must have the ability to effectively communicate the technical concepts to a broad audience which includes specialists in related fields.
• Papers that primarily report new results (transactions-type papers);
• Papers that provide a review, survey, tutorial treatment of a niche topic (primarily of interest to a specialized research community); systematic literature reviews that do not provide a critical evaluation of the technology or provide insight into future directions;
• Papers that provide a superficial treatment of the technology.

Preparing Your Regular Paper

Cover Letter : Each regular paper submission must be accompanied by a cover letter outlining the details below. Submissions that do not include a detailed cover letter may be returned without review.

• Description of topic and its importance to a broad audience
• Type of coverage (survey, review, tutorial)
• Explanation on how the paper differs from existing surveys, reviews, tutorials on the topic
• Brief biography of authors highlighting their qualifications for writing the paper, including references to previously published material
• Background citations that extend beyond author’s own work to demonstrate the appeal of the topic to a broad audience

Length of Paper : Proceedings papers tend to be longer than typical transactions-type papers. The typical regular paper is between 20-25 pages long, when formatted using the standard IEEE transactions template. Although there is no page limit, we strongly recommend that papers be no more than 35 pages long, for ease of readability. Additional content may be added as supplementary material, if appropriate.

Grammar : Proper grammar is a requirement for publication in Proceedings of the IEEE . Any articles submitted with poor grammar will be rejected. If needed, IEEE offers a 3rd-party service for language polishing, for a fee: https://www.aje.com/c/ieee (use the URL to claim a 10% discount). Authors may also be interested in using Grammarly, which is a free writing application that can provide feedback on grammar.

Formatting and Style : For detailed instructions on how to prepare your paper, such as IEEE style manual, article templates, frequently asked questions, multimedia, and graphics, visit the IEEE Author Center . Authors can use the standard transactions template for Proceedings of the IEEE . Authors’ photographs and biographies should be included along with the paper. Biographies should not exceed 200 words.

Supplementary Materials : Authors are encouraged to submit supplementary materials (code, data, video, etc.) along with their papers to enhance the information contained in the papers, leading to richer content for readers. Supplementary materials can be submitted in any of the following formats:

• A 2-3 minute abstract video introducing the paper
• A 45 minute to 1 hour video giving in-depth tutorial coverage of the paper
• A code demo or a lab demo involving hardware

Each article submitted to Proceedings of the IEEE is scanned for plagiarism, including similarity to an author’s own work.

• Article submissions that plagiarize another author’s work will be rejected from Proceedings of the IEEE , and cases may be reported to the IEEE Intellectual Property Rights (IPR) department. • Reuse of an author’s own thesis or dissertation is allowed, as long as it is cited and has not been published elsewhere.

Peer Review

Proceedings of the IEEE has implemented a peer review procedure designed to ensure high quality and make the best use of reviewer resources. All submitted papers will be prescreened according to IEEE publication guidelines to determine whether they are comprehensible, fall within the scope of the journal, and meet the minimum criteria for technical substance that is established for this journal. The submissions will also be checked for completeness (e.g., details provided in the cover letter, which are evaluated as part of the prescreening process). Only manuscripts that meet the above criteria will be peer reviewed. The prescreening process is coordinated with the assistance of our Senior Editors and is conducted by the editorial board.

The journal uses a single-anonymous review process, meaning that and reviewers’ identities will be kept from authors. If you are contacted by a reviewer during the review process, please contact the Editor-in-Chief .

The review process for the journal is longer than a typical IEEE journal because of the nature of the papers and the requirement to engage senior reviewers who have broad experience in the covered field. Owing to the highly selective nature of the publication, the journal also has a low acceptance rate for regular papers.

The Editor-in-Chief maintains the highest authority of the publication on all editorial matters.

Guidelines for Artificial Intelligence (AI)-Generated Text

The use of artificial intelligence (AI)–generated text in an article shall be disclosed in the acknowledgements section of any paper submitted to an IEEE Conference or Periodical. Though the OWL’s section on IEEE is sufficient for quick reference, if you are writing a lengthy manuscript or dissertation, or if you have detailed questions, you should consult the IEEE Editorial Style Manual, available as a PDF through the organization’s website . About Research Reports  

The most commonly published format in the IEEE Transactions on Professional Communication, these articles report quantitative, qualitative, critical, and mixed methods studies  and their results. Examples include experiments, textual analyses, content analyses, surveys, design research, interview-based studies, usability tests, and ethnographies.

About Integrative Literature Reviews 

A new type of research report actively sought for the IEEE Transactions on Professional Communication, integrative literature reviews are  an empirical research report that systematically collects, classifies, and analyzes a body of literature on a topic.  As part of the research report, authors of integrative literature reviews describe the methodology used to search, choose and code studies, and focus on providing a critique or interpretation rather than just reporting data.  Popular in other disciplines because they succinctly summarize and empirically assess all of the literature on a particular topic, these types of articles are actively recruited by the Transactions .

Note : We recognize that, in our effort to focus on readers and be clear with authors, our guidelines are extensive and directive. We hope, however, this detailed guidance provides authors with the strongest possible guidance and ensures the most positive outcome possible from the peer-review process.

	This section is intended to situate the study and explain its significance.

	This section situates this study within the larger body of literature. Although professional communication is an interdisciplinary field and readers have eclectic interests, the one thing that connects readers of this journal is their interest in professional communication. Therefore, make sure that the literature review situates the study within the larger conversation on professional communication.
	Immediately following the Literature Review heading,  add a short paragraph that provides a preview of the Literature Review section.  The paragraph should follow this format: SENTENCE 1: In 30 to 40 words, state the overall purpose of the section. SENTENCE 2: This section starts with
	Start the Literature Review with a sub-section that has the title:Theoretical Orientation
	In the Theoretical Orientation section, describe the theoretical orientation underlying the study.Some of the theory presented later should be moved to this section.
	Next, explain how you selected literature to include in the review.Explicitly state which topics were chosen (and, if they were not mentioned in the discussion of the theoretical framework, explain why you chose them):
	Then, theme by theme, present the relevant literature as it relates to this study.
	If you are presenting a qualitative study, end the discussions of each topic with the suggestion of a relationship that will be explored in the study. Do yet present the research questions.
	If you are reporting a quantitative, hypothesis testing study: For each hypothesis tested, you might state something like, “Based on the relationship between A and B suggested in the literature, we propose this hypothesis: STATE THE HYPOTHESIS.”
	Note that readers of the come from a wide variety of research traditions. So regardless of the methods employed in your study, a large group of readers will have limited experience with them. To help them follow the study—and to provide other researchers with as much information as possible so that they could replicate the study (a purpose of all research reporting)—the Methodology reporting is expanded.  Some of it is to bring about transparency, some of it is to bring about greater clarity to all of the readers.
	Immediately following the Methodology heading, add a short paragraph that provides a preview of the Methodology section.  The paragraph should follow this format: SENTENCE 1: In 30 to 40 words, state the overall purpose of the section. SENTENCE 2: This section starts with
	If you are not conducting a study in which hypotheses are being tested (which are presented at the end of the Literature Review section), repeat the research questions.
	Next add a section, Choice of Research Methodology.In it, explain the choice of the research method chosen and why you chose it over other quantitative, qualitative or critical methodologies.
	Next explain how the study was conducted.Note that many authors often mix methods and results in this section.  Please only explain the data was collected, do not report data was collected.  That will be reported in the Results section.
	When describing how the data was collected, include information about each of the following though the order will vary depending on the nature of the study: provide detailed, descriptive information about the actual participants.  Save that information for the Results section. : Only explain how the data was collected—do not report any of the data that was collected.  Hold that for the results section. : The use of software is not a data analysis procedure.  It is merely a tool to assist with the process.  However, the tool should be named in the data analysis section as the tool used.
	Present the data collected and its analysis in this section.

	The nature of the reporting varies, depending on the nature of the study.  Here are some suggestions that cover the types of research most commonly presented in the
	Hypothesis testing: Avoid providing readers with “statistics before [readers] get any narrative sense of outcomes or significance. Frontload narrative, background and support with the math. The ‘story’ of this study needs to be told in a way that makes the reading” easy.
	Qualitative study:
	This section closes the article by describing the broader implications of the study.This section has 3 separate sub-sections: The sub-sections should be presented in this order.
	Conclusions.  Present the implications of the findings within the larger context of professional communication.Link the conclusions back to the literature cited earlier.  In some research traditions, this is called the Discussion.
	Limitations should openly acknowledge all of the limitations of the article.Some typical issues that need to be addressed:
	Close the article with suggestions for future research that would build on this one.
	Do not place an additional set of Conclusions at the end of the article.

This quick guide presents some general citation guidelines and examples based on the IEEE Reference Guide . [This page has detailed examples for IEEE citation style. The in-text citation numbers must correspond to the citations in the reference list at the end of your paper.  In-Text Citing Format: Put reference (citation) number in square brackets (e.g., [1]), before any punctuation.  When a source has been cited, the same number should be used in all subsequent references (citations) throughout your paper. When citing more than one reference, list each reference in brackets and separate the citations with commas, e.g., [1], [6], [10]. If a reference refers to three or more consecutively-numbered sources, include the first and last sources, separated by an en-dash, e.g., [6] – [8]. If there are three or more authors, cite using the first author's name plus et al. (italicised) in the text, e.g., "...as shown by Johnson et al. [15] Various Examples: "...end of the line for my research [13]." "This theory was first put forward in 1987 [1]." "Scholtz [2] has argued that..." "For example, see [7]." "Several recent studies [3], [4], [22] have suggested that..." [The above examples are adopted from IEEE Documentation Style .] The references should be arranged in the order of the in-text citations (not by alphabetical order), beginning with the number [1] and continuing in ascending order. Reference numbers aligned flush left form a column of their own. Single-space each reference, double-space between references. Reference Format: An author name should be provided using Initials + Family Name, e.g., "E. M. Armstrong". Suffixes such as Jr. or Sr. should also be included but separated by a comma, e.g., "R. D. Smith, Jr.". All author names should be listed in the reference, but if there are more than six authors, use “et al” after the first author. (note: there is no comma before et al., e.g., "E. P. Wigner et al"). Books and journal titles should be capitalized and italicized. Title of journal articles, conference papers, and technical reports should be put in double quotation marks and in lower case. When citing IEEE journals, reference them by journal abbreviation.
