Sending a file as an email attachment is perhaps the first thing that comes to mind when there’s a need to email a PowerPoint presentation.

To do this:

  • Save your completed PowerPoint presentation on your hard drive.
  • Open your email program.
  • Add recipients’ email addresses.
  • Click on the attach button (usually represented by a paperclip icon), and navigate to the file on your hard drive.
  • Once you’ve found the file on your computer, double-click on the file name or icon and it will upload to your email server.
  • All that’s left to do is write the subject and body of your email and click Send .

Shortcut to send a couple of slides from a presentation

Many a times I have to send specific slides out of a powerpoint presentation, via email.

I follow a manual process of selecting the slides, copying them, opening a new presentation and finally pasting the slides in the new presentation and save it. Then I attach the new presentation to an email.

I was wondering if there was a easier way to do this, especially for instances where a single slide is to be sent.

Here are two ways you can do this: A) Save-As (rename file to be sent). Delete unwanted slides. File->Send to recipeient as (attachment, pdf, etc). No copy and paste needed. or B) Directly from your working PPT, select the slides you want to send by pressing Ctrl+"each slide"; by doing this you can select slides 1 and 3 say. Then select File->Send To->Mail Recipient as Adobe PDF . You will then be prompted to save a PDF file, but first open "Options" -> Slide Range -> radio button 'selected slides' . Save the file. Then PPT will create an adobe attachment and attach it to your PC's mail automatically. All you have to do then is to send the mail with recipient.

In the corporate world, the PowerPoint, or pitch deck, is still a relevant communications tool. CEOs, COOs and CFOs, as well as their teams, use these decks to communicate to investors, analysts, shareholders, the media and others.

There are articles that state the “slide deck is dead,” but people still use it effectively in daily practice. The slide deck is not dead if you create a great storytelling deck with visual impact—and rehearse and present it with authority.

The core of the pitch deck is the combination of the oral presentation with a visual one. However, a failure to excel in either domain can create a situation where the merged program is less effective than the combination of the two.

The following are eight critical points that can help you ensure that your presentations are as effective as possible and deliver on your presentation goals.

1. Control Your Modulation

Your voice leads your presentation and is one of the most overlooked aspects of the presentation world. If your goal is to present at a level (loudness, excitement and authority) of an eight, you should actually project your voice at a nine or 10. Many times people fail to rehearse and come across as flat, lifeless or not committed to the story.

2. Practice, Rehearse And Practice Again

Many CEOs hate to practice or rehearse, but I believe it’s imperative. No matter how many talks they have given, put them in a staged room, videotape it and make them go through the presentation. Look for traps in the slide deck or areas where they might stumble. Count the “ums” and “ahs” they use to help eliminate these unnecessary fillers.

3. Work On Your Posture

Stand with authority. Rehearsing and videotaping will help with this, but a good speaker will stand up straight, have their microphone pre-positioned and make sure they’re not swaying back and forth or hanging onto the podium. I saw one CEO at an event who was draped over the podium and mumbled through his entire presentation. That’s not a company I want to invest in.

4. Make Sure Your Slides Visually Represent Your Company

Your brand should be prominent. Use colors purposefully. Graphics should be clean and vibrant and not pixelated and hard to read. Buy stock photos; don’t clip other people’s photos from the internet.

5. Don’t Overuse Bullets

Slide after slide of numerous bullets will put your audience in a trance. To create a dynamic visual storytelling deck, you can insert a slide or two with bullets, but keep them simple. I recommend using odd numbers of bullets and using no more than five per slide. Three is better if you insist on using bullets.

6. Don’t Read The Slides

Your script should augment the slides. If you have bullets, pick one bulleted item to expand on, but never read the slides. Give additional information that supports the information on the slide.

7. Find Your Cadence

When you rehearse a program, you build a sort of muscle memory. Your cadence keeps people engaged in the audio part of the story. A weak cadence and soft voice can lead to “drone on” symptoms, something you never want to be associated with.

8. Tell A Story

The most important part of any presentation is telling a story. It should always have a beginning, middle and end, and the end should wrap up your entire presentation.

The brain captures information in a variety of ways, and in many cases, it does so in different ways at the same time. Your visuals, tone, emphasis, authority, expertise and passion for the subject should all come across when you’re presenting your subject.

If you decide to choose another file or want to remove an audio clip from a slide, you can detach it by clicking on the gear again and selecting "Detach."

6 Record Your Voice Over

Here’s how to do a presentation with voice over using Visme.

Record your own audio by clicking on the "Record" option to the top right of the "Add Audio" tab. Once chosen, you will see a red record button appear below your slide.

To start recording your own narration within Visme, simply click on the red button and speak into your microphone. Make sure your microphone is working properly before recording.

You can preview your recording before saving it to the library by clicking on the Play button. Once you're satisfied with your recording, click on "Save to Library."

Your audio will automatically be converted to MP3 format, added to your Audio Library and attached to your current slide. You can then rename it by double clicking on the file name or detach it from the slide by clicking on the gear and selecting "Detach."

7 Customize Audio Settings

If you’re looking to make an audio presentation, the process is super easy. After adding your video to the library, you can customize how it is played.

To customize the way your audio presentation is played, simply click on "Audio Settings" at the top. You'll see options at the bottom to trim your clip or adjust more settings by clicking on the gear icon.

In Visme, you can also customize the time your audio takes to fade in and out. For example, if you want your audio to quickly fade in at the beginning, you can set it for 1 second. Or, if you want your audio to slowly fade out, you can set it for 3 or 4 seconds.

Also, you can set the time at which your audio will begin. If you want your narration to start 5 seconds into your presentation, you type in a value of 5 in the "Start Playing After" setting.

You can also reduce or increase the volume of your audio by inputting any value up to 100%. Finally, you can have the audio loop automatically by enabling the "Loop Audio" setting.

The advantage of having the option to tweak the settings for each individual audio track is that it allows you to customize it according to the content presented on each slide. For example, for slides with long animations, you might want to enable the "Loop Audio" setting.

8 Preview Your Audio

To see if your audio narration or voice over is effectively complementing your visuals, select the "Present" option at the top-right corner of the screen to preview your slides.

9 Add Background Music

Along with your audio narration, you can add background music to your presentation.

Click on "Share" at the top of your screen and select "Advanced Settings" at the bottom-right of the window. Click on the "Sound" tab and then enable the "Background Music" setting.

Here, you'll be able to select your uploaded or recorded audio file from the drop-down menu or choose one of the free audio clips from the library.

10 Publish Your Project

Once you're satisfied with your voice over, you can share your presentation with the world by clicking on the "Share" button at the top and then choosing one of the three options below:

  • Publish for Web:  This will publish your Visme project on the web and generate a shareable link, which will enable anyone on the internet to find and access your presentation.
  • Share Privately:  This will generate a private link to your Visme project that you can share with specific people.

Share your PowerPoint presentation with others

Your browser does not support video. Install Microsoft Silverlight, Adobe Flash Player, or Internet Explorer 9.

Select  Share .

If your presentation isn't already stored on OneDrive, select where to save your presentation to the cloud.

Choose a permission level, like Anyone with a link , or maybe just people in your company. You can also control if people can edit or just view the doc. 

Select  Apply .

Enter names and a message.

Select  Send .

You can also copy the link and then paste it in an email, social media post, or even a text message.

Share by using a traditional email attachment:

If you don't want to share a document with others to collaborate on, simply use a traditional email attachment to send the presentation to others.

From OneDrive for Business or SharePoint, share a PDF or copy of a presentation by email

This feature is only available if you have a Microsoft 365 subscription . If you are a Microsoft 365 subscriber, make sure you have the latest version of Office .

To send your presentation as a copy or a PDF, select Share .

Select either PowerPoint Presentation or PDF .

PowerPoint will open the email application and attach the file to a new message. Enter the recipients details and a short message, and click Send .

From OneDrive, share a PDF or copy of your presentation by email

You can share or co-author a presentation in PowerPoint for macOS. If you allow others to edit your presentation, changes they make will be merged into the original presentation. If you want to share your presentation, you can:

Invite people to view or edit the file located in the cloud, like your OneDrive.

Send a link to your file saved to the cloud.

Send a copy of the file as an email attachment.

Invite people to view or edit your presentation

Save your file to the cloud and then invite people to view or edit it. That way, whenever you update your file, everyone you share with will have the latest version.

In the upper right corner, click the Share icon and then click Invite People .

If the file is on your device, you'll be asked to upload the file to the cloud first.

Invite users by adding their email addresses to the invite field. When adding names for the first time, PowerPoint will prompt to access your Contacts.

To allow your users to edit the file, click the Can Edit check box. Add any comments in the comments field and click Share .

Share a link to your presentation

You can copy the link to your presentation and paste it in another shared file or email to the recipients.

In the upper right corner, click the Share icon and then click Copy Link .

If you don't want to save your file to the cloud, you can share it as an email attachment.

In the upper right corner, click the Share icon and then click Send Attachment .
